NATIONAL FANHS MUSEUM MEETING MINUTES FOR NOVEMBER 4, 2006

Mel LaGasca called the meeting to order at 12PM. Those in attendance also included Terri Torres, Virgie Melear, Anita Bautista, Moreno and Deanna Balantac, Leatrice Perez, Maria Vea, and guest Lisa Wire of Sacramento FANHS.

Mel went through the minutes of the last meeting in October and used that as an agenda.

Golf TournamentDate and Place: The date for the golf tournament will stay as May 12, 2007. A concern was brought up because there is another event in Vallejo on that same date – “Filipino Educational and Historical Centennial Symposium: 100 Years of Filipinos in America: A Journey of Hope – 2nd Series” at the California Maritime Academy. Since the golf tournament will be in the morning and will attract a different crowd (golfers) than the attendees who might attend the educational conference (which starts at 1pm) it was decided to keep the date. Mel has already reserved the date. The place will be Dry Creek Golf Course in Galt as stated in October.

Sponsor and Donor Letters: Terri passed out drafts of all the letters and forms for the tournament to get feedback and any changes. Terri is still waiting for addresses from Stephanie Teczon that were used for the last golf mailing. Mel will go over the letters and forms and get the final drafts to Terri and she will print up mailing labels and mail them out as soon as possible.

Deanna and Moreno Balantac became the first hole sponsor for the golf tournament and gave a check to Mel. We all thanked them.

Picnic: It was decided to hold off on a picnic in tandem with the golf tournament. We haven’t heard from all of the neighboring chapters yet on whether or not they want to share in planning an event as a National FANHS Archives fundraiser or what their chapter event plans are for 2007. We will wait until we hear from more chapters and just concentrate on planning the golf tournament.

501(c)3: Mel spoke with Dorothy Cordova about making plans for the museum to be under a separate non-profit number from the rest of FANHS. She said to go ahead. Mel also asked her about FANHS’ filed income tax returns. Dorothy said she would have to check with past Treasurer, Sam Balucas, to get that information. Mel will draft a letter to Dorothy confirming their conversation and to get her support in contacting the FANHS Trustees to start working on the 501(c)3 documentation. Terri found a “how to” document on the internet to use as a guideline. We will work on the documentation after the golf tournament planning stages are underway and while we’re waiting to hear from the Trustees.

Museum Brochure and Multi-media Presentation: Mel remarked that the current museum brochure would have to be updated, which can be worked on with the sponsor letters. Lisa Wire brought a power point presentation CD regarding a project in Sacramento for the Filipino Community, which could be used as an example of the type of presentation CD/DVD that we could create for the museum.

Museum Article: Terri had been contacted by a Rose Roberto, webmaster for the Archives and Archivists of Color Roundtable (http://www.archivists.org/saagroups/aac), a special interest group that is part of the national Society of American Archivists. She requested an article about the museum project. Terri will draft an article and e-mail it to National FANHS, Mel, the Balantacs, Little Manila Foundation, and Letty Perez for their opinions and suggestions. Deadline for the article is November 17.

FANHS National Museum Meeting Minutes for October 7, 2006

Call to Order:

Museum Chairman Mel LaGasca called the meeting to order at 11:50 at Dameron Hospital, conf. Room B.

Attendees:

Stephanie Teczon, Dick Teczon, Jr., Moreno Balantac, Deanna Balantac, Maria B. Vea, Terri Torres, Anita Bautista, Melvin LaGasca, Leatrice Perez, and Virgie Melear.

1. Golf Tournament
1. Date – Saturday, May 12th, 2007 at Dry Creek Golf Course in Galt, it has been reserved.
2. Picnic – It was discussed to have a picnic to benefit the FANHS National Archives. Possibly following the golf tournament at the Micke Grove Regional Park, which is eight miles south of the golf course. Possibly have this as a Tri-Chapter event, an adobo cook-off or another cooking contest. Terri Torres will email the other chapter officers to get their feedback.
3. Donor and Sponsor Letters -- Mel LaGasca and Terri Torres will work on updating this past tournament letters once all details have been set. Stephanie Teczon will send Terri Torres a list of the business contacts she has.
4. Registration Forms and Flyers -- Mel LaGasca and Terri Torres will be updating the form and flyer once all details have been set.
5. Registration Deadlines -- February 1st will be Early Registration for $100. Thereafter, the price of registration will increase to $125. No additional dates were set.
6. Golf Tournament Committees -- Mel LaGasca will create a list of committees so those who wish to volunteer will know what’s available

1. Golf Tournament Planning Meetings

The Golf Tournament planning meetings will follow the FANHS Stockton Chapter meetings from 1 pm to 2 pm on the following dates: 11/4/2006, 1/6/2007, 2/3/2007, 3/3/2007, 4/7/2007, and 5/5/2007. If needed, more will be announced.

1. FANHS National Museum Projects and Activities
1. Mel LaGasca will meet with the Little Manila Foundation (LMF) to discuss possible rent/lease space in the Mariposa Hotel.
2. Mel LaGasca will look into hiring an accountant to audit the Museum’s financials.
3. Mel LaGasca will work on a marketing plan for the museum. A promotional CD/DVD and upgrade existing brochures and information. He will be in San Diego and will meet with a possible vendor.
4. Tri-Chapter Planning Meeting

To prevent activity conflict, it was suggested to have a planning meeting with our neighboring chapters, the Sacramento/Delta and Central Valley, and possibly, Sonoma.

This is currently on ‘hold’ pending the outcome of the email responses Terri Torres will receive for the Golf Tournament Picnic as a Tri-Chapter event.

1. Non-Profit Status as a 501(c)3

Terri Torres will review the requirements and application process to so the FANHS

National Museum will be its own non-profit organization.
