Introduction

I take great pride in being the best daycare provider (not a babysitter) that I can be, and that you can depend upon for quality care. The purpose of this handbook is to inform each parent of what to expect from my daycare and what I will expect of you. If after you read this handbook you still have questions, please feel free to contact me so we may make clear any policies you do not understand. Please take the time to read through the entire handbook, as you will be signing a form at the time of enrollment, which states that you have received this book and understand all of my policies and will abide by them.

Mission

My goal is to provide your child with a clean, safe and comfortable environment where he or she can learn and play with loving care and guidance while you are at work or school. In order to make our relationship as enjoyable as possible following are some requirements that are necessary to insure that there are no misunderstandings between each parent, that each is aware of the requirements and that they are carried out in a business-like manner. These policies are enforced for the same reason policies are enforced in any job situation-for fairness and respect.

My Philosophy

I believe that play is the best means of learning in young children. I strive to teach the children how to share, and be respectful towards each other, and things, through integrated and cooperative play, so they can develop problem-solving skills, promote independence, and to highlight the uniqueness of every child. I try to observe the children during their free play time to make sure every child is having fun, and playing with each other in a respectful manner.

Provider Training

I have my CPR and First aid up to date, and I am currently working through the T.E.A.C.H program on getting my Early Childhood Degree through Bay Mills Community College. My goal for me when I am done is to be able to teach the children in my daycare to be kindergarten ready when they are ready for school.

Policies

  1. Shoes and boots are not to be worn past the rugs I have in the entryway. I do allow, and prefer slippers; however, they must be clean and in good, wearable condition no holes, missing pieces or pieces that can be torn off and little ones get a hold of and swallowed.

  2. Immunizations must be up to date at the time of enrollment; if they are not I need to have a doctor’s note on why they are not, so I can put it in your file. I need to have this paper before care is in place.

  3. No candy or gum is allowed in daycare. If your child wants to bring a treat please call before you come either the night before, or in the morning to see how many children will be here for that day.

  4. There is no running or rough playing allowed in the house, or when we are outside playing. If a child is told more than twice to stop these activities, then he or she will be placed in timeout.

      Admission Paperwork

      There are several forms that I must have completed and in my possession before I am able to assume the care of your child. NO EXCEPTIONS WILL BE MADE!

      -Fully Completed Child Information Record (State Requirement)

      -Fully Completed Child in Care Statement/Receipts (State Requirement)

      -Fully Completed up to date copy of Child’s Shot Records (State Requirement)

      -Fully Completed Medication Permission and Instructions (State Requirement when necessary)

      -Fully Completed Discipline Policy Acknowledgement

      -Fully Completed Association for Child Development Food Program Participation Letter

      -Fully Completed & Signed Contract & Rate Agreement

      -Any paperwork required by D.H.S.

      Although I will ask twice a year, once in January and once in June, it is ultimately the responsibility of the parents/legal guardians to keep this information up to date. Things such as phone numbers and emergency contacts could play a vital role in the event that an accident was ever to occur.

      Rates

      You expect your boss to pay you for the time you work. I expect the same. I realize the financial burden that childcare places on parents and hope parents understand that, as a business, childcare places a financial burden on the provider. Some of these financial burdens include, but are not limited to groceries, utilities, insurance and equipment, printing of paper work for new clients, printing of crafts for children. Even though I am a provider I also have a financial responsibility to my creditors. For these reasons just listed I charge a $40.00 deposit to cover the cost for start up fees which is non refundable. Please be advised that I will take all outstanding accounts to collections or court. Should it be necessary you as parents/legal guardians and/or your co-signer will be responsible for any and all collection fees, attorney fees, and court costs incurred. You will also be responsible for any substitute care costs that I incur due to your delinquency.

      Not paying on time rate is -----$10.00 per day on top of normal pay
      Late arrival does NOT allow for late pick up. Please be on time daily.

      Normal rates will apply in the event that your child is picked up early during any regularly scheduled hours. There are no sibling discounts and you are charged per spot not per day.

      If for some reason your child is sick or you just stay home and it is your scheduled day you will still be charged for that spot. Incase of a temporary lay off you will still be charged for your spot in my daycare.

      Payment is accepted in the form of cash and/or check. You and/or your co-signer are responsible for all childcare fees not paid by the State, including, but not limited to, any days/weeks not covered and the weekly percentage not covered.

      When paid through DHS you are responsible for all fees in cash until DHS starts sending me checks. Once I start receiving checks I will reimburse you what DHS pays minus your fee or you can use that as credit towards your care. I will also be able to access your account from time to time to make sure it stays up to date with your caseworker.

      There will be a $30.00 charge assessed to your account for any/all checks that are returned NSF, Account Closed, etc. You and/or your co-signer are responsible for these charges, in addition to any other charges I may incur as a result of your payment. Accounts will be placed on cash only basis after 1 bad check has been presented as payment.

      Your payments are due: EVERY / EVERY OTHER (when agreed upon) - Thursday night or Friday morning. If I have to call you as a reminder then the fee of not paying on time will be charged to you.

      If your payments are not made on time I will not watch your child again until your payments are brought to current. This is where the late charge will be billed to your account in addition to any other regularly scheduled charges whether or not your child is at day care. If your account is not brought to current within 5 business days I will consider your spot open and terminate your account for non-payment. You and/or your co-signer are responsible for charges made to your account prior to contract termination and any charges incurred thereafter.

      Hours/Schedule Changes

      I will provide childcare Monday-Friday at the hours of 7:00am – 5:30pm. Any proposed permanent changes to your schedule must be done in writing and may/may not be granted based on my schedule.

      On occasion a parent may need day care outside of their normal schedule (overtime). All overtime must be requested in writing the day before if not sooner so that I have time to approve/decline it. If overtime has been scheduled and approved I expect that your child will be in my care at/during that/those time(s). You and or your co-signer are responsible for the extra fees even if your child is not in my care during that time unless a 24 hour advanced notice is given in writing. *Note: All requests for overtime are granted at my discretion.

      If overtime has not been scheduled and your child is not picked up at the scheduled pick up time late fees will be applied to your account. If your child is dropped off early and prior arrangements have not been made an early drop off fee will be charged as well.

      When A Child Needs to Stay Home (Illness Related)

      Please do not bring your child to day care if he/she is ill. Masking your child’s symptoms with over-the-counter medication (i.e. Tylenol, Motrin) before bring your child to day care will be grounds for termination of this contract. These policies benefit your child as well as the other children in my care. Your compliance is appreciated and will be compensated with the assurance that all ill children will be kept at home thus cutting down on the spread of sickness.

      Your account will be billed at your normally scheduled rates whether or not your child is at day care. You and/or your co-signer are responsible for these charges

      If your child needs to stay home because of an illness it is your responsibility to find and to pay for substitute care. . The Health Department discourages the admittance of any child into a family day care home or center who exhibits any of the following symptoms:

      Fever of 100 degrees Fahrenheit (oral) or higher – Child needs to be fever free for 24 hours WITHOUT the aid of medication such as Children’s Tylenol or Motrin before returning to care.

      Diarrhea – Child must be symptom free for 24 hours WITHOUT the aid of medication.

      Vomiting – DO NOT bring your child to day care if he/she has vomited within the past 24 hours.

      Runny nose with colored discharge or Excessive coughing

      Lice – Cases of lice must be treated and child must be lice and nit free before returning to day care.

      Discharge from eyes or ears

      Communicable diseases – All cases of communicable diseases require notification of parents of children in my care as well as notification of the public Health Department.

      Children with a mild cold can attend care if they are able to participate in normal activities. If your child is too sick to go outside, your child is too sick to be at day care. Children brought to my home for care with a mild cold will be monitored and if the cold reaches the point that the child will not play, has a continuous cough or the nose secretions are not clear the parent will be required to pick the child up and keep him/her home until he/she has been symptom free for 24 hours.

      If your child becomes ill while at day care he/she will be isolated from the other children, still within sight or sound of me and given special attention and comfort. You will be notified immediately and will be required to pick your child up within one hour.

      If parents/legal guardians cannot be reached emergency contacts will be notified and they will be required to pick up your child within one hour. If reasonable efforts are not made to pick up a sick child this child care contract will be subject to immediate termination.

      The early drop off/late pick up fee will be charged if your child is/are not picked up within one hour of being asked to do so.

      Any child sent home ill must be free from ALL symptoms for 24 hours or be accompanied by a note from his/her physician in order to return to day care.

      If your child has been absent from day care due to an illness for three or more days you must bring a note from your child’s physician indicating your child is well enough to return to day care.

      Children requiring prescription medication for a contagious illness must stay home until the child has been on the medication for a period of 24 hours. I will dispense prescriptions as long as the proper forms have been completed and the medication is given to me in its original packaging with the pharmacy label on it. Sometimes physicians are able to prescribe a two-a-day dose prescription so that you are able to do this once in the morning and again in the evening in your own home.

      Vacation/Holidays

      When a daycare parent is to take vacation time it is your responsibility to give notice in writing when your vacation will take place. Normal schedule rate fees will occur during this time.

      I, your day care provider, may take up to 3 weeks of vacation each year. NO FEES will be charged for my vacation time. I will always try to give advance notice of any vacation time I will be taking. I might take one week all at once or I might split them up in a day here and a day there. I will give plenty of notice on these kinds of days.

      I, the provider, will bill you at the normal rate for the following holidays:

      -New Years Eve & New Years Day
      -Good Friday
      -Memorial Day
      -Independence Day (July 4th)
      -Labor Day
      -Thanksgiving Day & the Friday after Thanksgiving
      -Christmas Eve & Christmas Day

      These are the holidays I will be closed for. You and/or your co-signer are responsible for these charges.

      These days are not counted towards any vacation time I am entitled to. It will be your responsibility as a parent/legal guardian to find and to pay for substitute care.

      Attendance

      I expect that your child will be in my care during the regularly scheduled hours listed above or during scheduled/approved overtime. Thus, unless vacation time has been scheduled/approved via the proper procedure and is being used or scheduled/approved overtime has been changed via the proper procedure, payment will be expected regardless of whether your child is/are in attendance or not.

      If your child will not be present for the day for any reason I will need to be notified by phone at least 1 hour prior to your child’s normally scheduled drop off time.

      There will be a $50.00 per day charge in the event of a No Call, No Show along with the possibility of immediate termination of this contract, with pay, for the last 2 weeks of care. No Call, No Show refers to calls not made to the provider BEFORE the normally scheduled time of care is to begin.

      Your account will be terminated after 3 consecutive No Call, No Show days and all termination policies will apply. You and/or your co-signer will be responsible for any charges made to your account.

      You are required to sign your child in/out each day on the attendance sheet up on the bulletin board. Failure to sign in or out will result in a written notice from the provider as a reminder of daycare policy of signing in or out.

      Release of Children

      Your child will not be released to anyone other than those listed on the enrollment forms. Identification will be required of those authorized that are unfamiliar to me. I require that you give written permission in advance or call to verify the person with me in the event an adult not listed on the enrollment forms is to pick up your child.

      I will call the police in the event that anyone picking up your child, whether it is your emergency contact person or yourself, in my care appears to be under the influence of drugs or alcohol should they/you leave the premises with your child. Should the choice be made to cooperate with me I will call an alternate authorized pick up person in lieu of calling the authorities. This will cause the immediate termination of this contract, with pay, for the last 2 weeks of care.

      My concern lies in the safety of YOUR child.

      Medical Emergencies

      I make every effort to keep your child safe through supervision and child proofing, however, minor bumps and scrapes are inevitable.

      I am certified in First Aid and CPR; however, I am not a physician. In the event of a minor emergency (not life threatening) I will, with your permission, perform basic First Aid. I will then contact you or your emergency contact person to advise you/them of the situation.

      In a life-threatening emergency I will contact 911 and notify you immediately. If I am unable to reach you I will call your emergency contact person. If I am unable to reach either you or your emergency contact person it will be assumed that you would like the treating physician to make any necessary decisions regarding your child’s treatment on your behalf. I will not be held responsible for any outcome arising from any emergency treatment decisions made by any treating physician on your behalf in this situation.

      Parents/Legal Guardians are responsible for all costs involved in emergency medical treatment, including transportation, if required.

      It is extremely important that you keep me informed IN WRITING of any different phone numbers that you may be reached at during the day. If you know you will not be available it is up to you to designate an alternate person to contact should such an emergency occur.

      Toys

      One of the behaviors I encourage in our children is respect for others. This includes sharing. Often children have a hard time sharing toys they bring with them from home and for this reason I prefer that no toys be brought to day care from home. I do have plenty of age appropriate toys for the children to play with while they are in my care so they will always have something to play with.

      If your child insists on leaving your home with their personal toys allow them to do so but make sure you leave them in the vehicle upon drop off.

      What to Wear

      Children should come dressed in appropriately sized durable play clothes. I take reasonable precautions to keep the children as clean as possible and to keep their clothing from becoming damaged. Please bring a change of clothing to keep here at daycare. When an item goes home I expect another item of the same thing that went home to return the next day you are in daycare.

      Daily outdoor activity is very important for young children and is a regularly planned daily activity. A child who is well enough to be in care is well enough to play outdoors. This provides the fresh air and movement needed daily for your child/children general well being and healthy development.

      You can help our child enjoy outdoor activities by making sure that he or she is properly dressed for the weather. In winter, this includes boots, warm coat, sweater, snow pants, mitten (not the knitted kind), and hat. In summer, this includes extra shorts, shirt, and a hat to wear if you prefer it. Children play outside every day in the summer time, when it is winter time we don’t go out as often.

      I do ask that the children have their initials on the boots, gloves, and hats; just in the case another child has the same boots or gloves and hat.

      Nap and Rest Time

      All children participate in rest or nap time in the afternoon. The older ones 4 and over can watch a movie but if the child falls asleep, then he or she must need the rest. Children that are under the age of 4 are required to take a nap if they do not sleep they must lay there and be quiet and no playing. Rest time is time to be quiet not time for talking. This is strongly encouraged.

      Each child may bring a small pillow and blanket for rest time. Children are welcome to bring security objects from home if needed to help them rest better but when rest time is over they will be put up until they go home.

      Potty Training

      I will assist in potty training as long as it is understood that it will only work if we work together. Your child will not learn if consistency is not used. You must work with your child at home, either on a vacation or for an entire weekend before I will begin potty training in my home.

      Clothing should be easy to manage to encourage self-help skills. Buckles, belts, overalls, suspenders, and one-piece body suits may create a problem when your child is in a hurry to use the bathroom.

      Parents are responsible for providing diapers, wipes and pull ups for any child requiring them regardless of whether or not potty training has began.

      Termination of Contract

      This contract is valid for 1 year from the effective date.

      I, your day care provider, may terminate this contract at will at any time.

      You, the parents/legal guardians may terminate this contract by providing WRITTEN notification 2 weeks prior to the proposed termination date. All applicable rates will still apply during the 2 week termination period.

      Policy Revisions & Adjustments

      These policies and rates in the contract are correct as of the date this contract is signed. I, your provider, reserve the right to make changes, as needed, to properly serve you and to provide your child with care that will fulfill their needs. The mentioned policies are general in nature and adjustments may be made per individual child and/or parents as needed.

      You will be notified in writing of any proposed changes as they occur.

      No permanent changes will be made to this contract prior to the renewal date unless said changes are mutually agreed upon between you (the parent(s)/legal guardian(s)) and me.

      Agreement

      I/we have read this contract and will comply with all provisions contained herein, and shall at this time enter into agreement with Marsha Schultz for the care of my/our child with the understanding that I/we shall work together on behalf of the child.

      I/we have read, understand, and agree to all rates, policies, and procedures, set forth in this contract.

      I/we have accurately filled out all required enrollment forms presented to me/us.

      This contract is in effect until a change is presented in writing or upon termination of care.

      This contract is subject to review and renewal one year from the effective date.

      Any changes made by the provider to the terms of this contract must be made on the renewal date unless mutually agreed upon beforehand by the provider and the parent(s)/legal guardian(s) both of who are parties to this agreement. Otherwise, this contract, as it reads on the effective date, will remain in effect until the renewal date or upon termination of care as set forth herein.
