Band Parents Organization Meeting
January 13, 2004
Meeting started at 7:33pm

Minutes from previous meeting. David Mayer moved to accept the minutes as read, Isela seconded. Motion passed by those in attendance.
See other report. Current balance in checking is $13,146.56. There is a clarification for the Winter Conference participant, on check #1332 to CMEA Bay Section, not Winter Concert.
Isela will activate the phone tree to call to remind parents about the Winter Concert.
In the next few weeks, Joel Rojo will mail letters out inviting local businesses to our Jazz Dinner Dance. Joel will need flyers to distribute to businesses.
Holly Chubbuck mailed out the donations. She has gone to Cold Stone and House of Bread for donations. The deposit check for the food has been disbursed, in the amount of $300. Holly will set up a date for a Chevy’s night in Newark, around the 8th or 9th of February. There will be a donation drawing on Thursday at the concert, $1 per ticket, or 6 for $5.
Rita Carson showed a sample display for the centerpieces for the Jazz Dinner Dance – red and white flowers, in vases, with color-coordinated ribbons on top of a black/white musical notes on cloth squares. She made a sample bag of black and white M&Ms, which could be given out. Rita submitted a budget proposal for the various items the decorations committee would like to purchase. The high estimate, without donations, would come to $600. For $190, for a long-term investment, we could make 24 double-sided table covers. Anne Damron would be willing to do the sewing.
Brian Quock brought a big box full of donated decorations, which could be used for the Dinner Dance, as well. He has a connection with Martinelli’s and may be able to get donated bottles. 96 bottles, or 8 cases, would cover 3 bottles per table for 24 tables. Taking away the cost of the donation of Martinelli’s, the $600 would go down to $375. We would put an advertisement for Martinelli’s, their logo, into the program, onto a website, etc.
Rita made a motion to approve the costs of the decorations, to not exceed $600. Karen Conover moved to approved, Isela Diaz seconded.
Section leaders will work with students on creating their section baskets.
Isela Diaz suggested announcing at the concert that parents advertise the Jazz Dinner Dance at their work.
Holly is offering incentives to students to sell more tickets, in order to receive a prize of movie tickets and dinner for two.
Our next Jazz Dinner Dance meeting will be after the next BPO meeting, for a quick update.

Mr. Conover volunteered to drive the truck for the Winter Percussion/Guard competitions. We will use a 14-foot truck. Karen Conover will call in February to reserve the truck for the dates. Sue Mayer mentioned to ask for the 20% discount. Craig and David were the two to ask for, at Cresco.
American Eagles Athletic Booster Club president came and presented information about the Eagle mascot logo. We have many different logos and are trying to standardize the logo. They would like to have a representative from the Band Parents Organization to sit on the selection committee.
Karen Conover recommended and would like to go to the Athletic Booster meeting to announce our Jazz Dinner Dance. If tickets are available by then, that would be helpful, as well.
Winter Concert
The BPO usually buys 2 cakes, one carrot cake and one chocolate. Sue Mayer will purchase the cakes.
There will be a sign up sheet for students to bring desserts and 2-liter bottles of soda. Bring enough dessert for a family.
Isela has lemonade and punch available, as well.
Arielle Diaz will put together posterboards to show off our recent accomplishments.

Jewel brought up a possible fundraiser, with the Wherehouse, where old CDs are turned in, for cash.
Isela Diaz moved to adjourn the meeting and Holly Chubbuck seconded. Meeting adjourned at 8:40pm.
Our next BPO Meeting will be Tuesday, February 10, 2004.
