Policy in regard to corrections to finished books

(Known in the trade as Author's Alterations or AAs)

One of the purposes of Beta Publishing is to allow for minor corrections to the publication to be made prior to each print-run without additional costs to the writer or purchaser. It is our aim to facilitate this benefit to the writer wherever possible.

In conventional print media, we are happy to accommodate minor changes because the books are printed "on demand". Provided the pages have not already been printed, these changes will be reflected in your next order. We have some guidelines and these are listed at the bottom of this page.

Changes to multimedia publications often involve the complete re-construction of the multimedia package and are therefore less likely to be considered. In relation to changes to multimedia packaging, coverslips and labels are generally regarded as print media.

Major changes such as format size, the inclusion of large bodies of text or extra artwork usually require re-formatting the whole book, something we hesitate to undertake. For this same reason we are reluctant to accept additional chapters after the book is completed unless the chapter is re-submitted to one of our assessors and s/he considers that it will significantly add to the publication. We are also reluctant to change the cover layout but are happy to make changes to text or barcodes on the cover. If for any reason the author would like changes that we would consider as major changes, then these may be considered on a fee basis (a copy of our schedule is available on request).

Authors should, however, bear in mind that the financial cost of setting alterations is not the only cost involved. If the number of author's alterations is large, the time needed to make them can cause delays in the production schedule. If the alterations move text from page to page, the index must be double-checked to see if changes are needed in the page numbers cited there (and the running heads to endnotes must be checked as well if the lines moving from page to page contain note numbers). The alterations—which will be keyboarded by a compositor rather than taken from disk—must be proof-read once they are typeset. All of this double-checking and proof-reading takes time; and the more of it there is, the more chance there is of introducing new errors. For these reasons, even if an author expresses a willingness to bear the cost of making what we consider an excessive number of author's alterations, we may need to discuss the alterations with the author in an effort to pare them down to a manageable number

Please note also that, out of fairness to all our authors, our typesetters will put your book in the queue and it will be dealt with in turn along with other manuscripts – unless you advise us that the publication is required urgently (e.g. for an advertised book launch or seminar).

If you have already advertised your book at a certain price, please consider the fact that changes that reflect different format sizes or additional pages will possibly also affect the pricing structure of the book. Discuss this with the publisher if you have any concerns. We may be able to offset the cost in some way (for example if we included an extra chapter, we could possibly retain the same number of pages by reducing the font size or by replacing illustrations with the additional text.)

Because of our cataloguing system we cannot change the title or catalogue number of the book after production.

Submitting corrections to finished books

We require the submission of changes to follow the following protocol:

1. Text to be in WORD or plain text format only. It may be included in the body of an email if desired. (see also our information regarding submissions in WORD.

2. IMPORTANT: When sending text, send both the original and the modified version. Include the entire sentence, not just the changed word or punctuation. Describe exactly what you want changed if necessary. Here is an example:

On page 97, please change 'Egbert, I really need more housekeeping money.' To 'I've tried self-hypnosis, and transcendental meditation, Egbert, but what I really need is more housekeeping money.'

3. Tell us which book you want changed. (Some of our writers have several books.)

4. Please refer to the actual page number, in the finished publication, as our typesetter may not have access to the original manuscript.

5. Changes to artwork will be accepted, bearing in mind that the illustration or chart will be used to replace an item already in use, in the same size and location. Once again, please refer to the page numbering in the finished publication and describe the artwork that you want replaced, especially if there is more than one art item on a page.

Changes will only be considered if these guidelines are followed and then only at the publisher's discretion.
