Meeting 11 -28/10/02

Jenna's YE company are doing events and offered a stall at the Junior Disco (end of Nov), the Christmas Party (18 Dec) and the Valentine Ball (13 Feb)

Emma B and Henna are doing their part of the Bus. Plan by Monday. Zoë is writing up what venues we are loooking for and what type of cliental we can expect. Briefly discussed our mission statement.

Ilana found a supplier for the school Bonfire Night event (1 Nov) Delivery is free and the minimum order is 20 boxes (around £80, 12 packs of sweets in each box). Ilana will place an order costing just over £100 in total (Sell by date is October 2003, so June is the latest we can sell these. Stock stored in Stan's cupboard. We need plenty of change, so Mathini will go to the bank for this.

Eva will make a name sign for the stall as well as a nut allergy warning for the stall. She will also make badges for the people on the stall with the logo, and YE information. Emma made a model for the stall and will make another.

Tickets for the Bonfire cost £3.00 and everyone needs to pay this by Thursday for us to run the stall. We have decided to have a few people at the stall and the rest walking around selling from trays. Records will be kept of how much we sell at every event.

We are selling at Chaz's concert on Monday. Many people at this event don't eat gelatine, so we will not order too many gelatine products. We only need about 4 people for this event and will pay £5 for their ticket to Chaz.

The uniform for the Bonfire night will be all black. For the concert, it will be black trousers, a white shirt and white aprons. Hair will be tied back. Chaz will sort out the table cloth (black suggested)

October's status report needs to be made - every department needs to write a paragraph. Mathini suggested a charity box on the stall for Marie Curie Cancer and/or the British Heart Foundation. She and Chaz will go into Headingly tomorrow for the boxes.

Ilana will ask Mrs Hutley about the Craft Fair in November and will look at the Makro catalogue.

Share money needs to be brought in, and we need to sell more. These must be brought in by Thursday at the latest.

Soon we will begin the advertising campaign for Candy Tree.

Meeting 12 - 04/11/02

Zoë, Kim, Emma D, Emma B and Henna have all done their part of the business plan. Geri and Mathini are completing their section for Monday. Ilana is doing the operations plan and the part about supplier for Monday. Everyone must hand in their part of the business plan to Eva by Mon 11 Nov. Eva will write up the business plan by the next Friday.

Each department must write a paragraph for the status report for Emma D by Sat night at the absolute latest.

Among the most popular products at the Bonfire were Flying Saucers, Cinder Toffee and Kiddies Mixture. Unfortunately, the profit margin for these products was not very high and if we sell everything we will only make something in the order of £5.00 (due to V.A.T. and the high cost of the stall). We need to organize the stall and the time that we need to meet at events better in the future as there were problems with this at the Bonfire.

Everyone must check their email regularly (at least three times each week) and respond when necessary (there are some people who have not been doing so). If there is a particular thing that people want to discuss at a meeting, then they should email Emma D about it at least 24 hours before the meeting. Eva is making the time forms and letterheads and she will be emailing them to everyone.

Discussed having a gift-wrapping service. We would need to gift-wrap some products beforehand so that the customer will not have to wait for too long. We also discussed having two separate branches/sections of Candy Tree, one for products like sweets and another for products like quality chocolates. Ilana will ring up Whitakers and Gemma, Tradex. Ilana will ask for a discount from Confex (the supplier we used for the Bonfire). Eva will go to Makro to buy some products that are on offer (inc. Belgian seashells and chocolates). Zoë needs to do a report about what we have sold after each event.

We are going to sell at school on Tuesdays and Thursdays every week, as of next week. Kim has booked to sell at the Grammar School on Christmas shopping day and we are selling at the P.F.A. Christmas Craft Fair too. We are also selling at the drama production of Yerma on both nights that it is showing. Eva will find out about the end of term event that Ford House are having. Ilana will find out about the possibility of selling at the Student Union. Kim will research more possible venues that we could sell at in the future.

Eva is making alterations to the poster she designed by 05/11/02 and she will have them laminated so they are less likely to be taken down/vandalised. These need to be put up around the school as soon as they are finished. Kim and Eva need to come up with more ideas for advertising.

Henna and Emma B need to think about stall design. We thought that we could have red, black and purple as a colour scheme for the quality chocolates.

Mathini has obtained a registration form from Cancer Research U.K. and will fill it out so we can get a charity box on our stall.

Meeting 13 - 11/11/02

The only remaining parts of the business plan that need to be handed in to Eva are Ilana's part about the product and Kim's part, which Gemma has. Eva needs these before Friday, as Eva should have finished putting the business plan together by this day. The mission statement, aims and objectives that Mathini drafted were read out and agreed on. However, each department needs to do its own objectives so Gemma will tell everyone what they need to do for this on Tuesday. Zoë now has the information she needs to do the sales reports for the bonfire and the concert. Anyone who has not yet emailed their part of the status report to Emma D needs to do so as soon as possible and Gemma will sort out what Zoë needs to do for this as we did not start selling until November.

Ilana rung up Whitakers and there is a chance that we may get a discount. The supplier that her grandma uses, Morrisses, is apparently very cheap so Ilana, Kim and Emma D are going there on Wednesday to find out more information, although we do know that they have very limited opening hours. Ilana suggested that we could buy and paint some baskets, then use them in the same way as gift boxes. She also suggested selling other products with the chocolates to be more original. Kim, Geri, Emma B and Eva are ringing up various companies, like gift shops, to find out about things like opening hours, prices and deliveries. Ilana has placed another order with Confex and will request a discount before we use them again. We discussed taking orders from people for some products, especially for the more expensive ones. Eva has bought three advent calendars from Makro (which Linda is going to ask for a discount or vouchers) and we thought that we could take orders for these as well. Mathini and Geri will need to decide how much to sell the new products for after we have found out how much they cost. Mathini will ring Tradex and ask for a price list. Eva will research where we can buy candy canes on the Internet.

We will not be selling at the Student Union on Wednesday. Emma D will do a rota for selling in school at break and enrichment (on Tuesdays and Thursdays, with three people on the stall at a time, perhaps with another two going around school with a tray of products). Emma D also needs to record how much time people spent surveying people when we were doing market research. Eva needs to find out about Ford House's end of term event. We decided that Mathini, Emma D and possibly Zoë will sell at Yerma on the 27th and Gemma, Ilana and Chaz on the 28th. Ilana, Kim, Chaz and Emma D will sell at the Grammar School on Christmas Shopping Day. Ilana will find out if we can supply the Santa at the Christmas Craft Fair with sweets. Gemma will ring up her old primary school and ask if we can sell there.

Kim presented her marketing ideas and will work on the posters with Eva- it is particularly important that we advertise that we will be selling at the Grammar School. Ilana will take some pictures of various Leeds Utd Football Club players with our products to use as advertising. We could ask Radio Aire, Galaxy and Leeds Weekly News to give us some publicity.

Henna and Emma B have bought some materials for the stall. We decided that we are going to have a stall for sweets and a stall for more expensive products. For the stall for sweets, Kim suggested having a competition for Ford House (with an entry fee) for the children to draw their ideal sweet stall. We will then be able to use some of these ideas to design our sweet stall. She will make the entry forms for this by Thursday. We are going to use the Mr. Kipling vouchers that we got to buy a prize for the winner. We thought that we could have a song that we found with the words 'candy tree' in it playing at our stall. Emma D will look into this. Eva will iron our company name on the aprons. Emma B and Henna have bought some wrapping paper and ribbons to use for gift-wrapping, although in future we will probably use Asda as it is cheaper than Stationery Box. Mathini has sent off for a charity box to put on our stall from Cancer Research U.K.

The Memorandum and Articles of Association were read out and signed. Eva will email everyone the time forms she made as soon as possible. Emma D will fill in the share register. She will also collect the sponsorship money we were promised from Safeway on Tuesday.

Meeting 14 - 18/11/02

Eva needs to put the business plan together as soon as possible, and Kim needs to email her part to Eva. The sales reports for the bonfire and concert do not have to be done as everyone already has the sales information, although in the future they need to be done after every event.

Several items bought from Morrisses and Sons were chocolate products. We were unable to get a discount from Makro, but Ilana will try for one from Confex.

We are going to a seminar at Majestyk (2 Dec) and we will sell at the Christmas Trade Fair at Granary Wharf (14 and 15 Dec). At the Craft Fair, Kim, Geri, Chaz and Mathini will sell until 1pm, then Emma D, Ilana and Chaz in the afternoon. Kim and Mathini will gift wrap all the chocolate products before the event, leaving a few for display.

Kim suggested working with another YE group at the Grammar school and organising a Blind Date show. This would gain reputation, raise money for charity, learn to work with other people and make profit as well.

Kim will email posters she has made to Gemma's mum who will print them off for us. These will be put up in the Grammar school as well as at our own. Geri will contact Leeds Weekly News to ask if they can give us some publicity.

We had several communication problems over the last weekl; the Managing Directors were not kept informed of stock and money dealings. Decided there must be at least one M.D informed before money is given to anyone and the person receiving money must sign to show how much they received. When stock is being bought, the following people should be present: on of the MDs or the Secretary, the Op. Director, Marketing or Finance. Everyone will estimate how much time they have spent on YE. Time forms will be handed in to Emma.

Employee of the Month may be introduced as an incentive. The reward will probably be sweets or chocolate.

Money is needed for the display board, wrapping paper, stall rental, poster laminating costs. This should be received when we have sold some stock.

Zoë will iron the company logo ASAP. Everyone should wear something Christmassy, such as tinsel when selling.

Meeting 15 - 25/11/02

The business plan is very near completion.

At the Christmas Craft Fair, we sold £62.24 worth of stock. Unfortunately we miscounted how much money we made at the end of the fair, so we paid £1.91 too much for the stall. Eva will try to get this amount of money back. Zoë will try to write a sales report for the fair.

Ilana will make another order from Confex and ask them for a discount tomorrow. We decided that we are not going to sell advent calendars because there are only a few days before December starts (we are going to sell the advent calendars that we bought from Makro earlier in school on Thursday). Emma B has got a cosmetics catalogue- there are a few items that we might consider selling; Ilana will look into this. There are a few places that sell candy canes- this needs to be investigated further. There are still several places that Ilana asked people to ring; this still needs to be done.

Ilana, Gemma, Chaz and Emma D will sell at Yerma on Thursday night. There are not many people who can sell on Wednesday night (Yerma again) so we may have to ask for our money back or sell our stall space to another company. Kim, Ilana, Chaz, Emma D and possibly Eva are selling at the Grammar School on Friday; Kim and Mathini are selling at David's wife's primary school on Thursday (as we have two events on Thursday we are going to have to divide up the stock). We are probably going to go around school with trays at break instead of having a stall because of time constraints. David will find out if we can sell at Adel Memorial Hall in December.

The posters are up in the Grammar School. Kim will collect them on Friday to use at our school. Gemma's mum might be able to photocopy the posters and Mrs Gilbert can laminate them. Geri will contact Leeds Weekly News about publicity.

At the moment we are breaking even at every event and making a small profit, which has so far been somewhat reduced by the large amounts of money we have had to pay for a stall at some events. We are going to keep the display boards for the whole year unless we desperately need the £25 deposit back for some reason.

Everyone needs to hand in their time forms (which must be signed by a parent or someone else who can verify that the work has been done) to Emma D

Chaz is going to make the Ford House competition forms. We decided on our uniform: black trousers/skirt; white shirt; black tights; apron; name badge. Zoë will iron the company logo onto the aprons before Thursday, provided she receives all the aprons before then. Eva is now responsible for making sure that the correct signs are up every time we sell. She needs to print off two price lists for the stall (these need to be laminated). Chaz will go to Wilkinsons on Tuesday to look for boxes. These would serve the same purpose as the trays did at the Bonfire. We would need to decorate these to make them look more attractive.

Meeting 16 - 02/12/02

The business plan is likely to be finished (Eva was absent so this could not be confirmed). Emma D needs to check that Eva has handed it in. Each department needs to write a paragraph of the status report for Monday 16th December (this needs to be emailed to Emma D, who will write it up).

Generally, we did well at our last few events. Zoë needs to do sales reports for Yerma, the Christmas Craft Fair, the Grammar School and David's wife's school's event for Monday 16th December.

We need to do a stock count and we may need to place another order with Confex or go to Morris and Sons. Ilana is bringing in the chocolate that she has so that we can do the gift-wrapping in school. Mathini will ask Tradex for a catalogue. We decided not to sell candy canes. We also decided not to buy anything from the cosmetics supplier. As we have had a few burst bags from Confex, we decided that we are going to give out free samples. We will sell the miss-shapes at a cheaper price.

Emma D will sort out shifts for Granary Wharf. It is possible that we may be judged on our stall at this event. Proper uniform including badges and aprons must be worn. We need to find out if there is a power point available for this event. We may be selling at Ford House's event although there may not be enough time to sort this out now. We may also be selling at a cabaret at Adel Memorial Hall (18th January) if we can obtain permission. We decided to sell at break until the end of term to get rid of more stock (we will use the original rota to sort out who is selling). Ilana, Chaz and some other people will be selling at the Grammar School on the Friday 17th January.

We have decided not to accept sponsorship from Safeway or Asda as it is against Young Enterprise regulations, although we may use sponsorship from Chaz's dad to pay the registration fee. We need to speak to Mrs Rothwell about this.

Emma B and Henna are going to paint gold stars on the backdrop and also hem the backdrop. Chaz has made the competition forms for Ford House. These need to be distributed before the end of term and someone needs to speak to Mrs Addison or Mrs Briggs about the competition. The trays that Chaz looked at were too expensive, but there were some cheaper plastic ones that we may buy.

Everyone needs to hand in their time forms- we may decide to give out time forms at each meeting and get everyone to fill them in for that week because of complications with the time forms file.

Zoë has made a questionnaire to use on the stall. She will add spaces for the person's age group, gender and what they bought.

Meeting 17 - 09/12/02

Everyone still needs to hand in their time forms. We should get into a system of handing them in every week after the mocks.

Emma D will finish the business plan. Each department needs to write a section of the status report for November and a section of the status report for December and email it to Emma D by Friday 17th January (the last day of the mocks) at the latest.

Sales reports need to be done for Yerma, the Christmas Craft Fair, the Grammar School and David's wife's school. Overall, we did not do well at Granary Wharf. A sales report needs to be done for this event as well.

We do not have very much stock left after David's orders so we need to order more if we are going to be selling at the Grammar School (17th January) and/or at Adel Memorial Hall (18th January). Ilana will make sure that we have enough stock for these events if they are to go ahead. We need to do a stock count to find out exactly how much stock we have left.

David will let us know if we can sell at Adel Memorial Hall and Ilana will ring up the Grammar School to find out if we can sell there. If we do sell at the Grammar School, Ilana will organise who will sell there.

We have had a few problems with the posters because they require a lot of ink and both colour-photocopying and buying a colour ink cartridge would be expensive. Another problem is that the document does not working properly when opened with operating systems other than Windows XP. Kim will get some shiny black paper to see if the posters will print on this. Another possibility is she could scan the posters and then email them to Linda for printing.

The competition forms need to be distributed if this has not been done already. We need new signs as some of them have become very tattered. We need to bring all the things for the stall in so that we can see exactly what we have and what it looks like. For Valentine's Day we thought that it might be better to wrap boxes of chocolates in wrapping paper with hearts or something similar on it rather than ordering boxes of chocolates that are specifically for Valentine's Day. That way, we can re-wrap any stock not sold in different wrapping paper and sell it after 14th February.

Meeting 18 - 27/01/03

All function directos resigned from their current positions. The results of the re-elections follow:

Possible future venues: parent's evenings/open days at other schools, First Direct office (where Linda works). Sales report need to be made for the last two times we sold at the Grammar school.

Prices of our supplier, Confex, have risen, so we may have to look for a new supplier. Valentine's Day is fast approaching, we may buy seasonal products - heart shaped candy etc, gift wrapping. Mrs Street has offered to take a group of us to Morris and Sons. Anyone with stock needs to bring it in before Friday.

Stall improvement needs to be thought of - particularly the backboard. Tablecloths, posters, displays etc. need to be brought in by Friday.

At the end of last term, we had a problem with anyother YE company taking our stock from the cupboard and using it for themselves. This is still an ongoing problem and we need to speak to Mrs Carr about it.

As a lot of roles have changed, we need to get new bank mandates and change the banking arrangements. Until then, the previous rules apply.

Meeting 19 - 03/02/03

The calendar idea in which events and deadlines for the rest of the year are stated was agreed upon. Status reports for January were collected from the following departments: Marketing, Personnel, Operations, and Sales. Finance and ICT should hand their January status reports to Geri by Mon 10 February at the latest.

To overcome deadline problems, a punishment scheme will not be implemented, but a reward system to motivate people.

Time forms were collected from: Emma D, Kim, Geri, Zoë, and Mathini. The others need to hand in theirs to Geri by Mon 10 February at the latest. Chaz and Henna need a copy of the time form, so Eva will email them this as soon as possible.

To help distribute workload more evenly, an emphasis will be placed on helping other departments when it is needed. If there are no volunteers the Chair will nominate them.

It was decided that we will leave the sales forecast columns on the sales form empty as they were not filled in before the seling events that have taken place so far. From now on, these will be filled in before ALL events. This is a learning point to be stated in the company report.

It was decided that job transfers are to be fully completed by Mon 10 February.

Employment laws were discussed and most will not apply. Those we need to meet are health and safety, sales of goods and account honesty. Currently, these laws are being complied with. Risk assesments were carried out by Ilana and these sheets given to Eva. Geri will chase these up.

The idea of a YE lunchtime was passed. Everyone should hand Geri a copy of the lunchtimes they are free so that this can be organised by Mon 10 Feb at the latest.

Linda will print off our business plan so we can read it and re-focus. This will help with the job changes.

Emma D will ask Mrs Carr for the deadlines for the company report and presentation.

Meeting 20 - 10/02/03

Eva is to hand is her January status report to Geri by Friday 14/02/03 at the latest. Emma Barker, Mathini and Eva are to hand in their free lunchtime sheets to Geri by Friday 14/02/03 at the latest. All budget estimate sheets are to be handed to Mathini Sridharan by Friday 14/02/03 at the latest.

It has been agreed that time forms will be collected every week. As Henna does not have a time form, Kim will be printing her a copy. Geri will also give Chaz a copy of the time forms.

It has been decided that if anyone has any objections to any points raised, they should voice this opinion. A democratic vote will then take place. If the vote is split, the Chair will have the casting vote.

If a dispute occurs, those involved should tell Kim. Kim will then organise a meeting for that person with Chaz so that Chaz can settle the dispute.

All jobs have been transferred and everybody has read the business plan.

It has been confirmed that we will be selling at First Direct on Tuesday 18/02/03. Gemma Lancaster and Zoë Ferguson will be selling from 11 am to 2 pm. As this will be during the half term, it has been agreed that they will receive double pay. Chaz will give Linda the full names and phone numbers of all those selling at First Direct. Kim will be making new posters and will email Linda these so that they can be put up at First Direct to create some awareness that we will be there.

We will be ordering stock from Confex on Tuesday 11/02/03. Whilst ordering stock, Ilana will be asking about price increases. The possibility of having Bishop's as a supplier was discussed but we do not understand the pricing. Therefore, Gemma will phone them up to enquire about this.

We have decided that we will not be having any special products for Valentine's Day.

The idea of selling chocolate and wooden flowers together as a Mother's Day gift was agreed upon. Mathini will work out the cost of selling wooden flowers and what exchange rate will be used if we imported these. Also, if we imported these, it would take about 2 to 3 weeks to arrive so the order would ideally have to be sent off by Friday 14/02/03.

The prototype of the stall (by Kim) was shown to the group. It has been agreed that the particular design will be implemented. Kim and Geri will be going to B&Q during the half term to see how much the materials required for the stall will cost.

Kim and Geri will now do the report and presentation. Kim will email everyone with indicator points for the report. Everybody is expected to write a side plus, based on the points. To be handed to Geri by Wed 19/02 the latest
