The Board of Directors

The Board is a group of people dedicated to seeing that the club runs smoothly. They are the administrators and paper pushers of the club. Each seat has different duties that need to be done in addition to voting on matters that needs Board attention. As a thanks for doing the club's paper work, Board members have a few perks - the main of which is the ability to waive rank requirements. In time, when the club has enough members, the chosing of the Board will be done by club wide vote. Until that time, all of the Board duties will be done by one person.

To reach the Board members as a whole, send an email to hrw_bod@yahoogroups.com. A complete Charter of the Board is available.

Communications and Listkeeper: Vacant
This member is in charge of acting as liasion between club members and the board. As such, it is her duty to announce contests and roll calls, as well as sending out any warnings from the entire Board (breaking canon, etc, not rank warnings). In addition to being the "Mouth" of the Board, the Communications person also keeps track of lists for the club - member lists as well as persona, dragon, and pet lists. Online availability is a must, as well as the ability to work well with other people. It is important for this person to be diplomatic and respectful, as well as the ability to use proper grammar and spelling.
To hold this seat, a member must serve one term on the Board prior to being Communications.

Persona Approval: Vacant
As the title suggests, this person approves all personas that are in the club. It is her job to see that names are not copied from Anne McCaffrey's books, as well as making sure that the characters fit in with the canon of the club. If the writer is new to the club, the PA assigns them a mentor. It is suggested that this member has been in Pern fandom for awhile, and have read at least the majority of the books. A copy of the Dragonlover's Guide to Pern is always a plus.

Timeliner/Requirements Tracker: Vacant
This person keeps a record of the timeline, with weather (including those dratted storms!) as well as posts for each day included. On a regular basis, a copy of the current timeline will be sent out to members of the club. In addition to keeping the timeline, this seat-holder also makes sure all rankers are being posted for. When needed, warnings will be sent out.

HTMLer: Vacant
The htmlers are responsible for seeing that the club's webpage is kept current. New personas and information is added in a timely manner. It is their job to see that the webpage continues to be an excellent resource for the club members.
HTML knowledge is necessary to hold this position. If you are not comfortable with it, do not apply.

JOAT: Vacant
The Jack/Jill of All Trades is required to have knowledge of every seat, as it is the JOAT's duty to step in when a Board member is on LOA. As such, the JOAT may be covering two (or more!) seats one day, and have nothing to do the next. When not covering another seat, the JOAT is responsible for spreading word about the club and doing other errands the Board might ask of her.

Duties and Responsibilities of the Board

When serving on the Board, a member should be professional at all times. Private matters and disputes should be kept just that - private. If a Board member does not get along very well with another member, it is the Board member's duty to continue to act professionally and fairly. Likewise, friendships should not be put above the Board - a Board member should be capable of giving a warning (such as for not meeting rank requirements) to even their best friend. Friendships should not determine whether a person gets a rank, either.

As a thank you for serving on the Board, seatholders are permitted to miss requirements, as long as they try to post and post frequently. Failure to post at all, or posting rarely, will still be grounds for a warning or for loss of a persona. As a rule of thumb, Board members should still meet requirements, but if the paperwork is fairly heavy, those requirements will be waived.

Board members should try to be fair in all cases, and should keep the club in mind during all decisions.

What Requires Board Voting

Many things do not need Board voting, while a handful of others do. The following is meant as a guideline, and may not be complete. Please keep in mind that the following items needs complete Board approval, not just the heads up of one. A good maxim to keep in mind is "When in doubt, ask!"

  • Births and deaths of PCs, be they human, dragon, or otherwise
  • All injuries, Threadfall or otherwise
  • A "special" persona - one with a disformity, HADs, etc.
  • Color distribution of dragon eggs, as well as a final list of Impressions.
  • New wings
  • Personas being promoted within a craft (local Master needs to approve this, as well)
  • Dragons speaking to somebody other than their chosen rider
  • Plotlines that: change the status of a location, effect the majority of a location, or that involve many people
  • Suspension of a club member

    What Requires Club Voting

The more "major" items require club voting, not just Board. In this case, nominations must first be approved by the Board before going on to club vote. They are:

  • Major rank voting - Goldriders, Weyrleaders, Hallmasters, etc.
  • Board voting (this will take effect with a larger club membership)
  • Major plotlines such as disasters or a merging of clubs
  • A new PC location (Craft, Hold, or Weyr)
