M.A.G.I.C. LC Meeting Minutes

November 19, 2000

Called to order by First Officer at 1:05 PM.

Covens represented were Circle of Glas Dracorum, Moon Mist Rising, Circle of Wondrous Stories, The Crafters Coven, and Wyrd Roots of the Sacred Forest. Quorum meet for the meeting. Absent from the meeting were Pursewarden Mari, PIO Figment, Correspondence Secretary Pat, and back up to Recorder Carol. A short grounding and centering lead by Oberon to open the meeting.

Officer Reports

First Officer
- Puck has been having a lot going on and wishes to step down from the position. The council had decided on a year long term for officers positions. He will stay on until Lammas. Proposal passed by consensus that officer nominations will be taken in Mid-Summer, election to be held at Lammas, and assume officer position in Mabon. We can be on track with National and know our new officers when Merry Meet takes place. Noted that need to make sure officers are not suffering from burn-out.
Defined Summoner as the person handling the newsletter, and contacts to members about meetings and similar. Proposal Passed By consensus that Omega will perform the Summoner duties.
There maybe other duties not covered by current officer positions that may come up in the future.

Recorder
- Meeting minutes passed by consensus. Moonowl sent the minutes to he national publication officer and they should be printed in the COG newsletter from now on. She contacted the publications officer on what is needed from Recorder for printing in the newsletter. Only critique was that any proposals be in bold type, and noted that was passed by consensus.

Pursewarden
- report given by Caridwyn in Mari's absence. The quarterly fiscal report was sent to national for the period of March to October. Copy given to Recorder for records. At this time we have $1,018.90 before the expenses incured at Samhain., Beltane $108, the psychic fair made $481.90, Samhain ritual $429. Any receipts for expenses need to be turned in. Mari will work the sign in at the Yule ritual.

Correspondence Officer
- Pat was called briefly for her report. She has been getting the fliers mailed out and will be mailing them out for Yule. She will be updating her mailing list. She has been checking the P.O. Box at least once a week. It was noted that the Post office prefers things to be all in caps with no punctuation.

Membership Officer- Caridwyn needs credential forms from those that have not turned one in yet. She needs each groups charter number, and any credentials number once they come through. She asks that a copy of your letter be sent to her or the numbers e-mailed to her. She will be putting together lists of the coven reps, officers, pending applications, and credentials. Oberon accepted the position of back-up to membership officer.

PIO- No report. Figment was unable to attend.

Old Business

Critique of events/future plans
- Child care needs to be addressed further as it has been unplanned so far. Kayla and Oberon will be taking charge of the child care at the Yule ritual. It was suggested that more emphasis be made on memorizing speaking parts in the rituals. We can brainstorm on memorization techniques during a future ritual planning gathering. People do not have to worry that it needs to be word for word. When cold weather is a possibility we need to have an in door location. Affirmations was pleased with the psychic fair. Next time we need to reserve the space earlier so people are not so spread out. Keeping it in October will probably be the best time for good turn out. Also, changing it to a shorter time frame of 12-6. We need to contact places early to reserve space and block of time.

Ideas to work on
- We need to put together fliers and information to set out at events. Convocation in February would be a good place to get a lot of fliers too. It was suggested that we could offer a year long M.A.G.I.C. pass. For a certain donation a person would get a pass that gave them free or discounted entry to all our events that year. Setting up an agenda for the year will let us look at booking space for events in advance and let us get fliers out in plenty of time. Also, putting together a list of publishing deadlines for places we can advertise our events.We need to put together the coven bios for our groups. Format open for the moment. Each group can bring and example of their bio to the next meeting.

Yule Ritual
- Caridwyn firmed up volunteers for the ritual players. The time frame we have is 2-9 pm. We have to hire the custodian of the building at $10 per hour. The costs so far are custodian $90, and room rental $150. We will try to post the event in the Metro Times calendar. Decided that M.A.G.I.C. members helping run the event, and that have parts in the ritual will be 1/2 price. We need to work out what we want to do for payment scale in future events.

Merry Meet/ Council Dues
- Puck read part of the Local Officers handbook in regards to officers duties. Second Officer is the contact for fund raising for going to Merry Meet, support to pursewarden and recorder. It was suggested that we set aside the money generated at the Beltane to help fund going to Merry Meet. Proposal passed by consensus that we use the $200 raised in the raffle to go toward the national dues, which is about $34 per group.

New Business

Admission Policies
- We need to work on guidelines for price to admission to events. It might need to be on a case by case basis according to the cost of running the event. Decided that no one gets in for free. Both the ritualists, and helpers should be considered in some way.

Membership Policies
- New members need to be refereed to Caridwyn. New applicants should have local and national dues for a year to apply for council membership. We need to decide on criteria for new members. Also, to set guidelines on what grounds a group can be rejected. Would probably be about 4-6 month process. Moonowl is working on putting together a sample policy on membership and conflict resolution to be discussed at the next meeting.

Officer duties
- Each officer should work on defining their position, express what they need from the LC, see what information they need to have, and what service they offer to the council. It was noted that First Officer is responsible for rumor control. If conflict not resolved at local council level can call upon the national Membership officer for some help.

Future Ponderings
- Do we want to contact Samhain Harvest for 2001 event to get a block of time? Do we want to host a room party at Convocation to get the word out about our council? Do we want to do a weekend retreat for local council members to set up our policies for the year? Possibility of Circle Pines as site for Merry Meet 2003 or 2004? Next meeting will be February 24th 1PM at Kala's house.
