    Grad Night Meeting Minutes for 9/18/02

    7:08 meeting began, 16 parents were in attendance.

    Several parents were unable to attend due to other commitments, Rolling Hills Back to School night seemed to be a major factor. We will continue to get messages out via email, PTSA newsletter, and the Grad Night ’03 website; http://www.oocities.org/gradnight2003

    We had a lengthy discussion surrounding location and after narrowing it down to 2 options the decision was made that we will put this out to a vote by the senior student body. Michele will produce a ballot and copy all that were in attendance for approval. The 2 locations on the ballot will be Club Sport & Disneyland.

    The Budget discussion was tabled until the Grad Night location is determined. We also tabled discussion on the Them because if the students elect to go to Disneyland a theme is irrelevant.

    Randy Hain presented information on the San Jose Arena fundraising opportunity, we need to get many more parents to participate. This is, however, a fundraiser that can benefit the entire school. San Jose Arena info: We now have a year round opportunity to raise money for YOUR Club, Program, or Project. Working as little as one event, you can contribute $40-60 to help the program of your choice. This is the same program the Gradnight Committee used to raise over $7000 last year.

    What is this, and how can I participate?
    We will be working for ARAMARK, the food service provider at the San Jose Arena. Working in teams, we prepare and serve the guests during the event intermissions, think Sharks Games. For those that have worked in the Snack Shack, you have the idea. The age requirements are 17 years or older, this means that students can help raise money.

    What kind of commitment do I have to make?
    Typically you would work about 5-6 hours, from 4:30 p.m. to about 10:30 p.m. You can work as often as you would like, but, 3-10 times over the year would be enough to provide the group of your choice up to $500. Please note: ONE (1) is the magic number, that's the minimum number of events anyone needs to work. Of course you will earn more money with each additional event you can work.

    When do we start?
    As soon as possible we need to make commitments now for October event dates.

    Come join a team and have fun while you help raise the money YOUR group needs.

    We skipped the discussion on committees and will talk more about that at our next meeting.

    We went over several fundraising opportunities; San Jose Arena, Frankie, Johnny & Luigi’s, Spaghetti Dinner/Silent Auction, and commercial/private donations. As a group we decided that we WILL NOT have The Spaghetti Dinner/Silent Auction this year no one wanted to invest the time for the revenue generated. We will focus our efforts on the San Jose Arena with a goal of raising a minimum of $10,000. To raise this it will require 200 people; 40 people working 5 events, 20 people working 10 events, or better yet with 50 parents/students (keep in mind we have more than 300 seniors) each working 5 events throughout the school year Grad Night 2003 would earn approx. $12,500-$16,250. This kind of commitment will help to reduce Grad Night ticket prices.

    It was decided that our next meeting will be held Tuesday, October 8th, 2002.

    It is anticipated that our meetings will typically run 1 hour, however, there was quite a bit to cover this first meeting and I appreciate everyone’s patience with the lengthy meeting.
