Band Parents Organization Meeting Minutes

December 12th, 2006

 

Attendance:

Minutes

Motion to approve the minutes moved by Martha, seconded by Denise.

Treasurer’s Report – Dorothy Kerr

Current balance in checking is: $ 19,815.56. Savings is $3,758.50. Our Total is: $23,624.12.

Bill: Mccormicks- $ 383.10 for flags

 

Reimbursements:

Isela Diaz- $ 291.57 and $ 28.15 for fuel/food

Denise Gavello - $ 103.02 for Fairfield bus drivers

Agnes Santos- $ 34.70 for Fairfield food

Linda Rusch- $584.00 and $73.77 for Fairfield ice/food

Susan Young - $ 204.65 and $81.87 for food

Linda moved to pay bills Denise seconded. Motion passed by those in attendance.

Denise moved to accept treasurer’s report. Isela seconded. Motion passed by those in attendance.

 

Membership Report – Isela Diaz

Isela has started making an informational DVD to incoming band families. Martha brought up the idea to have 10 current band parents adopt incoming freshman parents so they can learn about what we do as an organization and band.

 

Publicity Report –Martha Tuma

Martha will be sending out a letter for the Jazz Dinner Dance, for donations for the silent auction.

 

Fundraising Report – Open Position

The Niles Veteran’s hall is booked so we are looking at going back to the church but we are waiting for an answer back to see if it is available.

We need to get a caterer for the date that we have set up.

Martha brought up that we could look into trying another type of event where we can have a silent auction and have less work involved.

Martha brought up that we could take pictures of band members and possibly sell them as a fundraiser.

 

New York Fees Due:

 $307 due January 4th

$306 due February 1st

 

We purchased a 30-candy pack at Costco to sell as a fundraiser. We are selling the candy bars for $1.00 each.

It is possible that the P.E credits for marching band will be taken away, but details are unclear at the moment.

Winter Percussion informational packets are available to students who have already been accepted into the group.

Winter Concert- we need to get donations of desserts for this concert.

Martha moved to adjourned the meeting and Mark seconded. Meeting adjourned at 8:56 pm.

Next meeting January 9th, 2007 at 7:30pm.

 

Jazz Dinner Dance 2007, Dec. 12 Meeting

 

An idea was to cancel the dinner portion.

 

Isela spoke for having the dinner for various reasons, such as parents who set up and would not have time to eat during the day, overdosing on sugar from desserts, etc.

 

Theme?

Ticket prices?

Location?

 

Possible locations – Church of Jesus Christ of Latter-Day Saints, Golden Peacock, Elk’s Lodge, Holy Spirit.

 

Rhonda Morgan volunteered to help with ticket sales.

 

Linda Rusch volunteered to help with decorations, set up, and table decorations. She will make a site visit once the site is chosen.

 

Martha has agreed to do publicity and work on the silent auction donations. Denise volunteered to help on the silent auction.

 

Denise is already working on the caterer and the location.

 

Logistics deals with site visit and finding outlets, etc., set up of tables, etc.

 

Mailing labels will be needed in order to contact all parents.

 

Isela can help with decorations, the program, and silent auction.

 

A very dependable parent headed kitchen crew up last year. She is one of the parents we would need to call.

 

Anne brought up the need to involve more parents, rather than the ones who tend to show up at the meetings.

 

Assign parents to committees or have parents choose?

 

Guest artist? Sylvia Sanders will check with her brother, from Denver.
