Arden Tournament

On 3rd & 4 th July 2004, to be held at Whitley Farm, Henley-in-Arden, by kind permission of Mr & Mrs D Lodder.

Directions to Arden Polocrosse Club

Arden Polocrosse Club is situated just outside Henley-in-Arden approximately 10 miles from Stratford-upon-Avon.

From south of Stratford-upon-Avon, follow signs for S-U-A on A3400. Follow signs through to Henley-in-Arden. Turn right at traffic lights towards Warwick. Pass Jacksons Garage on left, up the hill, turn left onto Edge Lane. Grounds will be signed on right hand side of lane.

From M40/M42 (from North): Take junction 16 off the M40. At top of slip road take signs for Henley-in-Arden. Follow road all the way through to Henley-in-Arden. Come to traffic lights, turn left onto Edge Lane. Ground will be signed on right hand side off lane.

From M40 from south: Take junction 15 off the M40. At roundabout take 2nd exit A46 towards Stratford-upon-Avon. Stay in right lane as soon as you get on to A46. Take first right towards Norton Lindsey. Follow road all the way to the T-junction. Turn left signed to Claverden and Henley-in-Arden. Follow road through Claverden. Pass Crab Mill Pub on right hand side. Go up hill and down the other side. Go up the next hill, at top turn right onto Edge Lane. Grounds will be signed on right hand side of lane.

Divisions: The tournament, in the first instance, will be organised into Teams of six but entries will be considered for Sections in which case the Organisers reserve the right to combine sections from different clubs to form teams - if space is available.

Low entries in any division may result in a sections competition being played in that Division.

Open Divisions will be grouped according to team grades. Division Point Guidelines are as follows:-

Entry Fees: Open Players £35 per player

Juniors £25 per player

Primary Juniors £20 per player

Minis £15 per player

A BBQ on Saturday night is included in the entry fee and meal tickets will issued on payment of entry fees

Restricted Entry Entry to this tournament will be restricted. This will be on a first-come- first-served basis. Priority will be given to clubs who have paid their entry fees.

Horse Welfare: Any horse which a club or player wishes to withdraw must be inspected by the welfare officer and chief umpire prior to substitution. Failure to comply will render the club in breach of the tournament rules and may lead to disqualification of the club from the competition

A Farrier will be available but horses must be adequately shod prior to arrival.

Paddocks: DIY Electric Fencing - Electrified penning for horses must comply with guidelines and advice.

First Aid: There will be two Paramedics on site

Catering: On site catering all weekend, there will be a BBQ on Saturday night at the Clubhouse (incl in Entry Fee) – limited extra tickets available on request (£3 per ticket)

Dogs: Dogs must be kept on a lead at all times

Showers: Showers will be available

Entertainment: Normal Arden Form!

Tournament Rules International Rules, with UKPA variations and the Code of

& Code of Conduct Conduct as published in the 2004 UKPA Annual Yearbook will apply

Field Controllers: Each field will be under the direct supervision of a Field Controller/Assistant Field Controller whose duty it will be to ensure the smooth running of play on that field by monitoring the provision and adequacy of Playing Field Personnel and Equipment and making such directions as s/he consider necessary. The Field Controller/Assistant Field Controller will liaise with the Umpire regarding the late arrival of teams and with the Chief Umpire regarding the late arrival of Umpires. The Field Controllers will be directly responsible to the Tournament Organisers.

Briefing: Saturday 9am for all Team Captains and Club Reps

Start time: Saturday at 10am & Sunday at 9am (unless otherwise stated)

Team Captains: Each team must have a captain nominated who will identify themselves to both umpires & game officials prior to each game.

Timekeeper/Score: Each team must provide a suitable person to be either the timekeeper or scorer for each game.

Goal Judges : Each team or section must provide a suitable people to act as goal judges.

Club To assist with communications prior to and at the tournament each

Representatives: club is asked to nominate a representative to whom the organisers, horse welfare officers and other clubs can confer.

Arbitration Committee: Where necessary an arbitration committee will be set up in accordance with UKPA rules and guidelines accordance with UKPA rules and guidelines

Declaration: A senior official of the club must sign the entry forms on behalf of each club, agreeing to the bound by the rules and conditions of the Tournament.

Umpires: Each club as a minimum must nominate (sufficient) appropriately qualified umpires as laid down in the UKPA 2004 Year Book (As a rule - every 2 players entered = 1 hours umpiring)

Umpires ponies must be provided by all clubs. One for each group of 6 players in the club. Horses being used for umpiring must be able to keep up with the game they are umpiring and must be suitable for the purpose of umpiring - Clubs failing to provide horses for their own umpiring duties may be sanctioned.

Appropriate head gear, footwear and white riding trousers must be worn by all umpires.

Cancellation In the unlikely and extreme event of cancellation of the Tournament for whatever reason, the organisers reserve the right to retain such proportion of the entry fees as necessary to cover any expenses reasonably incurred.

Health and Safety The Organisers of this event have taken reasonable precautions to ensure the health and safety of everyone present. For these measures to be effective everyone must take reasonable precautions to avoid and prevent accidents occurring and must obey the instructions and all officials and stewards.

Any person mounted on a horse shall wear an approved helmet at all times

Legal Liability Horse riding is a dangerous sport - All participants, whether riders, officials or spectators, do so at their own risk. Neither the Organisers, nor any person acting on their behalf accept any liability for any loss, accident, damage, injury or illness to horses, riders, spectators or any other person or property whatsoever.

Conduct at Arden Polocrosse Club and Grounds: Any person who in the opinion of the organising committee has behaved in a way prejudicial to the interests of Arden club and/or the UKPA may be barred from the grounds immediately and without appeal
