Acceptance of previous minutes

MINUTES OF THE AGM ON 26 JANUARY 1999

1. OPEN AND WELCOME

Donald Mellors the current chairman welcomed all to the meeting.

2. PREVIOUS MINUTES

Donald Mellors read through the previous minutes (14 November 1988) and made the following comments (noted against points from previous minutes):

  • (7) Membership was increased to R80 in 2000
  • (8.1) The clubhouse is currently for the exclusive use of Dosco
  • (8.5) Fell away - new club could not be started - all athletes to join South Coast Striders
  • (8.6) Fell through
  • (8.7) Did not take place - scheduled for 2001
  • Club runs were a great success

Minutes confirmed as a reflection of the meeting by Riana Michau and Simon Welch.

3. CHAIRMAN’S REPORT

Donald Mellors read out a report (see attachment)

4. TREASURERS REPORT

The treasurer, Kerry Blewitt, presented the financial statements . The following issues were pointed out from a report received from Larraine Barry (Auditor):

  • The books are audited against a cash receipts and payments system and therefore no provisions are catered for.
  • The figures for 2000 are for 18 months compared with 12 months for 1998.
  • R 4000 included in sponsorship received from DOSCO was for costs for the Cape Town run undertaken by Donald
  • Sundries included flowers on various occasions.
  • Costs from the year end function (held 23 June) were not included
  • Not all costs related to Comrades 2000 are included

5. SECRETARY’S REPORT

The secretary’s report was read out by Keith Reynolds (see attachment)

6. CLUB CAPTAIN’S REPORT

It is not constitutionally required that the club captain prepare a report. Due to the successes achieved during the year a report was requested by the chairman. The following points were highlighted by Eric Wasserman:

  • The club has been identified by other runners as a club of substance
  • Positive feedback received from sponsor - we are noticed on the road
  • The club is geared as a social entity but we are proud of special achievements. The following athletes achieved race placing on various occasions during the year:
    • Gert Hartman (G)
    • Johanna Maree (G)
    • Jimmy Harding (M)
  • The club competitions were distributed over various distances and will remain so. The future focus should be to ensure all distances are looked at throughout the year.
  • Points challenge was well attended initially - re-look in to ways of keeping the competition alive throughout the year and increase participation.
  • Away races had excellent attendance
  • Two Oceans had a poor turnout - attributed to the timing of the race as well as the route change.
  • Sabie should be looked at as an annual event
  • Club runs got off to a slow start but picked up momentum and will continue to be a club event.
  • Time trials were very well attended
  • Thanks to all who helped with cycle race marshalling - funds raised for the club for our help - good relations built between runners and cyclists - high standard of marshalling noted by top cycling officials.

Eric concluded by wishing his successor well and expressed his confidence in the candidate.

7. NOMINATIONS OF 2000/2001 COMMITTEE

The following Nominations were received for the 2000/20001 committee:

Voting for the 3 member occurred with the result that Julie Wegg, Eric Wasserman and Marius Maas were elected onto the committee.

A new responsibility of clothing co-ordinator was created - Joey Erasmus was elected into this position (unopposed).

8. MEMBERSHIP FEES

Annual fees (Membership and license) were increased for 2000 to cover the increase by CGA.

There are no current indications from CGA that the license fees will increase for 2001. Should any increase occur the annual fees will be adjusted accordingly.

9. SUB-COMMITTEES (Away races - Grub Runs etc)

  • Donald proposed that members handle club runs on a basis of supporting 1 club run per member per year. All in favour.
  • In future, away trips will be co-ordinated by a sub-committee consisting of members and 1 committee member for each event. All in favour.

10. CLUB RACE

The club race is set for 21 October 2001. A sub-committee will be formed in September.

Brian John, race co-ordinator for the Lite race has volunteered to assist.

11. GENERAL

  • Cross country should be promoted within the club
  • The points system and club competitions sometimes involve running on 2 consecutive weeks and should be spaced better. Donald and Eric briefly explained the idea of participation behind the structure. It was agreed that this issue would be avoided as far as possible in future.
  • Members requested that not all races be held on the same day (E.g. Saturday). It was pointed out that the day of the race is usually determined by the province the event is held. The competition is generally spread over a combination of Gauteng and Northern Gauteng events.
  • The new committee should look into obtaining name tags for all members
  • Feedback received from various sources that DOSCO is a great club and is attracting members to itself.
  • A request to assist with transport costs was raised. It was suggested that members attend club events such as time trails, where they can discuss events and share costs between themselves.
  • Any suggestions for new events for away races should be forwarded and will be looked into by the committee.

12. CLOSING BY NEW CHAIRMAN

Donald thanked the outgoing committee for their efforts and welcomed in the new committee. Eric Wasserman received special thanks for his persistence and efforts.

In closing Donald thanked all members present for attending and making the meeting a success.

It was confirmed that no changes to the constitution were required.

Chairman's report

The year started off slowly and worryingly with regards to the registering of members. Then, beyond all expectations new members started signing on, that on two occasions we had to purchase new license numbers from the C.G.A. This is a good sign, especially for our sponsor and to the committees past and present. A big thank you to the committee. Especially since their office term was extended by six months.

The away races this season: "Two Oceans" and unofficially the "Om Die Dam", were organised again in the most professional way that our members have come to expect. Unfortunately the response for the " Two Oceans" package was not as what it has been in the past and therefore had to be cancelled. Apologies to anyone who was inconvenienced by this cancellation. The committee did its utmost to help accommodate members who never had alternative arrangements.

Then last but most definitely not least, was the SABIE trip. Again what a weekend of fun and entertainment had by all.

Again well done to those who were involved.

Time trials and tent races have been well attended and hope that this will continue.

The COMRADES 2000 was the hilight of the year. 95 entries and the trip with all the Wasserman frills attached. Who can complain? CONGRATULATIONS to Eric, Gisella and the committee members. Organising such a trip is not easy. I must also compliment the members on their behavior and understanding. You were all fantastic.

There always comes a time when one has to mourn the death of a loved one. Our time was the sudden passing away of Eddie Rudolph at the Pick ‘n Pay - Jeppe Quondam - 19 February 2000. This was a sad day in the life of DOSCO E.T.S. GIJIMAS. Then there is also the time to celebrate the birth of the new generation. Congratulations to those members who were blessed with the birth of their children and grandchildren.

To the committee, you have all kept to the high standards set by the previous committee and by doing so pleased me and if I may say so, pleased all the members as well. Congratulations.

To Anneth Coetzer and Anne Singleton thank you for your inputs during your time on the committee.

If this is the way the members are going to react and behave in the future, then DOSCO E.T.S. GIJIMAS is where I will continue to serve and be a member of.

To our sponsor, Ken Barnard of DOSCO E.T.S. -Thank you for the support during the season and may this relationship continue for a long time to come.
