Step one: decide where you will save this schedule file. It should be some place that is very easy to find. Saving to the desktop has not worked for me.
Delete the last schedule file you sent (wherever you have it saved.)
Open the calendar.
Go to File.
Click on Import/Export to a file.
Often, but not always, this step occurs.
File Could Not be found box appears.
Click OK
Box appears – Create/Open Personal Folders File.
The file name (schedule) will appear in the box.
Click Open
Click
OK
Click
Next
Continue with the rest of the instructions.
Box appears: Choose an action to perform.
Highlight Export to a file
Clilck NEXT
Click on Personal Folder File (.pst)
Calendar will be highlighted.
Click on Filter.
Click on Advanced.
Click on Field
Drop down to Date/Time Fields
Slide cursor to right
Choose Start
from the drop down menu.
Click on Conditions and choose Between on the drop down menu.
Value bar – enter the date you want to start, i.e. the following day and the end date.
Example: 05/14/2004 and 06/14/2004 – 30-45 days is about the limit or the file will be too large.
Click on Add to List
Click OK
Click Next
You should now see the file being copied.
Close Microsoft Outlook completely and any other Outlook applications.
Reopen Outlook
Insert the file into an email and send to email account where the file will be unpacked and opened.

Attached are the
instructions. Some important things I
should mention. First, as far as I or
any of our ISM people know, the only person who can do this must be the owner
of the calendar. We have tried delegating
and giving ownership to someone else, but it only appears to work for the actual
named owner. If anyone could find a
solution, that would be great. When I
go on leave, my backup can't do this.
The only way I can think of to get around this is to actually export MY
Outlook Calendar to her, and have her IMPORT the calendar into hers. But that is cumbersome and would screw up
the schedule she keeps for her boss.
Second, I have never unpacked
or imported this from the other end. I
email this schedule file to the ambassador every night to his yahoo
account. He opens it and imports it to
his PDA. And another note: you need a large yahoo account in order for
this to work. The file that you send
will be around 750 KBs if you send a one month schedule to the account.
These instructions seem
complicated, but honestly, it takes me about 3 minutes to do this every
evening. It's great!
