Minutes of the General Committee Meeting of the Westonbirt Association
held at Westonbirt School, on Saturday 1 October 2005 at 11:00

Present: President (in the Chair), Vice-Chair, Hon. Secretary, Hon. Treasurer, News Editor, News Finance, Representative to the Governors, Network Facilitator, 11 other Section Reps (representing sections 1, 2, 3, 4, 7, 8, 9, 10, 11, 12, 15, 16, 21, 22, 23, 25, 28, 29, 30, 43, 46, 47, 48, 51, 52, 56, 60, 62, 63, Current Staff). xxxx xxxx was also present (with her daughter).

  1. Apologies for Absence were received from representatives of sections 14, 17, 18, 24, 27, 31, 33, 34, 49, 53, 54).

  2. Minutes of the previous meeting held on Sunday 3 October 2004 were approved by those present and signed by the President.

  3. Matters arising from previous meeting None

  4. Section Representatives' Business and Reports
    Section representative changes would be reported to the AGM.

    The Secretary thanked all the section representatives for coping with the problems with the previous summer mailing, and said that effort would be made to prevent recurrence.

    The News Editor said that she had found that the moving forward in 2005 of the dates for collection of news to fit with Amaryllian production at the February half-term had resulted in her working on the News through the summer. She was not prepared to do this again. She and xxxx xxxx had agreed that it should be possible to produce the Amaryllian at the beginning of January, and that, with a tightening of the dates allowed for the different stages of News collection, the date of production could be brought to the end of the summer term or earlier.

    It was agreed that in 2006 the packages would be sent to Section Representatives in very early January, and they would send them on to members as soon as possible, and certainly by the end of January. Members would be asked to return their news by the end of February. The attention of members should be drawn to the change in date for their submission of News.

    News reports should be sent to the Editor immediately after the end of February. A full week of March would be allowed before chasing commenced. If any report-writer had a problem with the date for her report, she should discuss the matter with the Editor.

    The effects of the change in dates would be reviewed at the 2006 GCM.

    The Editor requested that those with email should email their reports to avoid the need for re-typing.

    There was a need for new section representatives. (The two newest out-of-section representatives were thanked.) More and more of the older sections would, as their members aged, be dealt with representatives from out of section, but the Secretary was concerned about this being necessary for some younger sections. In particular, Section 59 was now represented by section 58 member; section 60 needed a new representative, and there were no in-section representatives for section 62 and 63.

    The Current Staff Representative offered her experience of pupils of the last 20 years as a source of suggestions as to who might be cold-called in appropriate sections.

  5. Honorary Members
    It was agreed that xxxx xxxx (PE and Sixth form Housemistress, who had left Westonbirt after almost 20 years) would be offered Honorary Membership of the Association.

  6. Election of Officers

    1. President
      The current Representative to the Governors was proposed by the President and seconded by the section 23 representative. She was elected President unopposed, to succeed the retiring President, who had come to the end of her eight years of office.

    2. Representative to the Governing Body In the absence of other candidates, xxxx xxxx((married name xxxx, section 52, a Lecturer in the School of Leisure, Tourism and Sport at the Swansea Institute) was elected to replace xxxx as the Association's Representative to the Governing Body of the School. The meeting was informed that xxxx xxxx, now President, had been invited to become a Governor in her own right.

  7. Any Other Business None.

The meeting ended at 11:15.
