Unlike merge-data files, with this macro there is no limit as to how large an insert (it could be several pages if you like), or how many inserts, or how many times you want specified inserts inserted into a document.
See also, "CASCADE" MACRO And, create a "QUICKIE" MACRO from this page!
With an assembly-line-like kind of methodology approach to turning any kind of document where there is repetition, one can perform "magic" with word processing macro capabilities.
An example would be a 200-page monster Reply to a Separate Statement with hundreds of numbered entries in a 2-column format, requiring the operator to cut and paste each cite from each entry in the right-hand column into the left-hand column, go back to R-hand column and type in titles Plaintiff's Reply and Defendant's Reply for each entry and do the handwritten revs. A job this size could take 6 hours or more to revise if done manually. It takes about 1 hour with my customized Word Perfect macro..
If you have Word Perfect 6.1 and would like to try the Separate Statement macro, I have a sample just for you with Macro Instructions included.
To be cautious, I tested the macro script by copying it into a Notepad file, attached it to an e-mail to myself and then back into a Word Perfect macro file and it still works having gone through that conversion. Some sections include:
- Macro Script. Also has instructions on creating your own macro and copying the script into it.
- Columns File. Instructions on assembling the document to run the Separate Statement macro in.
Just send me an e-mail with the words "Separate Statement Macro" in the "Subject" field and I will reply by attaching a (Notepad) file containing the Macro Script and Columns File Instructions. (Note: Featured macros are designed to run with standard Word Perfect 6.1 software set on Default settings.)
Disclaimer -- If your Button or Menu Bars have been customized, the featured macro may not work on your computer. I am not responsible for any loss, monetary or otherwise, that may occur as a result of running any featured macro on any of your files. Featured macros are designed to run with standard Word Perfect 6.1 software set on Default settings.
NEW WORD PROCESSING TIPS
Document with Many Titles. Before assembling a document with many titles and subparts, try viewing it like a carpenter would view building a house, by setting up the foundation first.
-
Create a mini-master for your Level 1 titles with all the accompanying formatting first. Include the marking for Tables of Contents and format of the following paragraph in your master, getting it exactly how you want it, and then substitute the actual title with an asterisk instead.
-
Now, count how many Level 1 titles are in the file. If there are 35, then just copy and paste your mini-master that many times.
-
Run a "search" (search down) for an asterisk and type in each title replacing the asterisk as you go, or create a QUICKIE macro to go much faster. Now do your 2nd Level titles and subparts the same way, before you even begin typing the paragraph text.
You will find that assembling your document goes much faster and also makes for consistent formatting and fewer errors (like typing the same paragraph twice or skipping one). Bonus: When it is time to type in the paragraph text, you will "know" your document (glitches identified and worked out first). Typing goes quickly because you do not have to switch modes every time you come to a title.
NEW INSERTS MACRO FEATURED
This macro is extremely useful in discovery documents where there are various sentences that repeat throughout the file. It will search places in a document that you have marked for specified inserts, it then pastes in the specified inserts at those spots.
When you run this macro immediately after activating the "REPEAT" feature under "EDIT" (Alt + E, Alt + A), the macro will repeat as many times as you specify it to. So, if you have 20 different places in a file where you want INSERT A to go, the macro will search and paste, accordingly, 20 times; likewise, if you have 10 places for INSERT B, 40 places for INSERT C, etc.
If you are interested in this macro package, send me an e-mail with the words "Inserts Macro" in the title field and I will attach the Word Perfect 6.1 document containing the Instructions and Macro Script to an e-mail and send it to you. Note that you will NOT have to input the "text" to practice on, that this document contains a Practice File, Instructions and Macro Script. Also, for trouble-free receiving, you should have Word Perfect on your computer.
NEW CASCADING MACRO FEATURED
Recently, I received a request for a "cascading" macro which would pyramid text, very much like how this paragraph is cascaded like an upside-down pyramid. The macro I created will cascade 15 lines of text.
There are 2 macros involved:
C1 - Puts in Tab Set codes.
C2 - Cascades the text.
If you are interested in this macro package, send me an e-mail with the words "Cascade Macro" in the title field and I will attach the Word Perfect 6.1 document containing the Instructions and Macro Scripts to an e-mail and send it to you. Note that you will have to input the "text" that you want cascaded, that this document contains only the Instructions and Macro Scripts. Also, for trouble-free receiving, you should have Word Perfect on your computer.
Create a QUICKIE MACRO now! (Word Perfect 6.1*)
This macro works well for Chron files and Tables as it saves you time from having to press the Arrow Keys and Tabs. First, to be cautious, search your document to make sure there are no asterisks (*) in it. If there are asterisks already located in the file, use something else.
- Now to prep by typing in a * in 5 or more different places of your document. - Go to TOOLS + MACRO + RECORD + name it "r" (or whatever you want) - Again, press RECORD + using keystrokes run a SEARCH for an * - When * is located/highlighted, hit ESC Key twice to get out of SEARCH - Press DELETE Key once (to delete *) - Go to TOOLS + MACRO + PAUSE - Again, TOOLS + MACRO + PAUSE - Click on Black Square up in left-hand corner to STOP RECORD.
Now you can go to top of document and run your macro (Alt + F10 + r). See how it searches the *, deletes it, then pauses so you can type in whatever you want. When you hit ENTER, it comes out of the pause. NOTE that you can go to EDIT + REPEAT (Alt + A) and type in the number 5 (or more if you input more asterisks), then run the macro immediately. It will repeat the above process 5 times searching a new * every time you hit ENTER.
_______________________
* A Quickie Macro can be created in MS Word as well, from your Tools menu, name and assign it to a "Key Stroke." Use the Cntrl + J keystroke because it is easy to use by most people and it rarely gets used (by default, it justifies text). Be sure to search "down" for the asterisk while creating it, and then "stop" your Word macro while the asterisk is "selected" (or highlighted). When running the macro, simply type over the highlighted asterisk.
I have many more macros up my sleeve and they can be very helpful to you, so do visit again or bookmark this page, as I will be featuring

MS Word macros and word processing tips.
Q: Can you send me a macro maker? A: Most programs like Word Perfect or MS Word 97 have a menu, under Tools, where you can create macros. It is important when you create macros that you use keystrokes and not the mouse while "recording" a macro, or otherwise you will have problems. I would suggest printing out the Index and Contents once you are within the Macro menus to learn how to create them.
Q: Do you have macros for converting Word Perfect documents to MS Word? A: No. I do know it is to some extent "do-able" with clean-up macros.
Q: What exactly is a PAUSE in a macro? A: In Word Perfect 6.1, a PAUSE stops the macro in progress and allows you to make corrections or changes, as long as you do not try to run another macro or hit the ENTER key.
Q: What happens if you hit the ENTER key during a PAUSE? A: The macro will resume running. So if you have text selected during a PAUSE and you hit ENTER, the macro may MOVE or COPY that text or even DELETE it depending on what it is programmed to do after the PAUSE.
