NOTE: There have been some changes in the procedure for ordering a Lotus Notes User ID file, effective June 15, 1996.
When ordering an installation of Lotus Notes for a new user, an important preliminary step is to request a Notes User ID file. The User ID file is custom-made for each individual user, and contains such vital information as the user's password, access privileges, and Department Charge Code (DCC).
Lotus Notes cannot be set up nor its databases accessed without the proper User ID and its associated password. Notes users should keep a backup copy of their User ID file on a floppy disk. This will help ensure uninterrupted access.
When users move to a new workstation, they must take a copy of their User ID with them on a floppy disk. If the User ID file is lost, the user must request a new copy.
Below is the proper procedure for requesting a User ID file:
Before requesting a User ID file, be ready to provide the following required user information (you may write the information in the worksheet at the end of this document):
Full name: | First name, middle initial, last name |
---|---|
Employee no.: | xxxxxx |
Company: | Oil Products, other? |
User ID Type: | User or Developer? |
E-mail required: | Yes/No (No if user already has e-mail elsewhere) |
DCC no.: | Department Charge Code |
Notes version: | If an existing installation, specify version 3.2, 3.3, or 4.x |
Computer: | Laptop or desktop? |
Connection: | ELS (direct to network), stand-alone (no network), or remote (by modem via Remote Access Service [RAS]) |
To submit a request for a User ID file, whether new or existing, call the MIX Help Desk at (713) 241-0220 or the ELS Help Desk at (713) 245-2255, Option 1, Option 4. (In some cases, if your office has dedicated technical support, your Dedicated Tech might do this for you.) These help desks can take your User ID order.
When your new User ID file is ready, the ELS Help Desk may deliver your User ID file to you in one of several ways:
Installing the User ID file is a regular part of the first-time setup routine. If the new User ID is located in the Shell Notes Address Book, it will be retrieved automatically. You will be required to type in your official User Name exactly as it appears in the Address Book (e.g., John Q Doe/OilProducts/Shell), and the server name ICLNS01/Shell.
If the file is located elsewhere, be sure to place an "X" in the blank beside "Your Notes user ID has been supplied to you in a file" in the Notes Workstation Setup window. Notes will then prompt you to type in the file name and location (drive and directory). Next, Notes will ask if you want to copy the User ID file to the data directory, typically C:\NOTES. Be sure to click "Yes."
When your new User ID file is ready, the ELS or MIX Help Desk can walk you through the setup over the telephone. In many existing installations of Notes, this will be as simple as copying the User ID to the C:\NOTES directory, replacing any previous User ID.
However, should you require local assistance in setting up Notes with your new User ID, you must make arrangements with your local Desktop Support or Dedicated Tech.
Note: In some cases, replacing the User ID file in an existing Notes installation might require modification of the NOTES.INI file in C:\WINDOWS. This involves deleting all the information below the third line, "KitType=1," then re-launching Notes to run the setup routine again.
