Transferring Your User ID to a New Workstation


Each Lotus Notes user is issued a file called the User ID. This file contains information on the user’s password, access privileges, and Department Charge Code (DCC).

When a user moves to a new workstation, this User ID must be transferred to the Lotus Notes directory on the new workstation. Since each User ID is personalized, the user should copy the User ID to a disk to take to the new workstation. Then delete the User ID from the previous workstation. At the new workstation, delete any existing User ID from the workstation. Then copy the new User ID from the disk to the c:\notes directory on the new workstation’s hard drive.

You may use File Manager to transfer your User ID to a new workstation. To begin, label and format a blank floppy disk. Place the disk in the appropriate drive slot, typically a:.

Step 1: Identify your User ID.

On the workstation you will be leaving, launch File Manager. Locate the User ID, typically named user.id, in the c:\notes directory.


Step 2: Copy your User ID to a floppy disk.

  1. Click once on user.id to highlight the file. Move the cursor to the menu bar and click on File to pull down the onscreen menu. Then click on Copy.
  2. File Manager asks for a destination path for the file. Type in the drive and directory of your floppy disk, usually a:\.


Step 3: Delete your User ID from the old workstation.

  1. Remove the floppy disk which now contains a copy of your User ID. Place the floppy disk where it will be safe and will not be forgotten when you move.
  2. Now make sure user.id is highlighted on the c:\notes directory. Again, move the cursor to the menu bar and click on File to pull down the onscreen menu. Now click on Delete.
  3. File Manager will open the Delete window. Make sure the file listed in the window is user.id and the directory is c:\notes. Click on OK.
  4. As a precaution, File Manager will ask you to confirm that you want to delete user.id. Again, check the file name and directory to be sure they are correct. Click on OK.


Step 4: Copy your User ID to your new workstation.

  1. When you arrive at your new workstation, place the floppy disk containing your User ID file in the floppy drive. Then launch File Manager.
  2. In File Manager, click once on the icon for your floppy drive, typically a:. Then click once on the file user.id to highlight the file name.
  3. Move the cursor to the menu bar and click on File to pull down the onscreen menu. Then click on Copy.
  4. File Manager asks for a destination path for the file. In the To: box, type in c:\notes\user.id. Click on OK.
  5. If a previous version of user.id exists in the c:\notes directory, File Manager will ask if you want to replace it. The old version of user.id, however, does not contain your personal password, access privileges, and DCC number. Click Yes to replace it with your own User ID.
  6. File Manager will copy your User ID file to the c:\notes directory. You should now be able to use Notes normally, with the same password and access you used at your previous workstation.
