Minutes of February 10, 2007 meeting

Our meeting was called to order by President Mitch Bowman at 1:15pm.  We had one guest present; Candace Grandier, daughter of Orville & Edith Gose (who were also in attendance).

Secretary's Report: There being no additions or corrections to our Jan. 13, 2007 minutes, Mike Hoover made a motion to accept the minutes as presented in our newsletter; seconded by Lenore Semposki.  Motion passed.

President's Report: Mitch presented a summary of the club's activities this past month.

January 20th, eight members met and moved the last of the club's property from the Morris' and started organizing our Silent Auction items at the Baldwins. 
Special thanks to Ernestine & Bev for providing lunch for the workers.  We still have at least another full day's work ahead at a date not yet scheduled.

The "Back Room" Committee met after working on the Silent Auction.  During this meeting, we discussed all the proposed uses and ideas club members had expressed in previous months.  It was finally decided that for this year, the use of this room as an area for club members to sell personal items (with a percentage donated to the club)
would not be in the best interest of our show; siting security, manpower & liability problems. It was decided that
the use of the "Back Room" would create additional burdens for the club this year. 
WE NEED A LOT OF CLUB VOLUNTEERS to cover & handle all the duties involved during our 3-day Show! ! ! ! 

We also discussed the roll the "Demonstrators" play at our show.  They are the one and only avenue the club has at our show in educating the public.  In the past, most of the demonstrators have donated items to our Raffle. 
The Beading Babes should be commended because they have been the ONE true club function, outside of our show, where members can learn how to create items from gems.  This is what our club is all about!  To my knowledge, they are extremely non-profit.  MGMS donates very little, if any, to their endeavors.  Hopefully the show may give them an opportunity to recoup some of the expenses they incur during the year.  Let us not forget that the Demonstrators are first and foremost "educators" for our club and show.

Secretary's Correspondence Report: Jeanne received a phone call from Jerry Morris.  Both Jerry & Rose are ill with stomach flu.  Due to his illness, Jerry said he would not be able to attend the Chili Cook-off at JCC, where he was going to distribute show flyers  (Lenore S. said she would go in his place).  Rose wanted to let us know she will bring some rocks she had been working on to Bev B.  Jerry reported that he had contacted the Masonic Lodge regarding the use of the "back room" to store our coats & purses in, noting that we would pay up to $50 for this purpose.  The request went before the Mason Lodge Board and they informed Jerry that in order for us to rent the "back room", we would have to pay the FULL cost of $150.  Club members present decided to forego this expense.  Jerry had also checked into the availability of the Lion's sign.  It will be available for our use and he will have it over to the Masonic Lodge 3-4 weeks before the show.

Treasurer's Report: Treas. Lori T. presented the club's Checking & Savings balances as of 1/31/07.

Mike Hoover noted that our insurance is due mid-March.  Bev B. asked what the policy covered as some of it may be covered by their insurance policy.  Bev & Mike will meet before our March meeting to go over the insurance coverage.  Mike will also look into waivers.

We have an up-to-date State Non-Profit I.D. number that is valid through September of 2007.  Lori asked that she be reminded of the renewal date (due on or before 10/1/07).

Standing Committee Reports

Sunshine Report: Betty Heath reported that our new member, Hazel Morgan, fell & broke her wrist!  5 pins were needed!  We wish you a speedy recovery!  Ron Roberts is holding his own.  Orville Gose attended this month's meeting.  It was wonderful to see him back!

Show Chairman Report: No report.  However, after the meeting, it was reported to the club that Mitch had been in contact with Bob Moorehead regarding advertisement in the Lapidary Journal & Rock and Gem magazines.  Show
ads will be in both magazines in the issue just before our show and it is listed on their web sites. Finding the final vendors for our show put him behind schedule and Bob apologized for the delay.

Liaison Report: Lenore Semposki is listing our show in the "Living Today" section of the Jack. Cit. Patriot and also informed us that the newspaper also has a section where we can post our monthly meetings!  Also, if you need more
show flyers, contact Lenore.

Advertising Report: Michelle Schumacher was absent.  However, Mitch B. had been in contact with Michelle and she will check into advertising on "Family Life Radio", etc.

Jeanne B. asked if anyone knew where our "Show Reminder" postcards were from last year's show so we can mail them out.  Location is unknown, probably because of our "move".  If ANYONE knows where the "Show Reminder" postcards may be, PLEASE contact Jeanne ASAP!  

Raffle Report: Betty Heath sold several Raffle ticket packets to club members before the meeting but Betty says, "Buy! Buy! Buy!" …and… WE NEED MORE RAFFLE ITEMS!  Bring them to our March meeting!

Displays/Demonstrators: Bev Baldwin reported that all the displays were finalized.  She has 3 demonstrators lined up: Ernie Aughenbaugh, Orville Gose & The Beading Babes.  However, she has not had a response from Grit & Alice Turner.  Bev also had questions about the tables to be used.  Mitch B. said he'd check with Bob M. about the tables.

Silent Auction: Diane Good reported that a good deal of the day on Jan. 20th was spent in getting items organized to set up the Silent Auction and that we did get about 18 auctions set up.  She also reported that there were several boxes of unmarked items that need to be labeled.  We were unable to meet Feb. 3rd due to weather conditions.  Next Silent Auction workshop is scheduled for Sat., Feb. 17th at 10am.  Please call Bev Baldwin before the 17th so she knows how many workers to plan for.

Security: Mike Hoover reported that, to date, only 1 night had been filled.  Mitch & Jeanne volunteered for Thursday night.  We need volunteers for Saturday night!

Door: Lenore will be handling the scheduling for "Door Duties".  Please call her & sign up if you have just a couple hours you could spend helping out the club!

Lenore is also handling the show's "Potluck Dinner" during Thursday's show set up. 
ATTENTION NEW MEMBERS! This is a great opportunity to meet your fellow rock hounds while helping out the club!  Just bring a dish to pass (the club furnishes the meat) and your time!  We start setting up at Noon March 15th.  Potluck Dinner is around 6pm???

We had "grab bags" for sale last year.  This year, grab bag items will go on the "Gem-o-Rama" table.

Scholarships: Mike Hoover received 2 scholarship applications for club approval.

     Numerous community activities as well as 
     recommendations for her sports involvement and
     Academic achievements.  Interested in the Healing 
     Arts of Gems and Minerals

     Family on Social Security Disability
     Read the article "The Boy who would be King".

Mike Hoover made a motion that we approve these 2 applicants for MGMS scholarships. Jim Bretes seconded.  Motion was approved.  Mike will contact the 2 scholarship recipients. 

JTV/JCP: Dan Hovater asked for a volunteer to appear with him on JTV.  Mitch B. volunteered.  Mike Hoover suggested that our 2 scholarship recipients appear on the show, thus promoting our show and our scholarship program. 

Dan is inviting all of Michigan Center students to our show on Friday March 16th and asked if the admission charged was wavered for students.  There is a $.50 admission fee for all students.  Lori T. will be bringing 25 students Friday at 11:30am.

North Carolina Fieldtrip: Jim Bretes has been working hard in getting the finishing touches done on a fantastic fieldtrip to North Carolina June 9 - June 13.  Jim has centralized the area of the fieldtrip so there will be less driving & fuel costs and more time for finding gems!  We will be digging in REAL mines for aquamarine (Brushy Creek Mine), emeralds (Crabtree Emerald Mine and Emerald Hollow Mine) and garnets (Little Pine Garnet Mine).  So let's get in shape!  We can sign up at the show but all confirmations must be in by May 1st.  Contact Jim for further information.  Toll Free 1-877-972-8471.

Summer Fieldtrips: Got an idea for a 1-day or weekend trip?  We would like everyone to put their  "thinking caps" on!  We need summer trip ideas to destinations where the whole family can be involved.

Unfinished Business

Mike Hoover made a motion for 6 Family passes; 5 for JTV daily prize awards and 1 for JTV Host Bart Hawley.
Betty Heath seconded.  Motion carried.  Jeanne B. will make up the 6 passes.

501C7 vs. 501C3: Pres. Mitch Bowman contacted the IRS regarding our 501C7 status.  After reviewing our
constitution, by laws and mission statement, he was told that our club fully qualifies as a 501C3 Non-Profit organization.  There is a one-time fee involved in submitting an application; $300 or $750 depending on potential earnings.   Under our current 501C7 status, Mitch was informed that we might accept tax deductible monetary donations for our scholarship program IF we establish a separate account for Scholarship use. 

Mike H. had concerns that more may be legally involved in order to accept donations and suggested that our Treasurer or President look further into this before announcing it on JTV or at our show.

New Business

Membership Chairperson: Our Treasurer, Lori Tsutsui has asked for a volunteer to assist her as Membership Chairperson.  If interested, please contact Lori.

Lori also informed the club that she needs a list of club assets (equipment, etc.)  Mike H. said our insurance policy has a list of equipment and will get a copy to Lori.

Jim B. will be bringing a different P.A. system to the show (speakers, microphone and amp) for announcements, Silent Auction, etc.
