Minutes of the Annual General Body Meeting (AGBM) held on May 03, 2003 at the Hotel Metro Palace, Bandra (West), Mumbai
Shri K. R. Gurumurthy, Hon. Secretary requested the chairman Shri R. P. Singh and Hon. Treasurer Shri Rakesh Kumar and Prof. S. N. Malhotra to come to the dais. He welcomed the members present at the AGBM. Shri R.P. Singh welcomed all the members to the AGBM and took up the items listed on the agenda.
Copies of printed booklet consisting of the notice for the AGBM 2003, minutes of the AGBM 2002, secretary’s annual report for 2002-03 and the audited accounts for the year 2002-03 were sent earlier by post to all the members and again distributed to all the members present at the AGBM. The minutes of the meeting are as follows:
Item 1: Confirmation of the minutes of the AGBM held on June 6, 2003 at Multi Purpose Hall, Anushaktinagar
The Hon. Secretary read the minutes of the last AGBM. These were unanimously accepted. The confirmation of the minutes was proposed by Dr. P. K. De and seconded by Shri M. M. Hussain.
Item 2: Presentation of the Annual Report for the year 2002-03 on chapter activities by the Hon. Secretary
Shri K. R. Gurumurthy, Hon. Secretary presented the annual report and illustrated these by an interesting power point presentation and photographs. The main points covered by the Hon. Secretary are:
Quiz contest
The Metals and Materials quiz 2001 was held at Homi Bhabha Science Centre, Mankhurd. 48 students from XI and XII Standard belonging to 16 Junior colleges participated in the quiz contest. This event generated wide media coverage and video shooting of the event was also done. Prof. Arbind Kumar, HBCSE addressed the students at the end of the event.
IIM Honours and Awards
Dr. S. Banerjee delivered the N.P.Gandhi Memorial Talk during the NMD. Senior members from IIM, Mumbai Chapter chaired Sessions during the ATM and in all a total of 7 awards for best papers and Metallography Contest etc were awarded to Members from Mumbai Chapter
Works Visit
A 1-day visit to M/s TELCO, Pune was arranged during the year. 49 members participated in the visit to the Heat Treatment & Gear Assembly & Machine shops of the Plant and the assembly lines of Truck, Indica and Safari Vehicles. The visit generated enthusiastic participation of members.
Newsletter
The Publication of Newsletter was resumed during the year and 3 issues have been brought out. The newsletter was also simultaneously published in the web site. Announcements of the Chapter Activities, Reports on concluded events and some information of common interest were carried in the newsletter. It is being planned to restrict the publication only to the website in future, as the cost of printing and distribution is high
Web Site
The web site of IIM Mumbai Chapter was strengthened and kept updated during the year. The site is www.oocities.org/iim_mumbai_chapter.
Dr. P. K. De pointed out that IIM Mumbai Chapter should request the head office to start publishing titles and abstracts of the papers published in the Transactions of the IIM. Dr. G. L. Goswami commended the efforts by the executive committee during the year and proposed that the Hon. Secretary’s report be adopted and it was seconded by Shri C. M. Daftary.
Item 3: Presentation of the Audited Accounts for the year 2002-03 by the Hon. Treasurer
Shri Rakesh Kumar, Hon. Treasurer presented the audited accounts for the year 2002-03. He pointed to the following facts and figures:
1) The total FDs stood at Rs 6,57,586 with the maturity value of Rs 6,96,220. the interest earned from these FDs was Rs 73,415 during the year.
2) Total amount collected from the membership fees by the chapter was Rs 25, 975.
3) The excess of expenditure over income during the year stood at Rs 43,813 while a cheque of Rs 90,000 was handed over by Shri K. BabaPai of Baroda Chapter as Mumbai Chapters share of earnings from the Annual Technical Meeting held at Baroda. This brings the balance to positive side for the current year.
In response to a query from members about TDS paid on the FDs by the Chapter, the Hon. Secretary clarified that the Chapter does not pay any TDS on its FDs and the head office handles all such matters regarding income tax. The Hon. Treasurer proposed that the Auditor M/S Shashank Ranade & Co. be retained for the coming year also and the fees for auditing be raised from Rs 800 to Rs 1000. The members appreciated the efforts put in by the Hon. Treasurer and accepted the accounts for the year. This was proposed by Shri P.B. Desai and seconded by Shri P. K. Aurora.
The General Body elected the following office bearers for the year 2003-04. The Hon. Chairman Shri R.P. Singh proposed some of the names and asked the General Body to nominate some more. Following are the office bearers elected by the AGBM:

The Hon. Chairman explained that each year the surplus from the Chapter is transferred to the Building fund and the Chapter does not have enough funds to initiate different activities. He proposed that the interest from the Building fund be transferred henceforth to the Chapters revenue fund and used for Chapters activities. The adoption of the resolution was proposed by Shri G. L. Goswami and seconded by Shri S. N. Bagchi. Shri G. L. Goswami suggested that the Executive Committee should propose to the next AGBM methods to directly use the surplus from Chapters activities.
Shri K. Baba Pai, Shri Rakesh Kumar, Shri S. K. Jha, Dr. Vivekanand Kain, Shri Yatin P. Shah and Shri B. K. Shah were felicitated by Shri R. P. Singh, Hon. Chairman for being the converners of different Seminars/Courses/Annual Quiz held during the year. Dr. T. K. Mukherjee felicitated Smt. Namtra Kadam, the Guest Speaker for the spouses at the AGBM.
Item 7: Proposed Programmes for 2003-04:
The Hon. Chairan, Shri R. P. Singh highlighted the main events during the year and thanked all the executive committee members especially the Hon. Secretary and Hon. Treasurer for the excellent work done during the year. He called upon Prof. S. N. Malhotra to take over as the new Hon. Chairman and wished the new executive committee all the success. Prof. Malhotra thanked the members for electing the new executive committee and proposed the following programmes for the year 2003-04:
1) Simulation of Metal Forming Processes
2) Welding Metallurgy
3) Annual Quiz
4) Conventional Materials for Nuclear Industry
5) Condition Monitoring
6) Works Visit
7) Environmentally Assited Cracking
Prof. Malhotra proposed that the Mumbai Chapter should also start a quiz for B. Tech. Students in this year. He proposed that a social get-together be arranged for the members and their families. He underlined the need for more interaction with the industry and to generate more financial resources for the Chapter. He wished that the coming year be more eventful than the previous year.
The meeting ended with a vote of thanks by the Hon. Secretary Shri K. R. Gurumurthy to the Chair all those who helped in organizing different activities during the year.
