SUBJECT : The 10th Meeting of Quebec Cycling Clubs

Presidents,

We are pleased to remind you that the 10th Meeting of Quebec Cycling Clubs is approaching quickly. This year, the Le Suroit Cycling Club and the Beaconsfield Cycling Club have the honour of hosting you and the members of your cycling club in the magnificent Prequ'île (Vaudreuil Soulanges) region the 17th, 18th, and 19th of September, 2004.

As I'm sure you are aware, the success of such an event depends on the participation of cyclists. This is why we are counting on you to pass this letter on to all members of your club in order to invite them to discover our region, along with cyclists coming from all corners of the province. Rides for all tastes and for all levels of cyclists have been planned for the event.

We are also pleased to invite you to the Saturday evening event ($) taking place at the Sucrerie de la montagne sugar shack, on Mount Rigaud. You'll enjoy one of the best Quebec traditions! In short, we promise you a weekend of pleasure and discovery, without forgetting your participation in the Sunday meeting as president of your club. Note that you can appoint one of your members to assist you or even to represent your club at this meeting.

We would appreciate it if you could put this event on your club ride calendar in order to make the most participants aware as possible. There are no fees for the rides on the Saturday and Sunday, however food and lodging would be at your expense.

We hope it will answer all your questions regarding: the agenda for the weekend, the lodging options nearby, the ride itineraries, the regional attractions, the weather forecasts, the support services offered, the rules of the road, our sponsors, your suggestions regarding topics to discuss at the Meeting and even more. Of course, we recommend that you return to the site often as new information will be added monthly to respond to the needs of participants.

Your members will also be able to let us know which activities they will participate in: whether the 6 to 9pm welcome on Friday evening, the Saturday ride, the 5 to 7pm Saturday evening, the Saturday dinner at the Sucrerie de la montagne sugar shack, the Presidents' Meeting on Sunday morning, or the ride on Sunday morning. While there is no formal registration process, having this information will allow us to allocate resources appropriately. Don't forget to specify your riding speed so that we can evaluate the number of groups and group leaders required. Of course, additional information will be supplied the days of each of the departures as well.

Please note that reserving lodging early will allow your members to ensure they have lodging in their price range near the departure points. It will also allow us to better plan resources such as volunteers to ensure the success of this 10th anniversary event.
