The welcome package provides new owners with considerable information about how a condominium works thus minimising potential conflicts.

Excellent rates and terms are offered to our clients as well as additional coverage's in some areas at no extra cost.

Long-term Planning

The Reserve Fund is an important topic with Condominium Associations. We work closely with the Board to determine future capital and major improvement costs relating to the preservation of the property's integrity. A reserve analysis provides data which will reflect future cash requirements needed to make the necessary replacements and or repairs.

Regular Operations

A short description of the activities in which CondoCare is involved:

Work with the Board to prepare an annual Budget.
Secure and manage the Reserve Fund as dictated by the associations governing documents.
Attend Association Board meetings and update the Board on operations of the complex.
Assist in preparation, monitoring and enforcement of the Associations by-laws.
Filing of appropriate documents.
Conduct regular site visits to ensure maintenance standards are being met.
Dispatch appropriate maintenance and trades people as required.
Provide general supervision for on-site maintenance or gardening staff.
Handle the tendering and bid process for major repairs and maintenance items as well as for special projects and make recommendations to the Board.
Maintain 24 hour emergency access. Dispatch appropriate trades emergency situations. Our key trades people are available to us on a 24 hour basis for emergency call outs.
Ensure that all contract items are maintained at as low a level as possible while maintaining standards set by the Associations Board.
Ensure compliance of all owners with rules and regulations and by-laws of the complex at the direction of the Associations Board.
Encourage newsletters within the complex on a regular basis as a method of communicating with residents. This helps foster the sense of community which is so important in a condominium setting.
Prepare notices, agenda and required information of annual general or extraordinary meetings. Organise meeting times and location.
Work with the Board to plan future requirements for the Associations reserve and to highlight areas for which special attention may be required in the future.
Generally, to act as liaison with all owners to ensure peace and harmony within the complex.
Organise and co-ordinate for repair work on common areas as directed by the Board of Directors.
Collaborate with consultants and engineers hired by the association.
Schedule and oversee any on-site management jobs.
Recruit, hire, and train all Association personnel as directed by the Board of Directors.
Prepare daily, weekly, monthly preventative maintenance schedules as directed by the Board of Directors.
Supervise all on-site personnel and prepare on-site personnel job descriptions.
Maintain common areas in accordance to the standards of the Board of Directors.
Assist in processing insurance claims for the Association.
Maintain financial records.
Maintain complete files for all major common area repair expenditures.
Maintain a file for all correspondence.
Maintain a permanent file for all Board meeting minutes and maintenance contracts.
Maintain a current list of all homeowners and their mailing address.
Prepare and mail necessary correspondence such as letters, newsletters, late notices, and minutes as directed by the Board of Directors.
Enforce the House Rules adopted by the Board and as directed by the Board.
