STOCKTON FANHS CHAPTER EXECUTIVE BOARD MEETING 2008

Meeting Notes

1. Stockton FANHS Chapter Meetings “Time & Place” – It was decided to keep meetings at Dameron, same time-10am/same day-1st Sat. of month, with no regular meetings in January, June, July, August unless specifically called. Mel will create a certificate to give to Noni McCraw, the person in charge of reserving the room at Dameron. Anita will create “Thank You” cards from Stockton FANHS to send to Noni, and others when needed.
2. Membership – Anita had created a letter to send to lapsed members and this will be sent out in December or January. It was also discussed to have a membership drive with special rates at the May 2009 Golf Tourney and Picnic. More discussion is needed.
3. Committees – All Committee Heads need to turn in their Expense Report for 2008 and their budgets for 2009, including Officers. This will be needed by the February 7th meeting. The reports can be emailed to Terri Torres in January for her to compile for the February meeting. Expenses should contain any amounts donated as well as reimbursements.
4. Conferences, Trustee Meetings – We need to vote on whether the Chapter will pay for the registration fees of a Chapter representative to each FANHS Conference and FANHS Trustee meetings – just registration fees, not travel or accommodations.
Trustee Meeting, 2009 – Mel has contacted FANHS National to inform them that the Filipino Plaza Social Hall has been reserved for July 25 and 26, 2009 for the annual Trustee meeting. He will send them a reminder that we need a response ASAP that the date is okay. Some plans discussed were:
We need to provide breakfast for both days – rolls, pastry, beverages, etc.
We need to provide lunch for both days or lunch Sat/dinner Sat and no lunch Sunday – need to get estimates from area restaurants
Possible suggestions for entertainment – Central Valley FANHS provides dancers/music; Anita Bautista has nephew who sings; show video documentaries.
We need MANPOWER to help on both days
We need to check into hotel accommodations and travel suggestions
FANHS National Conference 2011/2012 – Mel still wants to see if having a conference here in Stockton is feasible. He will contact other area Trustees to formulate a plan soon.
5. Little Manila Foundation – Need to meet with LMF to review MOU, Fil-Am History calendars, and attending each other’s meetings.
6. FANHS National Museum -- It was decided that we wouldn’t need a full-time paid accountant for the Museum until it was a physical space, but an annual outside audit would be a good idea for both the Chapter and the Museum. Mel had examples of other empty buildings in downtown Stockton to look at.
4th Annual Golf & Picnic – Terri gave Mel all the golf forms and letters to review and make changes for the 2009 tourney. He will review them and return them to Terri. Letters and forms should be mailed out in January or February.
Separate 501.C.3 for Museum – Mel will review documentation on how to form a non-profit entity.
Continue advertising coordinator openings – Terri will again send position descriptions in monthly mailer and January 2009 newsletter.
7. Current UOP’s “Making Non-Profits Sustainable” workshop – Mel is attending this workshop and will present ideas at future meetings. Out of the workshops, Mel has created a binder “FANHS Volunteer/Paid Staffing Service” to turn into the workshop for a chance to win a monetary prize. There are 13 other non-profit organizations vying for the prize.
Other Items Discussed –
President of Chapter shouldn’t have to pay to attend our own events – we need to vote on this.
Storage Units Insurance – Mel checked into his Home Owner’s Insurance and a “rider” can be added to it to cover insurance for the storage units. He will check further into this. Terri called the Storage Unit place and they said if we can provide a copy of the insurance with the rider, then they would not charge the additional insurance fee in the monthly payments.
Stockton FANHS December 13, 2008 Meeting Minutes

The meeting was held during our annual Christmas Party/Potluck held at the home of Mel and Gail LaGasca. Guests included Jerry and Ellie Paular, Pastor Engkabo, Helen Paular, Virginia Navarro, Lita Custodio, Moreno and Deanna Balantac, Anita Bautista, Rossi Chin, Mary Louise Lopez, Terri Torres, Violet Dutra, Ana Marcelo, Lloyd Rolle, Manuel Bonzo, Maria Vea and Elena Mangahas came by earlier to drop off the 2009 Filipino American History Calendars that were pre-ordered through us.
After eating a scrumptious meal, Ana Marcelo gave a presentation entitled “At Home with Heritage” which was about how you decorate your home to include your heritage – either during holidays or year-round. Are you “at home” with your heritage? How your home is decorated reflects on how you feel about your heritage – honor, respect, to teach, to learn, to appreciate your heritage. She had several examples to show us through photographs of items in her own home.
Then we sang Christmas Carols with Ellie playing the piano and had a small raffle with about 6 prizes. Some of the guests had to leave before we held our regular meeting, which began at 3:30pm – in attendance were Mel and Gail, Moreno and Deanna Balantac, Anita Bautista, Rossi Chin, Mary Louise Lopez, Terri Torres, Violet Dutra, Manuel Bonzo, and Maria Vea.
We reviewed what was discussed during the Officers’ Meeting held on December 10, at Anita’s home. Mel reviewed more information about the non-profit class he is taking at UOP and the competition between the other non-profits in the class. Mel urged everyone to keep track of their time spent on FANHS business – this information could be used when asking for grant money for the chapter or the Museum. He has examples of timesheets to use. Violet Dutra also gave him a sample of the membership packet that she sends to new members, to be included in his non-profit class binder.
Anita made new chapter “Thank You” cards and gave them to Violet Dutra to use when necessary. Terri made new chapter letterhead with the new FANHS logo and sent copies to Mel and Anita through email.
Chapter representative for FANHS conferences - it was moved/seconded/passed that the chapter set aside funds to cover the registration fee for one chapter rep to attend National FANHS conferences each time. Also discussed was whether or not the Chapter President should have their meal comped at our own chapter events – i.e.: October Awards luncheon, May Golf Picnic – we decided to discuss this more later – possibly to include volunteers who serve a minimum of a certain amount of hours for a particular event.
Storage Units – Mel will make an appointment with his insurance agent and make plans to create a rider to include items in the storage units.

Get-well card was sent to Anthony Engkabo and a sympathy card was sent to Mary Louise Lopez on the passing of her uncle, Charles Isbell. Violet will send a get-well card to Josie Paular.
ACTIVITIES COMMITTEE REPORT Nov. 1 2008

A FANHS Chapter tree was set up for San Joaquin County History Museum’s annual Festival of Trees by both of us and Terri Torres. The theme was “Harvesting Asparagus in the 1930s & 1940s”. Mary Louise designed it and she and Mel LaGasca will take it down when the month is over.

We received payment from UOP for the 15 books brought there in September. We also received payment of use fees from the Magno Rubio display ($450) and from Heyday Books ($75) for a photo Anita Bautista lent them of her parents. We also received a United Way donation of $95.14 from Los Angeles area businesses.

The 2008 expenses for our chapter monthly mailers so far are $406.25. There will be one more mailer for December 2008.
All committees are required to send Terri their Expense Report for 2008 and their Budget Report for 2009 by the end of January 2009, so she can compile a report for the February 7, 2009 meeting.
Meeting adjourned at 5pm. The UOP Kilusan students stopped by to sing Christmas Carols for us, and we passed the hat for them.
Next meeting will be February 7, 2009, at 10am, at Dameron Hospital Annex building.
