Minutes for August 8, 2000

Meeting was properly convened by President Juanita Patrick on August 8, 2000 at 7 pm.
Mr. Sparks and the Band Boosters officers offered a warm welcome to new and returning parents. Officers were introduced. Treasurer's report: The treasurer was unable to attend Tuesday's meeting.
If available, treasurer's report follows on next page*. We have three payments of $550 each coming from three steel drums gigs this month. Sales of an upcoming CD featuring the High Groove Steelers may bring in as much as $15,000. The CD's will cost about $2100 to make. We hope to make CD's of the other EHS bands in the future.
Uniforms: A uniform fitting for the Marching Band was planned for August 23rd. A second date will be scheduled soon for any students we missed. Drill Master shoes (required for all Marching or Concert Bands) will be assigned or may be ordered at this time, for $25. Gloves for non-percussion Marching Band members will be ordered for a nominal fee. A one-time cleaning fee of $10 will be expected from each band student as soon as he or she is able.
Fundraisers: We plan on having several major fundraisers this year, including one that runs Aug 16 - 30, Century Resources. Each student will be expected to sell 20 units. This company sells sausage, cheese, candy, etc. Product will come in around 9/28/2000 and must be picked up and delivered the same day, as it needs to be refrigerated. This and other fundraisers will count exclusively towards band members having funds to go on the Spring Band Trip.
Uniforms for football games: The night of a home game, an adult at the door of the Uniform Room will check uniforms. Students must have every piece of their uniforms. This will ensure no more long nights cleaning up scattered uniforms, and no last minute scrambling to find uniforms for the next home game. A reminder about before the games:
Parents will be needed before each game to help carry down percussion instruments, pass out uniforms, and provide food for a tailgate-type party that we have before the game. Mr. Hickman will man the grill. There are approximately 26 members of Marching Band. Recruiting Band Members:
Ideas were discussed concerning recruitment of eighth-graders. Some EBB members felt perhaps counselors were inadvertently discouraging Marching Band as an elective. Due to scheduling this year, band courses often conflicted with elective Advanced Placement courses. EBB discussed ways we could recruit more musicians, but are open to more suggestions.

Minutes from October 3rd, 2000

The meeting was properly convened at 7 pm by President Patrick, with 8 members present.
The secretary was absent, and so the minutes unavailable at this time.
Treasurer's report was read. Mr. Sparks was attending class tonight and cannot attend the meeting.
The fund raiser from Centruy Resources will be in on Oct 4th. The students can pick them up from the band room anytime after 12 noon. Judy Van Bourgondien is donating 2 animated figures for the Christmas raffle. Don stated that the tickets would be ready by Oct. 15th. The Christmas concert will be held on Thursday, Dec 14th.
We need to talk to Jean Vale from Wal*mart about matching grants and to see what weekend would be available to sell raffle tickets there. Juanita will talk to Mrs. Vale.
The Homecoming Parade will be held on Friday, Nov 4th at 4 PM. Help is needed at the parade and for the game that night. Jenny Shortall will order 40 flowers from Seasonal Flowers for Homecoming.
The competition this year will (probably) be held in Gatlinburg, Tn May 3-5, 2001. Don is in the process of getting bids from the bus companies. The meeting adjourned at 7:45.

Minutes from November 8, 2000

The meeting was properly convened at 7 pm by Juanita Patrick, with 13 members present.
Minutes were read and Treasurer's report detailed.
Jean Vale said Wal * Mart, who formerly matched our raffle ticket sales over $500, could not provide the matching grant this year. Therefore, ACME is where our public tickets sales will be held Nov 11 - Dec 10. Judy Van Borgoundien, who created the animated bear and Santa, will have first choice on who gets which prize.
The Poinsettia Sale will be Nov 27 - Dec 11.
All Shore will be January 20th. Individual students are responsible to get music and begin working on it.
The Sub Sale will be held Jan. 17 - 25 with the $5 subs being prepared on January 28 (Superbowl Sunday.) Frase's was our supplier last year, but we still need to confirm this.
The Spaghetti Dinner will be between Feb 28 and Mar 15. The school cafeteria will probably be the location of the spaghetti dinner this next year. Other fundraising activities were discussed, including a possible radio auction and a candle sale.

Minutes for Dec 5, 2000

Meeting was convened at 7:00 PM with 7 members present.
Minutes were read and Treasurer's report detailed.
The raffle for the animated Christmas figures, given away at the Christmas concert, continues through the 14th.
Poinsettias from our supplier will be delivered to school for $2.90 apiece, to be resold for $5 apiece. *Tickets for both events are selling well.
Re: The Sub Sale. Sparky will take care of details. Sub sale is slated for Jan 17 - Jan 25, with the sandwiches being made the morning of the Superbowl. We need volunteers.
The Christmas programs will be printed up by DJ Van Bourgendien by Monday, Dec 11th. Renee Schreckengast will take care of box office ticket sales. All kids should be here by 5:30 PM.
Re: Uniforms. The Steel Drums may be able to get discontinued shirts from another supplier; Don will check into this.
Re: Band Trip. There is a hold up on getting prices on the busses. No one will give a price without exact date (May 3rd?). A schedule conflict with steel drums must be worked out. Bus deposits can be anytime after contract with company is signed: the last week in January.
John McCall did a photo shoot for free, we need to thank him and check on the pictures.
A thank you letter to ACME (Jerry Usilton) will be sent.

Minutes for Jan 4, 2001

Meeting was properly convened by Juanita Patrick at 7 PM, with 8 members present.
Minutes were read and Treasurer's report detailed.
Poinsettia sales went well, with over $350 in profit for the band. Raffle ticket sales raised over $1600.
Re: the sub sale. The Superbowl Sunday sub sale will commence JANUARY 8 and continue only through the 19th. This is a change in schedule. J. Kilmon will be getting the sub materials from Frase's Meat Market, running about $1.90/sub. Subs this year will be sold for the usual $5.00. There will be 3 slices each of ham, salami, baloney and provolone; we will be responsible for getting LTO and mayo packets, etc. We will probably get our supplies from Hopkins Sales. Renee will bring the prep paper and latex gloves to the party. A question arose about where to put the sub materials, since this year we must pick it up the night before, not the day of the sandwich-making. David Hickman cheerfully donated the back of his mother's truck.
Re: the Spring Trip. This year, we will be at the Fiestaval in Virginia Beach, Va. May 10 (Thursday) through the 13th is the dates. We will be leaving around 8 in the evening for the three hour drive to the hotel. Cost to each student will be approximately $400 to $450. Competitions will be in concert band, steel drums and possibly jazz band. The last day to turn in $100 deposits to hold our bus is February 15th. This date was pushed up because of the semester changeover (many of the new concert and steel drum students would miss the deadline as originally set.)
