FANHS National Museum Minutes for 2009

MUSEUM MEETING MINUTES June 6, 2009

By Leatrice Perez

(These are the notes I took. I don't know if any one else took notes)

Mel LaGasca convened the meeting at 12:00 p.m. Loyd Rolle discussed the museum space with Mel. Loyd said he could take care of the facilities, costs, the building. These matters should be worked out with the Trustees before we can actually work on the building. We have no program or plans laid out for the museum.

Loyd presented a document "Preliminary Assessment of Building at 138 E. Lafayette Street, Stockton, California and Estimate of Anticipated Project Cost." (This was the Rizal Social Dance Hall) Loyd described the condition of the building. He spoke to the City Planning staff for zoning. It is appropriate for a museum.

Parking possibilities - under the freeway... Loyd will talk with the city; or he will ask the Chinese owners of a vacant lot across the street on Hunter Street side. (He referred to the document for other parking options). He said that there is extensive work to be done to meet building code requirements... seismic proof earthquakes ...needs elevators, handicap access, and much more. He said the inside needs to be totally gutted...so much repair work. It needs to be inspected for asbestos, mold, mercury, other contaminants. It is so old. The cost estimate, as if we will have a Grant - Projected cost is $918,000.00 for renovation. The cost is less if we build a new one.

Meeting adjourned at 1:25 p.m.

Golf Tournament Wrap-Up Meeting – May 9, 2009

By Terri Torres

Suggestions for next time:

If at the same place – more directional signs are needed or/and mail out park maps with initial flyer.

Hudgins banner was made of material too thin, easily torn. Old Jackson banner material just right.

Ice – 15 20-lb bags is the right amount, if the same amount of people

Soda – need more, if same amt of people, and need diet soda also.

            Water was right amount

Beer was too much, maybe half amount next time

            4 students was just right

            There were enough desserts

Another portable table could be used – for serving food – 5 tables (trophies, desserts, food, music)

Too much rice this time, so maybe just 2 trays

Potato salad ran out, so maybe use ice cream scoop to serve it

Golf course didn’t serve water/drinks on the course, need to next time, especially when hot

Nachos and hot dogs as starter food was good

Menu was well received, no complaints heard

Maybe Brookside Country Club for 2010 – Beverly Engkabo will check into place there for picnic, Mel will submit proposal to the golf club for approval

Golf Tournament Planning Meeting – May 6, 2009

By Terri Torres

A final planning meeting was held at Mel LaGasca's home the Wednesday before the tournament. In attendance were Anita Bautista, Anthony and Beverly Engkabo, Terri Torres, Violet Dutra and Gail LaGasca. Food service was discussed – Jeff Moore will be bringing his set-up to the park around 9:30am and will start preparing the food. Sonny Olaso will bring the lechon and rice around 10am or so. Serving will begin between noon and12:30pm. Golfers will probably start coming to picnic close to 1pm. Volunteers are to arrive between 9:30am and 10am – there will be 4 or 5 students from St. George’s Youth Group, and various people from other chapters to help out. Anthony and Beverly will put up signs at the park to point the way to the picnic area, and they will buy more table coverings, ice, and other supplies. Terri and Violet will get utensils, plates, cups, napkins, soda, water, etc. and Mel will get the beer and other needed supplies. We will need to pay the food vendors, golf course, St. George’s, and any one else that submits expenses at the park. After eating, we will do the door prizes, then the raffle, then announce and hand out awards. People can listen and dance to Frank’s music until it’s time to close up. We will either meet after the picnic or on another day to discuss outcome and suggestions for next year.

Museum Meeting Minutes – May 2, 009

By Terri Torres

Plans for the FANHS Museum Golf Tournament and Family Picnic on May 9th were reviewed. Mel LaGasca passed out a Check List to go over and to see which items still needed to be taken care of before the event. There were already 37-paid golfers, with a promise of 7 more. He will give the final list to Micke Grove on Wednesday, May 6th. He has contacted Debbie Mercado and Joequita Nadal to enlist their help with the golf registration on the day. He has already taken care of the insurance package for the hole prizes, and has ordered all signs and banners. Loyd Rolle is helping make the hole sponsor signs at his company – their donation to the tournament. Trophies have been ordered and Gail LaGasca is preparing the golfers’ goody bags. Raffle prizes are all ready, prepared by Mary Louise Lopez, and a door prize has been donated by Art Villarruz – a 2-night stay at his time-share condo in Pajaro Beach. Letty Perez has also collected 6 gift certificates to the Elephant Bar Restaurant, managed by her son, Dean. Three will be used for the tournament and 3 will be used at the October chapter event. Deanna and Moreno Balantac and Anita Bautista and Rossi Chin will set up exhibits and displays at the picnic area. Food has been ordered from M & T Family Kitchen and from Sonny Olaso. We will go over more food preparations at the Wednesday, May 6 meeting at Mel’s house. Final payments to Micke Grove and to food vendors will be made the day of the tournament. Frank LaGasca has agreed to provide music and a P/A system for $50. Mel will get gate passes to the volunteers today and on Wednesday. Picnic supplies still need to be purchased – table coverings, utensils, etc., as well as drinks and desserts. Terri reported that Costco could not donate this year, but that Tony Somera and Bahala Na will donate desserts – Terri to go and pick them up on Thursday, May 7th. Terri also reported that she would need all pertinent information for the souvenir booklet by Tuesday, May 5th, as she will take it to be copied on Wednesday, May 6th. Next meeting is planned for May 6 at Mel’s home. Meeting adjourned approximately at 1pm.

April 4, 2009 MUSEUM MEETING MINUTES BY TERRI TORRES

Meeting began at 12:30pm with the following present: Anita Bautista, Melvin LaGasca, Deanna Balantac, Moreno Balantac, Rossi Munar Chin, Leatrice Perez, Terri Torres, Violet Dutra and Loyd Rolle.

Mel LaGasca passed around information/specs on the Rizal Social Club on Lafayette Street, which is up for sale. He has gone through the building and sees that it would need a lot of work to bring it up to code and make it viable for a museum. He will get Loyd Rolle and others to also check the building. Much discussion followed about the pros and cons of redoing an old building versus building a new one on an empty lot – especially parking lot concerns.

Other properties were also mentioned such as the Daguhoy Lodge and the empty lot across from the Emerald Restaurant. Mel and Loyd will meet to go over all that was discussed and will bring back to us at the next meeting.

Golf Tournament: All mailings have gone out for the tournament and the picnic. Mel has heard back from 8 golfers, 5 hole sponsors, various advertisers, and Jackson Rancheria as our grand sponsor at $5,000. He will be ordering signs, banners and trophies soon. He still needs to contact the Port of Stockton and Budweiser. Loyd Rolle will be helping with the printing of the hole signs. Anthony Engkabo has agreed to help with the food on the day of the picnic. Food will probably be one lechon, hot dogs/hot links, hamburgers, a vegetable, finger-foods, and a dessert. We will need a lot of volunteers to help out on the day at the park and golf course.

The next meeting to work on golf issues will be April 24th at noon at Anita Bautista’s home.

MUSEUM MEETING MINUTES FOR MARCH 7, 2009 by LEATRICE PEREZ

Mel introduced Lloyd Rolle, Architect of Integrated Designs, Fresno, CA, who offered to help design the museum. Lloyd Rolle is a member of the Filipino Architects and Engineers, Fresno.

Lloyd’s company, Integrated Designs has extended resources to him so he can help with quick renderings of what the museum space will look like. Mel and Lloyd have signed a Memo of Understanding (MOU). They are experienced and professionals who will do this for nothing. They would like to be the principal company for the museum project when we have money. It is understood that if Federal money is involved, certain requirements may need bids. Lloyd presented a prepared printed brochure of what his company has built…schools, civic buildings and businesses. Lloyd said that he would obtain an agreement with Mel and his company regarding liabilities.

            L. Perez mentioned that the Rizal Social Club building on Lafayette Street in the Little Manila area is for sale. Mel said that he and Lloyd would look into this. Also mentioned was that the Daguhoy Lodge Building at 203 E. Hazelton Street is for sale. Mel said he spoke with a realtor. The price is $300,000 as is. It was considered, but it is too dilapidated and would need lots of work. Lloyd said he would look at it. Another building mentioned was the Skipper/Lois Yee building at 5th and El Dorado Streets.

Frances Estoista told Mel that she reviewed the Job Description for the Coordinator. They discussed her thoughts on the length and details of the description and a question of number of hours needed for the part-time work. Mel agreed and said he will amend/rewrite it.

            Meeting adjourned at 2:45 p.m.

Museum Meeting Minutes for February 7, 2009 by Terri Torres

Main discussion regarded getting letters/flyers out for the May 9th Golf Tournament – Mel will review forms and get back to Terri and Violet, so they can make changes, copies, and mail them out by Feb. 14th. Terri will also email Lailani Chan to find out what it takes to have an audit done on the Museum Project records. Mel is still looking for people to volunteer for the various positions available for the Museum Project. He will get in touch with the Trustees who had signed up at the last Trustee meeting to help out. Next meeting will be March 7, 2009, at DAMERON HOSPITAL --NE Corner Lincoln & Acacia Streets – following the Chapter meeting.
