Trip Policy

PREAMBLE:

These policies are guidelines based on the premise that we are a group of friends and that we will always treat each other with courtesy, respect, and friendship.

TRIP REGISTRATION:

Members registering for a trip must submit a signed trip registration form, a check for the deposit required for that trip, and a check for the balance due postdated to the cancellation date published for the trip. All balance checks will be held until the dates they are made out for. Only those persons who have satisfied all of the above requirements shall be considered to have full participant's rights. Please pay by check as cash is difficult to account for.

In the case where the first night's signups exceed the available spaces, a lottery will be held. This lottery will be held at the first Executive Board meeting following signups night. All persons signed up will be entered in a lottery for the available spaces. After available beds are exhausted, names will be placed on a waiting list in the order drawn. Anyone placed on a waiting list will receive an immediate and full refund. Any openings which may occur on the trip due to cancellation or expansion will be offered to those on the waiting list in the order the names were drawn. If a person on the waiting list cannot be contacted within a reasonable period (depending on the nearness of the trip), he/she will be skipped and the next person will be offered the space. For the first signups night only, members will have priority over guests.

GUESTS:

Guests, sponsored by a member participating in the trip, are welcome on club trips. Sponsored guests may sign up for any trip at any time.

The sponsor is responsible for the guest's behavior and for any cancellation, "no show", or liquidation fees that a guest neglects to pay.

As the purpose of the guest policy is to introduce new people to the club, Guests are only allowed to participate in one ski trip before becoming a member.

CANCELLATIONS:

The cancellation deadline is normally 35 days before the trip's departure, precise dates will be provided for each trip. The only acceptable means of canceling is to directly contact either the Trip Leader or the Winter Vice President.

Persons canceling before the cancellation deadline are subject to a $10 cancellation fee.

Persons canceling after the cancellation deadline are subject to a $25 cancellation fee. Additionally, if they are not replaced, they are responsible for any costs incurred by the club due to their cancellation. (Every effort will always be made to cancel, resell, or resize trip costs when possible.)

NO SHOWS:

No shows are people who do not participate in a trip and who do not cancel as defined in the above cancellation policy. No shows will be charged a $50 no show fee plus any costs incurred by the club due to their non-participation.

TRIP CANCELLATIONS:

Trip participants may be liable for any deposits or expenses which are not returned to the club when a trip is cancelled or altered.

If poor snow or other unfavorable conditions force cancellation of a scheduled trip, a comparable alternate location will be selected if the necessary arrangements can be made. If such a change is made and you do not participate, the regular cancellation policies apply.

APPEALS:

All appeals of cancellation fees, no show fees, etc., will be reviewed by the Downhill Skiers club Executive Board.

DEPARTURE TIMES:

All trips will leave promptly at the designated times. People missing the departure times will be considered no shows as defined above.

All transports will depart for the slopes in time to arrive 15 minutes before the lifts open.

Departure time from the slopes will be 30 minutes after the lifts close or 5 PM local time, whichever is earlier. This may be adjusted due to flight departure times.

Only the trip leader may, under emergency conditions, alter departure times.

AIRLINE TICKETS:

Reservations for flights will be arranged by the club. Purchasing of these tickets is the responsibility of each trip participant.

The order in which a person should sign up for a flying trip is as follows: 1 ) contact the Trip Leader to determine if there is space remaining on the trip, 2) contact the designated travel agency to obtain airline tickets, and 3) present the signup form and necessary checks to the Trip Leader to signup on the trip. This policy is necessary due to the difficulty of obtaining inexpensive airline tickets as the time for a trip approaches.

AIRLINE BAGGAGE:

Due to the limited trunk space on trips using rental cars, allowable luggage includes a ski bag, a boot bag, and one suit case per person. If it is necessary to exceed this amount, the individual member will be expected to cover all costs incurred by the club ( i.e. larger vehicle, bigger tip for baggage handling, ect.).

LOCAL TRIPS:

Local trips are those trips which do not require a flight to reach the ski area.

Local trips begin upon arrival at the ski area and end upon departure on the last day. All persons participating in local trips are responsible to arrange their own transportation between Cincinnati and the ski area.

Downhill Skiers Club does not in any way assume responsibility for any loss or damage incurred while in transit to or from the ski area.
