| Minutes of November 10, 2007 meeting
Meeting was called to order by Pres. Mitch Bowman at 1:00pm. Sixteen members were present as well as one guest who is interested in becoming a member. Thank you for attending Jeff! Officers Reports President: Thanks to all who helped to finish up the work on next year's Silent Auction. It was nice to have so much accomplished this early in the game. Our next show is just 4 months away and we all know how time flies! No Board meetings to report. Vice-Present: Dan Hovater was absent. Secretary: Jeanne Bowman was absent. Pres. Mitch read the minutes from our October meeting. Mike Hoover made a motion to accept the minutes as read & was seconded by Bev Baldwin. Motion carried. Secretary's Correspondence Report: 1. A letter was sent to Michigan Aggregates thanking them for allowing MGMS to explore their quarry on Oct. 15, 2007. Two guests that were in attendance for this fieldtrip signed up as new members: Barbara May & Valerie Jones. Welcome! 2. I replied to an email we received off our web site from Jeff Windham requesting info on this month's meeting; i.e. time, place, etc. He was interested in attending our meetings. 3. Our 2008 show flyer is now posted on our web site and all Michigan Gem Newsletters are up to date. 4. Per phone conversations with Jim Bretes (our show chairman), ads for our 2008 show have been placed in 2 magazines. The ads will run in their February & March issues. To date, he has received deposits from 5 of the 7 vendors from last year's show. 5. This past week, Mitch & I reviewed the receipts of the membership dues for this year, we found 2 members that are on the delinquent list who had paid for the 2007 year: Carol Kent and Steve & Sue Brennan. Neither have received newsletters since being placed on the delinquent list. 6. I printed up 50 flyers of our 2008 show and delivered them to the Central Michigan Gem show, which was held Oct 26-28. End of Secretary's Correspondence Report Regarding Item 5 on the Sec.'s Correspondence Report, Rose Morris made a motion that we try to make amends for our mistake by giving both parties next year's membership dues free. Hank Hoppe seconded. Motion carried. Treasurer's Report: Lori Tsutsui gave an update on our checking, savings & petty cash accounts. Mike Hoover made a motion to accept report as filed. Betty Heath seconded. Motion carried. Standing Committee Reports Sunshine Report: Betty Heath reported that Ron Roberts is under Hospice care with 2 to 3 nurses a day caring for him. He will be admitted to an urgent care home when one is found. Silent Auction: We have 64 boxes completed, which should be enough for the entire 2008 show. Mike H. suggested we recycle good items that do not sell to auctions later in the day. Rose M. explained that by helping out in preparing auction boxes, she found it a good way to learn how to identify rocks & minerals for new and old members alike. Everyone thanked Diane Good for her work on chairing this committee. Scholarship: Mike H. reported that scholarship applications were mailed to all schools & counselors in Jackson Co. on Nov. 1st. Mike said that Jim Bretes helped out with printing of the application forms. A bill was submitted for postage. Beading Babes: Next class will be held on Dec. 6th at 6:30pm. The project will be a Ladder Stitch bracelet. You will need 1 color #8 seed beads and 5 colors of #11 seed beads. Call Bev Baldwin for further details. Learning Fair: Lenore Semposki shared with everyone the highlights of the club's involvement at this year's Learning Fair. She estimated that 200 kids enjoyed learning about rock and mineral identification. She read a thank you letter she had received from the fair's coordinators, Jim & Angie, thanking us for our involvement. Lenore thanked Bev & Ernestine Baldwin for helping the kids make necklaces (which were free), Diane Good for demonstrating polishing rocks by hand; Mike Hoover for sharing the videos for the kids & families and Linda Henline who made up grab bags for the kids. Next year's Fair will be July 10th & 11th at Spring Arbor College. Mike H. said that help would be appreciated in the construction & moving of sand for the "kid's sand box" with different small rocks and minerals to identify. All helpers receive a free T-shirt and lunch each day. Barbara May said she would supply crystals from Arkansas for next year's Fair. Any other donations of small rocks and/or minerals would be appreciated as well as egg cartons for the kid's collect kits. Thanks to all the members who made this year's Learning Fair a success. Your hard work is appreciated & the club greatly benefits from your efforts. Unfinished Business 1~Jerry Morris contacted a woman who caters in Parma & she gave him a sample menu. She is also agreeable to give 10% of her profit to the club. This info has been forwarded to our Show Chairman. The club wants to make sure that our previous caterer gets equal consideration. A question was asked on who makes the decision as to who the caterer will be. It was decided that this falls under the charge of the Show Chairman. 2~ Jerry also gave an explanation of the "call list" procedures. This involves a reprint of our current roster and a number being placed in front of each family listed. A calling committee will designate who each person calls (no more than 3-4 people per person). If something comes up where the membership needs to be notified immediately, call the President who will in turn, call the Officers & Board Members. More specifics were given & a written copy of the plan will be forth coming from Jerry. Thank you, Jerry! Good Job! 3~501C3: Mitch B. stated he would get the ball rolling and try to have the application ready by our December meeting. 4~ Mike H. mentioned that he also works with the Scouts and would appreciate more rock specimens that would fit in egg cartons for future endeavors. He is all set for this year. 5~Diane Good is involved in the making of CD's on locating areas in Michigan & the surrounding area, where fossil beds & geological information of our past can be located. Her resources are the Dept. of Environmental Quality, Michigan Prehistoric References and other reference sites. She is compiling this information & would like to receive $1 for the club and $1 to cover her expenses in keeping with our non-profit venue. All interested persons should contact Diane for details. New Business Nomination Committee: Last month, I volunteered to chair our Nomination Committee for 2008. Bev Baldwin and Rose Morris volunteered to assist. Together, we tried to contact all of our members to seek out interested persons to run for our club Offices and Board of Directors. I am happy to report that we do have slate of nominees and at this time, we would like to bring the slate of nominees before the membership as well as to accept any nominations from the floor. 1. President - Our committee would like to place Jerry Morris on the slate for President. There being no further nominations from the floor, Mike Hoover made a motion to close the nominations for President. Betty Heath seconded. Motion passed. 2. Vice President - Our committee would like to place Mitch Bowman on the slate for Vice President. There being no further nominations from the floor, Mike Hoover made a motion to close the nominations for Vice President. Betty Heath seconded. Motion passed. 3. Secretary - Our committee would like to place Barbara May on the slate for Secretary. There being no further nominations from the floor, Mike Hoover made a motion to close the nominations for Secretary. Hank Hoppe seconded. Motion passed. 4. Treasurer - Our committee would like to place Sue Estep on the slate for Treasurer. There being no further nominations from the floor, Mike Hoover made a motion to close the nominations for Treasurer. Lenore Semposki seconded. Motion passed. 5. Board of Directors (3) - Our committee would like to place the following members on the slate for Board of Directors: Bev Baldwin Thurman Estep Lenore Semposki Mary Ann Wilson There being no further nominations from the floor, Mike Hoover made a motion to close the nominations for Board of Directors. Hank Hoppe seconded. Motion passed. The slate of nominees was closed as presented by Mitch Bowman, Bev Baldwin and Rose Morris! (GREAT JOB!) Christmas Potluck/Meeting The potluck will be held on Saturday, December 8th at the Leoni Twp. Hall. Set up will be at Noon with the potluck starting at 1:00pm. Our club will furnish the meat and coffee. Please bring a dish to pass, your own table setting and your own pop or water. No smoking/alcohol allowed. We will also have our Christmas Present exchange. Please bring a Ladies, Men or Neutral gift for the exchange ($5+ gift min.). There being no further business to discuss, Hank Hoppe made a motion that the meeting be adjourned. Jerry Morris seconded.
