Minutes for Meeting Saturday, December 8, 2007

CALL TO ORDER

President Terri Torres called the meeting to order at 4:40pm at the home of Mel and Gail LaGasca, and after the potluck and scheduled speakers. The following members were present: Anita Bautista, Mel and Gail LaGasca, Deanna and Moreno Balantac, Maria Vea, Emily Rosal, Terri Torres, and Violet Dutra.

ACCEPTANCE OF MINUTES

Minutes of November 3, 2007 were accepted as distributed.

COMMITTEE REPORTS:

MEMBERSHIP – Violet Dutra submitted the following report:

            Get-well card sent to member Frank Tibon. Sympathy cards were sent to the family of Thelma Buchholdt (Trustee), and to member Virginia Navarro on the passing of her brother, Rudolfo Navarro.

Annual membership report and 1/3 of the annual membership dues ($281.67) were mailed to National FANHS.

COLLECTIONS – Terri reminded everyone that we still need someone to volunteer to take charge of the two storage units. Anita Bautista had to go to the storage place and change the name and address on the units from Bob Cabigas’ to FANHS – with Anita, Mel and Terri as approved people to open the units. The units need to be sorted and catalogued soon.

EDUCATION/EXHIBIT – Anita Bautista and Terri put up the December display entitled "Remember Pearl Harbor" at the Tracy Library. Anita will take it down at the end of the month or the beginning of January. Anita reported that any expenses she incurred she would donate. She set the budget for 2008 at $100, which would go toward any display boards or copies of photos.

Historians---Moreno and Deanna Balantac had the chapter photo album present at the party/meeting, and reminded everyone to send them copies of any photographs of FANHS events for the archives. They donated any expenses they occurred for the year, and set a budget of $50 for 2008.

Update on Arcadia Book and 2008 Calendar – Terri reported that she had bought two external hard drives to house the photographs scanned for the book. The two 500GB drives cost a total of $242.98, which will come out of the Museum fund.

            Discussion was also held about purchasing copies of the book for FANHS and Little Manila to sell – we would get the books at a discount and sell them for cover price, or a discounted cover price for FANHS members. More discussion is needed between Little Manila and FANHS about the sharing of profits/expenses. Terri will e-mail Dawn Mabalon and Dillon Delvo and ask for clarification of details and the book contract.

            A book launching is being set up for the month of February 2008. More details will be forthcoming.

Report on Officers for 2008-2009 –After ballots were collected through mail and email, the following people were announced for the 2008-2009 term of office:

            President – Anita Bautista

            Vice President – Mel LaGasca

            Recording Secretary – Leatrice Perez

            Corresponding Secretary– Violet Dutra

            Treasurer – Terri Torres 

Terri handed over the chapter gavel to Anita.

OTHER BUSINESS

Festival of Trees – Mel LaGasca, Terri and Violet set up the chapter Christmas tree at Micke Grove. The tree will be up until the middle of December, then Mel will take it down and store it.

Expense and Budget Reports – (Most reports were incorporated into the committee sections)

            Terri submitted her summary of expenses for the monthly mailers and the quarterly newsletters. Monthly mailer expenses total $350 (which includes an estimated amount for this Dec. mailer) which averages about $5.83 a person. The newsletter expenses total $552.44 for the four issues this year, which averages about $9.18 per person. [The entire report is attached]

            Anita Bautista reported that her expenses for the wreaths totaled $49.39 for 10 wreaths, for which $250 was raised. She budgets $50 for 2008 for 10 wreaths.

            A summary of 2007 expenses and a budget for 2008 is attached.

FANHS NATIONAL MUSEUM BUSINESS – Mel LaGasca gave a brief report that he and Terri Torres attended a Little Manila Foundation meeting on Dec. 4. The main guest was Mike Sarimsakci, a member of a developer group who is looking to buy the Mariposa Hotel in the near future. He is willing to work with Little Manila and FANHS to preserve the building and improve it to our needs. He will work with Little Manila on the details and then Little Manila will let us know the results. In the meantime, Mel will report to FANHS Trustees of the upcoming possibility of “setting up shop” in the near future in the Mariposa Hotel, if all goes well.

Mel also reported that he reserved the Micke Grove Golf Links for May 10, 2008 and paid the required deposit. He also reserved a picnic area in the Micke Grove park and paid the deposit. He will call a meeting in January to make final plans for letters for supporters/sponsors/advertisers and registration forms for golfers, and plans for the picnic – possibly working with other area FANHS chapters for the picnic.

He stated that the San Joaquin County Museum is willing to work with FANHS on exhibits and presentations at their museum. He was also contacted by Herb Jamero, Central Valley FANHS, with ideas for holding an educational workshop/seminar/conference in October, with proceeds going toward the FANHS Museum fund.

Mel reported that he has been attending various workshops aimed at non-profit groups regarding accounting practices, fundraising, leadership, and community programs, either as a FANHS representative or an AFO member. These workshops will help in the forming of the FANHS Museum.

Meeting was adjourned approximately at 6 p.m.

The next chapter meeting will be February 2, 2008 at Dameron Hospital, at 10AM. There will be no chapter meeting in January 2008. Mel LaGasca will call a Museum meeting, if needed.
