Band Parents Organization Meeting
November 12, 2003
Meeting started at 7:32pm

Minutes from previous meeting. Nancy Williams moved to accept the minutes as read, Dale Gerber seconded. Motion passed by those in attendance.
See other report. Current balance in checking is $10,256.98. We voided a check which we gave to the caterer as a tip for last year’s Jazz Dinner Dance. It had not been cashed. Rita Carson handed in receipts for water bottle purchase costs.
Isela Diaz distributed the phone tree lists. The phone tree was activated on Monday for today’s meeting.
Nothing new to report
Holly Chubbuck mentioned having a fundraiser at Chevy’s, in Newark. She will look into January or February, 2004.
There was discussion about the Shoreline events. The $221 would cover insurance costs for a list of over 10 events. For less than 10 events, it would cost somewhere between $100 and $200. Concerts would start in April and go through to October. Mr. Wong suggested handing out a sign-up sheet to see which adults would be interested.
There will be a Pizza Italia Fundraiser this Friday, November 14, 2003.
Anna Lemley brought up the Hawaii trip, costs, timeline, etc.
Brian Quock brought up a possible fundraiser with the San Jose Giants, where we would sell out $2000 worth of tickets to the stadium and then re-sell them as a fundraiser. We would make $22,000, if we sold all of the tickets. With the size of our group, it might not be possible to sell all the tickets by ourselves. We might be able to combine with another group or two, in order to do something on this scale. This item was tabled at this time.

Merced went well. We returned earlier than scheduled. It did not rain.
If it rains this weekend, the football field show will turn into an extra credit pep band, with no uniforms and no marching of a half-time show. In terms of canceling the truck, we will do so by the end of rehearsal on Friday, if the weather appears to be rainy. Mr. Wong will contact Craig Carson, if there is a change in plans.
We will need drivers for Oakland Tribune Holiday Parade to help move equipment to the starting point of the parade. The band will take BART. Karen Conover will drive her van. Anne Damron can also drive.
Sue mentioned that Anthony Nunes had been in charge of the Jazz Dinner Dance before. She mentioned that Holly could take over as the organizer of the Jazz Dinner Dance, so as to allow Mr. Wong the opportunity to concentrate on working with the students and the music. Holly accepted to chair the Jazz Dinner Dance.
Mr. Wong will send the donation letter (hardcopy) and the spreadsheet of possible donors (e-mail) to Holly.
Karen Conover’s students will help setup on the day of the Jazz Dinner Dance.
Decoration committee: Rita Carson volunteered to be on the committee, and in charge of it.
Advertising: Joel Rojo will be in charge of that again, this year.
Clean up: last year, we had some students who were not in jazz band help with the clean up. Sue will be in charge of the clean-up committee.
The theme will be the Black and White Ball. The church has white tablecloths. If we can just put a black square on the table, then it will cost less than renting all the linens.
Our next Jazz Dinner Dance meeting will be at 7pm, on Wednesday, December 10, 2003, half an hour before the BPO meeting.
Dale Gerber moved to adjourn the meeting and Karen Conover seconded. Meeting adjourned at 8:46pm.
Our next BPO Meeting will be Wednesday, December 10, 2003, due to a concert falling on the second Tuesday of the month.
