FANHS STOCKTON CHAPTER MEETING MINUTES FOR FEBRUARY 7, 2009

CALL TO ORDER
President Anita Bautista called the meeting to order at 10:25 A.M. Meeting was held in the cafeteria of the Dameron Hospital, as the Annex Building (our original scheduled meeting place) was inadvertently released to another group. Members present: Anita Bautista, Melvin LaGasca, Deanna and Moreno Balantac, Terri Torres, Violet Dutra, Leatrice Perez, Manuel Bonzo, Maria B. Vea, visitors John (Enebrad) Andaya, Dan (Enebrad) Andaya and visiting students of Kilusan Pilipino of the Univ. of Pacific – Christine Obille and Michelle Lugar.
The following information was circulated:
*A postcard invitation to the Grand Opening of the U.S. Immigration Station on Angel Island, Feb 15, 2009
*An announcement from Great Valley Center’s Conference 20/20 Foresight, May 6-7, Sacramento.
*A post card invitation to the “Conference of California Historical Societies” Annual Meeting, June 25-28, 2009, Martinez, California.
ACCEPTANCE OF MINUTES
Minutes of November and December 2008 were accepted as distributed with the correction of the date of December Officer’s meeting minutes to be changed from December 10, 2009 to 2008.
REPORTS
TREASURER’S REPORT, February 7, 2009 - by Terri Torres
Bank Balances (January 31, 2009)
General Chapter Savings = $ 9,849.60
General Chapter Checking = 546.64
Total Chapter funds = $10,396.24
Museum Savings = $20,971.49
Museum Checking = 135.19
Museum Equipment CD = 11,834.92 (due 3/16/10, div. rate 4.160%)
Museum Building/Misc. CD = 44,059.22 (due 2/15/09, div. rate 3.060%)
Total Museum = $77,000.82
Money to be sent to FANHS National for 2008 out of Chapter funds:
1/3 Membership Dues = $272
2008 Chapter Assessment = 100
Total = $372 also sending the 1099 Forms and Balance Sheet of both accounts.
Bill to be paid is the PO Box fee of $70 out of Chapter funds. (Last year’s fee was $68). Terri circulated a copy of the Budget Summary Report for 2008 for both the Chapter and the Museum Funds for people to peruse and gave printed copies to the officers for keeping.
The 2008 expenses for our chapter newsletters are as follows: $520.27 (an average of $2.31/person), as reported in December. The 2008 expenses for our chapter monthly mailers are as follows:
Xeroxing = $210.26
Labels = 5.50 (donated)
Paper = .42 (donated)
Postage = $233.54
Total = $449.72, which averages to $7.37/mailer/person.

MEMBERSHIP REPORT, February 7, 2009 – by Violet Dutra
Family -- 44 Seniors – 65 Individuals -- 16 Students -- 2 Total Members = 127
A sympathy card was sent to Buster Villa on the passing of his sister, Rosita Guillermo. A “Thank you” card from Buster was circulated. Membership Dues to be sent to FANHS National for 1/3 of 2008 money received will be $272. Plus $100 will be sent to FANHS National for the Chapter Assessment for 2008.
Anita will mail a letter she wrote to members whose membership has lapsed.

ACTIVITIES COMMITTEE REPORT February 7, 2009 -- byViolet Dutra & Mary Louise Lopez
It’s time to start planning for the October event (October 17, 2009, at 11:30 a.m.) – to choose a restaurant and make reservations. If no other sites are recommended, we will see if the Mekong Harbor Restaurant is available and what their rates will be for this year. Budget for the event is $1500. Discussion followed on making a comparison of rates with China Palace and the Mekong. Also, nominations for four awardees and one posthumously must be submitted by July 1, 2009.
Mary Louise submitted her expense report for the raffle prizes at the May 2008 golf tourney and October 2008 event – (May=$193.70 donated/ Oct.= $184 donated). Members commended Mary Louise for all her hard work and time she gave in preparing all the prizes and for the work on the FANHS Chapter Christmas tree at the San Joaquin County Historical Museum’s annual Festival of Trees at Micke Grove last December helped by Violet Dutra and Terri Torres.
EDUCATION/EXHIBIT -- by Anita Bautista, President FANHS Stockton Chapter
Anita will set up a display on the “Zoot Suit” in May 2009 and “Pearl Harbor Remembered” in December 2009, both at the Weston Ranch Library. The Chavez Library might have a book-signing event in October with various Filipino American authors. They will contact us with more information.
HISTORIANS & AWARDS COMMITTEE – by Moreno & Deanna Balantac
Moreno & Deanna Balantac submitted the following statement on February 7, 2009:
“The Stockton FANHS Chapter Photo Album with photos and articles taken by and received from Chapter members has been continually updated throughout the year. It contains events and activities that the membership has participated in and is available for review by the members at each regular meeting.
“Expenses to December 15, 2008, include the following:
Film, Photo processing, pages, and misc. office supplies……. $60.00
Total expenses ………$60.00
We are donating the above amount to the Stockton FANHS Chapter for the year 2008.”
Collections Committee
We are still looking for someone to take ownership of this committee – work would entail creating a committee and then cataloging and arranging, and eventually, evaluating the contents of what is in the storage units. Person would also be in charge of gathering and putting items into the storage units whenever items are found. If you feel you would like to volunteer for this position, please contact us!
OLD BUSINESS
Trustees Meeting 2009 in Stockton – Tentatively, July 25-26, 2009. The Filipino Plaza Social Hall is already reserved for July 25-26. Mel reported he received a call from Dorothy Cordova (FANHS Executive Director) who asked if the meeting could be extended to July 27 because the Cordovas wouldn’t be able to come to Stockton until the 26th afternoon. It was suggested that some business might be able to be handled without Fred and Dorothy there, and the rest when they were there. Mel said that he will confirm the dates with Joan May Cordova (National FANHS President) and ask her to notify all the Trustees. More plans will be made once confirmation of the dates are final, hopefully, by the end of February.
National Conference for 2012 or 2011 in Stockton -- Question was asked if we are still going to bid for the National Conference for 2012 or 2011 in Stockton. There was no definitive answer, but it was believed that New Mexico has already bid for 2012. Mel said that we needed to write a proposal, but was probably too late. He’ll check into this.
2008 Filipino American History Calendars, Terri said that we have not yet received any money for our share of sold 2008 calendars from Little Manila – she has emailed Dillon Delvo and Lailani Chan to get back to us on this matter. Anita informed us that we still have 56 calendars for 2009 on hand and they are reduced to $10.00 each. The book, Filipinos in Stockton is still $20.00.
On the mandatory Insurance for storage units, Mel checked with his homeowner’s policy and we need to have our own separate policy for the storage units. Mel will ask the storage unit company for the policy they are offering @ $9.00 per month for each unit (we have 2) and see if it can be paid annually as we pay the storage unit fees annually in May and June. The coverage is valued at $2,000 worth per unit.
Complimentary meals for volunteers- discussion held on the use of time sheets and recording hours spent when volunteering, etc., and whether or not that deemed obtaining a comped meal at our events. It was agreed that we need a written policy/procedure. Terri said that she will draft a policy/procedure for those deserving comped meals when volunteering at Chapter events and submit for discussion at the next meeting..
Filipino Federation brick --Anita mentioned that the Filipino Federation of America’s fund raiser of selling bricks to donors who would have their name on the brick and placed on their property is still in effect, and if we wanted to purchase a brick with FANHS Stockton Chapter’s name on it, we should do it soon. As we did not have much information, e.g. cost, size, location for placement, etc., it was moved by Violet Dutra to table this, seconded by Terri Torres and motion carried.
UOP Kilusan Students -- Anita reminded the Kilusan students that we can still use their help when they have free time, to visit local cemeteries and record names of Filipino American veterans buried there, or any other projects they deem necessary. They mentioned that they will be able to have some students available to help at the Golf Tournament in May, if someone contacts them and gives them details. The students said their annual Pilipino Cultural Night will be March 21 at noon and 5:00 p.m. It will be held at the Faye Spanos Hall on the UOP campus and admission is $8.00, but will cost $12.00 at the door. They also are selling Ads for their Program book. Violet Dutra made a motion to take out an Ad for ½ page @ $50.00, Mel seconded the motion, which was carried. Terri will create an ad and send it in before the March 7th deadline.
Meeting adjourned at 12:40 p.m. Museum meeting immediately followed.

Museum Meeting Minutes for February 7, 2009 by Terri Torres
Main discussion regarded getting letters/flyers out for the May 9th Golf Tournament – Mel will review forms and get back to Terri and Violet, so they can make changes, copies, and mail them out by Feb. 14th. Terri will also email Lailani Chan to find out what it takes to have an audit done on the Museum Project records. Mel is still looking for people to volunteer for the various positions available for the Museum Project. He will get in touch with the Trustees who had signed up at the last Trustee meeting to help out. Next meeting will be March 7, 2009, at DAMERON HOSPITAL --NE Corner Lincoln & Acacia Streets – following the Chapter meeting.
