ACADIA MINOR HOCKEY ASSOCIATION Meeting
Meeting - Sunday,
July 24th, 2005 7:00 p.m.

MINUTES OF PREVIOUS MEETING
The minutes of the previous meeting were approved with the
following notations being made to fees:
Novice 3 - $275.00
Atom - $335.00
Peewee -
$350.00
Motion by John Curry, seconded by Paul Murphy, that the Minutes
of the July 10th, 2005, meeting be approved. Motion passed unanimously.
UPDATE ON REGISTRATION FEES, VENUES, DATES
Registration fees will be as follows, based on the
recommendations of Dave, John, Sheila and Laurie:
Novice Quick Start - $75.00
2nd year Novice skills -
$100.00
Novice 2 and 3 - $275.00
Atom - $335.00
Peewee - $350.00
The formula for calculating the fees are as follows:
No. of hours of ice time x $115.00 x cost of time keepers
& referees - 15 players + AC + DC + banking charges
Dave reported that we will have 6 teams in our Novice house
program. Motion by Dave Upton to approve the registration fees, seconded by
Larry Rodrigues. Motion carried.
FUNDING RAISING
Dave Upton reported on a fund raiser through Varsity Gold Card.
For a cost of $20.00, the card provides discounts to businesses in the local
and other communities. The Association would receive $14.22 for every card
sold. The issue was whether or not a card would be sold on a per family basis,
or on a per player basis. Motion by Dave Upton that the sale of the discount
card at $20.00 be part of the Acadia Minor Hockey Association Rep fees,
seconded by Paul Murphy, 8 in favor, 2 against. Motion carried.
Dave reported that he was organizing the Blue and White game and
planned to use the "Year of the Veteran" to promote the game through the
Legion. He anticipated receipts from that game in the range of $8,000.00 to
$9,000.00. The game will occur at the Acadia arena on September 29th, 2005.
Tickets will be $5.00 and be available through the Legion. Dave was attempting
to arrange that the tickets could be included as part of the season's ticket
package. Advertising will be sold in the program. Len Hawley will be asked to
promote the game. Acadia will be covering the ice and the officiating expenses,
and AMHA will receive the proceeds from the game.
REGISTRATION
Laurie reported that the County Fair Mall was available for
registration purposes. Tina suggested that registration occur by way of mail in
and on the evenings of August 29th and August 30th, 2005, from 6:00 p.m. to
9:00 p.m. Mail out to parents will be completed over the next several days and
posted on the website. A registration form for try outs will also be prepared
and forwarded with the hockey registration forms and information packages.
PLAYER EVALUATION COMMITTEE
Paul Murphy reported. He presented a draft schedule attached as
Schedule "A" and the information contained in the
attached Schedule "B" is the draft information bulletin for the website. In
relation to the cost for try outs for Atoms and Peewees, the proposal is $50.00
which would include the conditioning camp, Bantam is $60.00 and Midget is
$70.00. Cost for Novice for the Player Evaluation process would be
approximately $30.00. Goalie evaluation is separate and apart from skaters will
occur on the Friday evening and the returning players will be asked to act as
shooters during the evaluation of the goalies on these separate sessions.
Goalies will be evaluated in these separate sessions during the regular player
evaluation and skill sessions and scrimmages. It is anticipated that there will
be four other evaluators other than the head coaches for the AA and AAA teams
for that evaluation pool of players. Players will be broken into teams and
assigned a permanent team and a permanent number. Evaluators will only receive
the numbers of the players and not their names. There will be a debrief after
each evaluation of approximately 40 minutes when the head evaluator will take
all of the individual scores from the individual evaluators and their score
sheets and enter them into a master sheet, tabulate the master sheet and
compile a ranking after each session. The division coordinators and the lead
evaluator will be responsible for ensuring that all of the players are on their
lists, have an assigned team and assigned number. Any changes in numbers and/or
teams will be coordinated through the division coordinator passed on to the
head evaluator and then to the evaluators. Only the division coordinator and
the head evaluator will know the identity of the players. Sweaters will be hung
in dressing rooms. Players will not access the dressing rooms until ½
hour before their scheduled ice time. Parents will supervise the dressing rooms
and the hall ways and ensure that players have their appropriate jerseys on. On
ice personnel will enter the dressing rooms 15 minutes in advance of the ice
time to explain all drills. Division Coordinators will be the only individuals
making calls in relation to the player movement. If a player starts in the A/B
group and is moved to the AAA/AA group, then his scores from the A/B group will
be discarded and his scores in the AAA/AA group will be prorated. Paul
explained that for the last position from either defencemen and/or forwards,
that any player within three points of that bottom score can be exchanged for
the player and/or players with the bottom score. This provides the coaches
latitude in the selection of their team. Paul also explained that lead
evaluators and the head evaluator in each division would not be evaluating
unless an evaluator did not show up. The job of the head evaluator is to
oversee the whole of the process for the division. The job of the lead
evaluator is to deal directly with the other evaluators and coaches, on ice
staff, ensure that the evaluation occurs as according to the protocol, lead the
debrief, gather the score sheets and tabulate them and rank the players.
In relation to the marking of players, on a scale of 1 to 5,
each player will start as a 3 and either move up or down.
In relation to the checking clinic which will be mandatory, Dave
Duncan will make enquiries for ice time on either the 10th or 11th of
September.
Motion by John Curry that the above-noted costs for try outs and
condition camps be approved, seconded by Aaron Ward. Motion carried
unanimously.
NOVICE III TEAM
Dave Duncan reported that he was waiting to hear back from the
Central Minor League concerning access and Terry Beck concerning the travel
permit.
OMBUDSMEN
The Ombudsman's job description passed and adopted by KAMHA was
presented by Laurie Dauphinee. After some discussion concerning the job
description, the issue is tabled for further debate.
PARENTAL CONTRACT
Dave Duncan, presented the Hockey Regina Parental Contract.
Larry Rodrigues agreed to prepare a draft Parental contract which would be
linked to our discipline policy for review and consideration of the Board.
ICE TIME
Dave Duncan advised, given the lack of availability of ice time,
that teams may be limited to 1 ½ hr. of ice time per week and that two
teams would be on the ice for approximately 1 hr. together, and each team would
have a ½ hr. separate from the other. During the time period that the
teams are on the ice together, "flow drills" would be run. AAA/AA teams and A/B
teams would be paired together for this shared ice time.
Motion to adjourn by Larry Rodrigues, seconded by Dave Upton at
10:00 p.m. Unanimously carried.
