  1. Introduction and Changes to Agenda – Cheryl Anseeuw
    1. Cheryl welcomed everyone to the meeting.
  2. Recognition and Thank You
    1. Staff Luncheon – thank you to Sara Olivotto and Nellva Kurylo for all their work in coordinating the luncheon. It was greatly appreciated and staff thoroughly enjoyed themselves.
    2. Bingo Volunteers – September to December: Janet King, Judy Langford, Mike Gray, Donna Ames, Agnes Sutherland, Kelly York, Joanne Thomas have all helped with Bingo.
    3. Thanks to the Executive for working on the Gaming Submission. This has been delivered.
  3. Secretary Report
    1. Minutes of November 21, 2001, were distributed. Moved by Nellva Kurylo and seconded by Miriam Rostek that the minutes be accepted. Approved.
  4. Student Council Report
    1. Phase II Job Action and student impact and concerns
      1. Exams are coming up and there are minimal tutorial sessions
      2. Library is not accessible during lunch
      3. Sports team tournaments and playdowns are on hold
      4. Grad activities (dances, etc) are on hold unless adequate parent volunteers can be enlisted
      5. Leadership camp is proceeding as this is part of a credit course
      6. Provincial walkout is scheduled for Jan 23 – student council plan to put together an information sheet on the main issues so that students are better informed as to why they are ‘walking out’
    2. Student Council funding requests
      1. Strathcona – Leadership; 40 students will be participating and the cost so far is $130/per student which will help towards the total cost of the program ($9000). Request is for $500 towards the cost of transportation
      2. Grad Activities: Parent volunteers are required for the Fashion Show (March 7); Club Grad receipts (early Feb); Oak Bay Recreation Lockin (April 6)
      3. Request for funding to help with the cost of the MtDoug grad committee gift (souvenir to all grads)
  5. Principal’s Report
    1. Job Action (what will happen should this be in effect for a long time)
      1. Extra-curricular activities are not allowed at this time
      2. Dances will be covered by paid police and security personnel, as well as parent volunteers
      3. Strathcona – Leadership Adventure – this is part of a credit course and the GVTA felt that as there is no direct instruction given by the teachers in attendance, there was no problem with it continuing.
      4. Fashion Show and Oak Bay Lockin are still being planned and will look at how best to make these happen
    2. Telephone
      1. Messages were sent out reminding families of upcoming exam dates
    3. Tutorial sessions
      1. Two part-time teachers are being paid to offer limited tutorial sessions (Physics and Math) on Mon, Wed and Fri prior to school and at lunch. Also a number of past grads have offered to come in and hold tutor sessions.
    4. Library access –Study Hall facilities- Rooms 210 and 212 have been opened up at lunchtime as study halls or quiet areas for students.
    5. Grade 12 marks – all grade 12 students will receive their term marks at the end of the semester
    6. Government Exams – teachers may not supervise exams; therefore, exams will be written in the gym.
    7. Extra-curricular activities - volunteer coaches can proceed with practices
    8. Student walkout
  6. Athletics Department – Bernie Kidd
    1. Leadership camp update
    2. Sports equipment and uniforms are in good shape
    3. Job action and sports – if job actions continues, some sports will be cancelled until next year
    4. Annual corporate sponsorship was discussed
    5. Volunteer coaches – criminal record checks / liability issues
  7. Chair Report – Cheryl Anseeuw
    1. There have been a number of parent phone calls regarding the teacher job action. An information link will be created off the schools website to deal with most of the questions.
  8. Correspondence
    1. Thank you note from Meg Burrows for her scholarship.
    2. Gaming application has been completed and submitted
    3. Letter from the Solicitor-Generals office regarding upcoming changes to gaming fund distribution.
    4. Information on travel expense forms (sporting activities)
    5. Joe Parsons’s workshops were well received and very informative. Moved (John Bird) and seconded (Miriam Rostek) that an honorarium of $250 be paid to Mr. Parsons. Approved
    6. Cutbacks in Social Services funding to schools will be closely monitored. Thank you to John Bird for all the background work he has been doing in this area.
  9. Committee Reports
    1. Grade 12 – N/A
    2. Grade 11 – N/A
    3. Graduation – we need to recruit another parent volunteer to head up the grad committee
    4. Communication – Linda Bertram would like to be contacted prior to any school messaging being sent out in case there are additional messages from RAMPAC.
    5. Emergency Preparedness – N/A
    6. Bingo – N/A
    7. Fundraising – N/A
    8. VCPAC – John Bird
      1. Pat Williams reviewed the Foundation Skills Assessment statistics with members of VCPAC
      2. Review of the distribution of non-public funds
      3. Middle school implementation update – please contact Sherri Robb for further information, or visit the District webpage
  10. Treasurer’s Report- Miriam Rostek
    1. Balance in account: $8,872.17
    2. Leadership request for $500 – approved

Moved by Miriam Rostek and seconded by John Bird that $500 be paid to the Leadership group for their trip to Strathcona, and that an additional amount of up to $500 be held for students who are not able to attend due to financial restraint. Approved
