Portfolio Management

A key element to successful investing is learning how to take emotion out of trading. By establishing a road map beforehand, the emotional element is greatly diminished because steps are already set up for each scenario you may be presented with. In the movie, The Titanic, do you recall when the captain felt it his duty and obligation to make sure everyone was off the sinking ship and then he showed his loyalty to his ship by going down with the remains? Well, luckily, in the stock market there are no “captain” positions so when you feel that your stocks are showing signs of demise, you can be the first one off and be safe to trade another day. In order to do this however, you must learn how to eliminate emotional ties to the stock and have a plan ready so that at the first sign of weakness you can “jump ship”.

In order to be truly successful however, you must be able to commit to a daily, weekly, monthly and quarterly task schedule. In other words you should treat your portfolio like a business. How many of you, if you owned your own business, would allow one of your employees to embezzle 40% of your profit? The answer is obvious. So why do you allow it to happen with your portfolio? It may be because you lack either the time or the understanding of how to manage your funds and how to eliminate the losses. Time is definitely precious and should be spent wisely. You should spend at least 20-30 minutes a day reviewing these tasks through each time frame. Here are some guidelines you should follow to help you manage your portfolio on a daily, weekly, monthly and quarterly basis:
Daily

Check the stocks you own for “sell signals”.
Check the news on all the stocks that you currently own.
Adjust any stops or profit targets as warranted.
Note any price changes (actual and paper).
Check the stock in your watch list for buy signals.
Check the news on the stocks in your watch list before buying those stocks.
Check the “Newsletters/Commentary”.
Check the condition of the VIX (Market Volatility Index).
Your daily duties should consist mostly of managing your positions and potential positions for sell and entry points and analyzing the direction of the market to help anticipate market shifts.
Weekly

Review the overall market direction and condition.
Run the Sector & Industry Best and Worst performers for the past week.
Run a few stock searches for some fresh ideas.
Evaluate any new prospects by taking them through the fundamental process.
Review key announcements in the economic calendar.
Review Market Trend both the Broad Markets and Sectors. (You may want to do this 2 to 3 times a week.)
Review which stocks have been recently up- or downgraded, and check stocks that have had coverage initiated. (You also may want to do this 2 to 3 times a week).
Your weekly duties consist mainly of market direction analysis and doing some industry searches and regular searches for potential new investments.
Monthly

Run the Industry Best and Worst performers for the past month.
Do a brief review of the fundamental process, focusing on earnings revisions.
Review your trading log and notes for “learning moments”.
Experiment with some new searches.
Be aware of the options expiration date.
Review the split calendar. (You may want to do this on a weekly/bi-weekly basis.)
Review the earnings calendar. (You also may want to do this on a weekly/bi-weekly basis.)
Your monthly duties consist of reviewing your DARN good stocks and finding more DARN good stocks and again doing industry searches and additional searches to find new positions. This is also a good time to review your options positions for expiration dates and analyze calendar events.
Quarterly

Run the Industry Group Information – Best and Worst searches for the past 3 months.
Perform a detailed review of the fundamental process. (Earnings have come and gone, and this could very well effect the Analyst and company Reports.)
Review your investment plan and goals.
Examine stocks in your watch list and eliminate those that no longer look positive and add those that appear to be more favorable (clean house).
Remember that at the end of each quarter your stocks come out with reports, making this a good time to do a detailed fundamental search. It is also a good time to “clean house”.
Make sure you are on target with your investing goals. If you find that you aren’t on track, you may need to do some adjusting to your goals, but don’t forget the importance of having a plan. It will help eliminate the emotion, therefore saving you from sinking with the “Titanic”. You now have a plan set up, but you must be disciplined enough to follow it. Robert F. Mager said it best, “If you’re not sure where you are going, you’re liable to end up someplace else.”
