Faxaway is an e-mail-to-fax service enabling people to send faxes easily and economically from their e-mail programs to any fax machine in the world.
Faxaway allows people to save time and money by routing e-mail messages over discounted international telephone lines. Faxaway supports broadcast faxing, several document formats, as well as group user accounts.
The only requirement to use Faxaway is a computer with the ability to send and receive e-mail, and a fax number to which you wish to send a message or document.
Faxaway Customer Care is available Monday through Friday 17:00GMT to 0:00GMT. Assistance is available via phone or e-mail.

Every user receives a total of US$5 in complimentary usage for opening an account. Registration requires credit card pre-payment using one of the following cards: VISA, Mastercard, American Express, or Diner's Club. Faxaway will also accept pre-payment by check (drawn on a US bank) or wire transfer, with a minimum of US$100 per payment. Please ask WELCOME@FAXAWAY.COM for the bank account information and street address.
1.a Registration
After testing Faxaway, you will be sent an e-mail confirmation inviting you to register by providing your name, e-mail address, and credit card information.
Register via Faxaway's World Wide Web page by providing your name, e-mail address and credit card information. Our home page is: http://www.Faxaway.com/. The registration page is a secure site.
Register by phone by calling 1-800-906-4FAX (1-800-906-4329) from within the US (outside the US the number is 1-206-301-7000). Provide your name, e-mail address, and credit card information. A Customer Care Representative will assist you during our business hours, or you may leave this information on the voice mail system.

1.b Common Billing Inquiries
What is a pre-payment amount?
The pre-payment amount is the amount charged to your credit card. We charge your card when your Faxaway account drops to zero. You are only billed for usage, we do not charge monthly or annual fees.
For example, if you set $10 as your pre-payment amount, your initial credit card charge would be $10. Once your Faxaway account balance reaches zero, we would charge your credit card another $10.
How low can I set the monthly limit?
$10 is the lowest monthly limit. You can chose any denomination over $10, or you can choose not to have a monthly limit.
When will you charge my credit card?
Faxaway will bill your credit card for the first prepayment amount at the time of registration. Your initial Faxaway balance will reflect your first prepayment amount as well as the remainder of the $5 complimentary credit.
Do I need to authorize each charge?
No. We keep the credit card information on file, and our computer system handles the billing automatically.
Section 2. - Using Faxaway
Create an e-mail message using internet compatible e-mail software. Type the fax number using the country code, area/city code, and faxnumber@Faxaway.com.
Do not use international dialing codes.

All faxes must include the country code, area and/or city codes, and fax number, even if you are sending a fax locally. Do not use dashes, parenthesis, or spaces in the fax number. These or other non-numeric characters will cause Faxaway to reject the message.
If you wish to send the same message to more than one address, add additional e-mail addresses in the To: or Cc: fields. Multiple recipients will not see multiple addresses, only their own (in the To: field, even if they were placed in the Cc: field).
If you compose a fax off-line, remember to log on to your e-mail system before sending the fax message as you would when you are sending a normal e-mail message.
Default Configurations for the To:, From: and Subject: fields
Faxaway will send your fax information taken directly from the e-mail message. The "To:" field will display the recipient's fax number; the "From:" field will display your e-mail address; and Subject: will display the e-mail's subject: (maximum 100 characters for the subject field)
If you wish to add a name in the To: field, either use the nickname/alias feature of your e-mail software, or follow the format below.

The maximum length for the name and fax number combined is 50 characters.
The Faxaway "From:" field will always take its information from the e-mail message. If you cannot get your alias to work correctly, or do not have that ability, see the SET NAME command (section 5.c)
2.b Sending Attachments
Faxaway supports most types of MIME, BinHex, and UUEncoding for attachments. Faxaway will decode and fax e-mail messages which contain attached files.
Please see your e-mail software package documentation or online help on how to attach a file to your e-mail message.
Faxaway will format your fax with the standard Faxaway header (including any text from the e-mail message), and place the attachment directly after the e-mail message text (if any).
If you wish to fax only the attachment, put the keyword FAXDOC in the subject line.

Format Information
When sending an attachment, the file name must be no longer than eight letters, excluding the three letter extension (MS-DOS format).
All formats must include their respective three-letter extensions.
Faxaway makes every attempt to support as many file formats as possible, however Faxaway cannot support all file formats.
At this time, Faxaway does not directly support Office 97 products. Use the tif conversion software mentioned below to send any MS Office 97 products.

It is highly recommended that you test the documents you plan to send through Faxaway, especially if you plan to broadcast fax the document.
Faxaway currently does not support all Macintosh documents in the listed formats. We encourage users to utilize their $5 credit to test the various types of messages and attachments they plan to send.
Tiff file type 3 1-d information
Faxaway offers a TIFF file conversion software available for download at http://www.Faxaway.com/faxconversion.html. This software will allow any Window's application to be converted to a TIFF format type 3 1-d.
When a TIFF file is attached to the message, Faxaway processes the e-mail as if the user put FAXDOC in the subject line. Faxaway will send only one TIFF file per message, even if more are attached. Merge fields are not allowed with TIFF files. Also, TIFF files may not be used with the Faxback feature (section 6).
Sending a Fax with Extended Characters
Within the TXT format and the text of an e-mail, Faxaway can properly translate the US ASCII and the ISO-8859-1 character sets, including characters used in most Western European languages such as accented letters and foreign currency symbols. This character set covers the following languages:
Catalan, Danish, Dutch, English, Faeroese, French, German, Galician, Irish, Icelandic, Norwegian, Persian, Portugese, Spanish, Swedish, Tamil.
Faxaway cannot support any other character sets such as Arabic, Chinese, Japanese, or Korean alphabets within word processing documents/ text attachments.
Those who use double-byte character sets, can convert their documents into one of Faxaway's supported graphic formats, and send the graphic format as an attachment. Faxaway recommends using the Tiff file conversion software to send double-byte characters.
2.c Activating Group Accounts
To set up a group account that multiple people can use (friends, co-workers, family), send a list of all e-mail addresses you wish to activate to WELCOME@FAXAWAY.COM.
In certain cases, an individual may have an e-mail address which their service provider changes for outgoing messages. Since Faxaway verifies the From: e-mail address, each From: e-mail address permutation must be listed as a sub-account. Please inform WELCOME@FAXAWAY.COM if your service provider changes your e-mail address.
For example, if your e-mail address is whoever@whatever.com, your internet service provider might change your e-mail address to whoever@mail.whatever.com or whoever@pop.whatever.com, etc for all your outgoing mail, you would need to add all of these addresses to your Faxaway account.
Also, if you wish to switch providers, or switch e-mail addresses, you must send the request before the old address is de-activated. Otherwise, we will have to ask you for alternate identification, and that may take time to verify.
For security reasons, any requests to add, delete or change group accounts must come from the main account e-mail address.
Faxaway will always send a reply regarding the success or failure of each fax transmission. The confirmation reply will indicate the transmission duration as well as the amount charged to your account, and your remaining pre-paid balance.
Faxaway makes four attempts, a minimum of 3 minutes apart, before notifying the customer of a failure. Faxaway does not charge for failed transmissions for casual traffic (non-broadcast fax traffic).
The main account's e-mail address will receive the group fax summary. Each individual account within the group will receive its own confirmation/failure replies.
Upon charging your credit card for an additional pre-payment amount, Faxaway generates a summary of faxes sent since your previous payment. This notice is sent to the main account's e-mail address only. In some cases the total of the summary may not equal the amount of the charge. This may occur if your account balance dropped to zero during a fax transmission.
Sometimes confirmation messages may be misrouted, lost or returned to Faxaway as undeliverable. If you do not receive a confirmation message, please use the LIST CALLS command (section 5.a). If you do not receive a response to this command within eight hours, please contact your internet service provider.
2.e Common Faxaway Questions/troubleshooting
How long does a fax take to send?
Once your e-mail message has reached Faxaway via the internet, the first attempt of the fax occurs in approximately twenty minutes.
Transmission time of the fax depends on several factors, such as, the type/size of the file sent, international phone lines, the receiving fax machine, and error correction.
I've already registered, but I received a "you must sign up" response! What should I do?
Faxaway determines whether you are registered by verifing the e-mail address in the From: field of the e-mail. If this changes in any way, the computer will think that you are a new user. If your e-mail address changes when you send a message (for example, aard@vark.net might become aard@mail.vark.net), you must inform WELCOME@FAXAWAY.COM. Also, if you have several different addresses, you may wish to add them as sub-accounts (Group Accounts section 2.c).
Does Faxaway work with all fax machines? Faxaway can communicate with all Group 2, Group 3 and CBF fax machines (most fax machines are Group 3; Group 1 machines are collectors items by now). Faxaway is not compatible with manual fax machines, or fax machines that double as telephone answering machines.
Faxaway must hear a fax tone when the receiving line is answered in order to send a fax.
The fax I sent was garbled. What is wrong?
Garbled faxes can occur for many reasons:
1. The encoding used was not compatible with Faxaway. We accept most types of UUEncode, BinHex, and MIME. (fax output has nonsense characters) 2. The attached file sent was not a supported format. (fax output has nonsense characters) 3. The receiving fax machine was dirty, or broken, and carrier line used. (lines run together, or are missing)
If you have problems with garbled faxes for reasons not listed above, please contact ADMIN@FAXAWAY.COM, to help troubleshoot the problem.
Section 3. - Creating a Custom Letterhead
You may create a unique format for all faxes you send through Faxaway. Usually, a custom letterhead contains a company logo, and letterhead information. Send your custom format in one of the following formats: MS Word 6.0 or less, RTF, WRI, or TXT. Any pictures/graphics must be inserted as either a bitmap, JPG, PCX or WMF format.
We charge a one-time US$10 fee for installation of each letterhead added to an e-mail address (main and sub-accounts may have different or similar letterheads, but, the fee is still charged per letterhead). The fee will also be charged again if a major change is requested - but not if you request minor changes (new phone number, different font, etc.). We recommend that you test the format after we notify you of its installation.
Faxaway can accommodate any TrueType font from the standard MS Windows 3.1 installation (ie. common fonts such as Arial, Times New Roman, Courier, etc). If you wish to add a different font, we will need the TTF file.
Do not send a file which is inaccessible; ie. locked, read-only or password protected.
Do not send files with macros within the letterhead format.

Registered Faxaway users have the ability to send customized faxes to hundreds or thousands of fax machines by utilizing the broadcast faxing feature.
Broadcast faxing is done in 3 steps. 1. Create your Broadcast Fax Group 2. Test the file which you plan to broadcast. 3. Initiate the Broadcast Fax.
Creating a Broadcast Fax Group
To add a broadcast fax group, use the ADD GROUP interactive command. All interactive commands must be placed in the body of the e-mail and sent to UPDATE@FAXAWAY.COM.
All broadcast group names must be 6 characters or less.
The broadcast fax group list is stored in the Faxaway system. Only the e-mail address which sent the broadcast fax group can edit the broadcast fax group.
If the main account e-mail address sets up the broadcast fax group than any sub-account e-mail addresses listed on that Faxaway account will be able to access the broadcast group to intiate a broadcast fax.
If the sub-account e-mail address sets up the broadcast fax group, then only the sub-address will have access to initiate the broadcast fax and edit the broadcast group.
All of the examples below are for a broadcast group named TANGO.

Please make sure that there is only one space between the name and the fax number. Also there must be a comma separating each individual name/fax number.
You will receive a confirmation message after the group has been installed.
For a monetary fee, Faxaway Customer Care can install the broadcast group if you have a list of more than 1,000 fax numbers and do not wish to add the group yourself. Please inquire to BCAST@FAXAWAY.COM, for the correct list format required and cost structure.
Testing the Broadcast Fax File.
Please send the file which you plan to broadcast to your fax machine before you initiate your broadcast fax.
Faxaway prefers the following file formats for broadcast faxing:

If you are not using merge fields it is recommend that you convert your file to a type 3 1-d tiff format using the tiff file conversion software (section 2.b). The tiff file conversion software can be used for any Window's application
.doc Microsoft Word version Word 95, 6.0 or less
Faxaway supports merge fields, to be used for customizing an attachment. This eliminates the need to make separate documents for each recipient.
Faxaway charges a $.05 fee per fax for using merge fields regardless of how many merge fields are used within the document.
Place the merge fields wherever they are needed within the document you wish to send.
Requirements for Merge Fields:
1. Each must be surrounded by the "<" and ">" characters.
2. No spaces allowed in the merge field.
3. Capitalization must be exactly as shown.
4. Merge fields may be repeated within the document as necessary.

Retrying a Broadcast Fax
To send the same message to the fax numbers that failed the first time, use the RETRY command. Send a message to "retryname@Faxaway.com", with nothing in the subject or text fields, and no attachments. Faxaway will re-send the last broadcast to that group (the system keeps a copy of the document for two weeks before deleting it). To re-send the failed messages for group "tango", send a message:

Retry sends only the failed faxes from the previous attempt. If the second attempt produced failures, and you know the numbers are correct, then send another retryname@Faxaway.com to resend the failures from the second attempt.
For broadcast faxes sent to continental US faxnumbers, Faxaway charges $.10 for each failure in a broadcast fax which has a failure rate of over 10%. Faxaway will retry every fax four times at least 3 minutes apart before considering the fax a failure.
4.c Broadcast Group Edit Commands
Use these interactive commands to edit existing broadcast fax groups.

Use these commands to change the options within your Faxaway account.
SEND ALL INTERACTIVE COMMANDS TO UPDATE@FAXAWAY.COM. Type the command in the body of the message.
Use the LIST CALLS command to receive a list of complete, failed and pending faxes for a specified period of time.
The reply message contains the GMT date and time, fax number, duration and cost of each completed fax.
This command and variations of this command will only return the fax information for the e-mail address which sent the command. The maximum amount of records which can be retrieved is 1000.
Use the LIST CALLS command to return a list including the last seven days.

Section 6. - Faxback Service
Faxaway allows storage of documents on our system for every supported file type except Tiff type 3 1-d files. This feature saves time for users who send the same document repeatedly to different people. It can also help Web site managers.
The faxback document is only accessible to the e-mail address which sent the file to be stored.
All faxback documents must have a name 8 characters or less. The faxback document name does not have to correspond with the actual file name.
Send the fax back file to SAVE@FAXAWAY.COM. Place the name of the file within the Subject field of the e-mail. If you do not assign a file name, Faxaway will choose one for you, starting with FAX1, FAX2, etc. If you assign a name already in use, Faxaway will replace the document with the new one.

Use the LIST FILES command to receive a list of the names of all of the faxback documents stored.

The reply message will contain the names and the dates that the documents were stored.
6.b Sending a Fax Back Document
To send a faxback document, address an e-mail to FAXNUMBER@Faxaway.com, and type in the Subject: FAXBACK filename.

Subject: FAXBACK X
replace X with the 8 character or less file name
The body of the e-mail message will be ignored (as if you had put FAXDOC in the Subject: line).
Merge fields are supported for faxback documents. We recommend that you test the stored file by sending a test to your fax machine by using the fax back feature.
