Auditions – Scott – We are down in numbers from last year so far.  However, while the numbers decreased in some rooms (flute), they increased in others (trumpets, percussion).  Everything is set at Westfield State for rooms.  Scott submitted the tentative numbers of auditions in each room.  There have been more problems with endorsement/registration forms this year as compared to last.  Some teachers are sending endorsement forms without registering.   Tabled discussion of how we can streamline the endorsement/registration process for next year.

String – Denise brought information for Grace to start a manager’s notebook.  She also brought old notes on West Springfield High district rehearsals.  She has all of her music for all judges.  She gave her managers seating guidelines of most frequently asked questions.  A taped audition is coming in and will need a tape recorder.  Patrick Smith provided sightreading.

Instrumental – Claire – Will send Scott email addresses or home addresses of adjudicators.  Claire will take over sightreading from Scott.

Choral  - Kayla absent - Spare CD players are appreciated.

Unfinished Business

Discussion of audition numbers.  It was decided that the present situation is the best.  Even if we increased the numbers, we would not have the room at Westfield State.  Motion that 100 students from each school should be the new limit.  Motion not approved.

Tony DiGiore offered to take over the publicity, specifically press releases, and will be appointed new publicity person.

Equipment list – If anyone has any equipment that belongs to the district, to please make it known.  Scott has the majority of equipment. Inventory needs to be made.

Zasco Teleproductions has offered to do a videotape of the concerts.  Jeff Harrison will be consulted.

Ken is trying to come up with job descriptions for everybody.  Ken will email each job description to the people performing that job.

Motion to adjourn at 5:40.
