
To establish the implementing
guidelines and procedures for the internal use and
reservations of media equipment, non-printable materials and
audio-visual venues and ensures timely and efficient
delivery of media items to all qualified users.
Who are qualified?
All SBC administrators, faculty members and employees can
avail of the IMC resources and equipment for official use
only. Duly-registered SBC students are likewise allowed
provided that all requests are pre-approved by their
classroom or organization/club advisers.
- Reservations for the use of media
equipment must be made three (3) days in advance while
venues one (1) week in advance prior to the date of
service to allow the media center to arrange the
schedules. The First Come First Serve Basis is applied
to all requests.
- In cases of emergency requests, users
are required to secure a written endorsement from the
Department Head and approval from the Rector-President
or the Director of Services before the requests are sent
to the Instructional Media Center. However, these shall
still subject the availability of the equipment needed
and/or confirmation of such availability will be made by
the IMC staff.
- The Instructional Media Center shall
confirm all requests within twenty four (24) hours upon
receipt of the required request forms. In case of
cancellation/s, users should inform the Instructional
Media Center a day before the scheduled use. All users
should properly accomplish the required Instructional
Media center request forms to be sent personally to the
Media Center. Requests can also be sent online through
our email address, imc@sanbeda-alabang.edu.ph or
sbcamedia@yahoo.com.
- As a general rule, reserved equipment
and materials should be personally received from the
Instructional Media Center by the requesting users. It
shall be the responsibility of the Instructional Media
Center to provide manpower assistance for heavy media
equipment.
- No materials and equipment can be
taken out or be used outside SBCA unless approved by the
Director of Services/Instructional Media Center
Coordinator.
- Media materials are treated as
reference materials. As such they are to be returned
immediately after use
- The media equipment borrowers are
expected to operate the corresponding equipment to
project filmstrips, slides, and transparencies, or the
use of tape recorder and opaque projector. The materials
will be prepared by the media staff and likewise put
back after use. For film showing activities, the Media
Center shall provide the film operator.
- The projection rooms serve as
multi-purpose rooms and their main priorities are given
to film showing, academic contests, school activities,
administrators’ and teachers’ meetings.
- Teachers must accompany any class
using the IMC and must remain with the class for the
entire duration of the activity. No class should be left
unattended by the classroom teacher while in the IMC.
The class adviser is likewise responsible for informing
the IMC staff of class sessions ending earlier than
scheduled.
- It is the borrower’s responsibility
to ensure the security and proper use of any and all
borrowed IMC equipment. The IMC must be immediately
informed in case of loss or damage to such borrowed
equipment. If negligence is proven for its loss or
damage, the user shall be charged the corresponding cost
or repair expense as restitution. Restitution may be
imposed independently or along with any other penalties
in cases of loss or damage to the School’s property. The
College may recover the amount involved through salary
deductions or whatever legal means that will prompt the
borrower to pay the amount involved. Restitution shall
in no way mitigate the penalties attached to the
infraction brought about by such negligence.
- Requests for borrowing of materials
from outside sources and/or bringing of personal
materials should be consulted and discussed with the
Instructional Media Center Coordinator prior to
implementation.
- Job request for video taping of an
official school activity or editing must be filed at
least one (1) week in advance.
- Fund raising activities, which will
require the use of media equipment, should share five
percent (5%) of the net proceeds to cover maintenance
and labor cost incurred.

- All students are
expected to fill out a Student Borrower’s Form for the
use of projection rooms and IMC equipment. The approval
of classroom adviser or faculty should be obtained first
before request forms are presented to the Instructional
Media Center.
- A valid school ID is
required when borrowing equipment.
- Permission to borrow
equipment and use of projection rooms will only be
granted for official school activities.
- To maintain order, only
the group leader will be entertained when borrowing
equipment or requesting the use of the projection
room/s.
- A maximum time of one
(1) hour is allowed for the use of any equipment. In
case of an extension, permission from any media staff
should be sought. Otherwise, a fine will be imposed for
failure to return on time.
- Replacement or
corresponding penalty shall be imposed in case/s of loss
or damage of an equipment/material.
- Students are not
allowed to operate media equipment unless allowed by the
Media Center.
- Loitering or
overstaying inside the media office is strictly
prohibited. Likewise, only authorized persons are
allowed inside the IMC technician’s area.
- Proper decorum should
be observed at all times. Eating and playing are not
allowed inside the Media Center and viewing areas.
- Borrowing by elementary
pupils will be limited to VCD/CD/DVD Cassette
Recorders/Players and VCD/CD/DVD ROM only.

Students, faculty and employees
who wish to secure a copy of school documented activities
like graduation ceremonies, First Holy Communion, academic
contests, etc. should:

Fill out a
job request form in duplicate.

Pay to the
cashier the stated amount.

Present to
the Instructional Media Center the official receipt with
the corresponding OR number.

Provide
blank tape/s for copying.
-
Call up IMC
to check if copied material is already available for
pick up.
Note : Video
copying will only be done if time and availability of staff
will allow.

Since the
life span of an overhead projector bulb is only seventy
four (74) hours, it is strictly advised to use the “on
and off technique “ while discussion is going on. This
would not only ensure that the attention of the audience
is sustained but would likewise prolong the usage of the
OHP bulb.

The OHP is
designed to be used even in a lighted room. It is
suggested to rest the projector after each use so as not
to damage the hot bulb that may cause it to bust.

There are
two (2) kinds of transparencies. One is the ordinary
plastic sheet and the other is the expensive type that
can accept permanent printing through the Xerox machine.
The use of the latter can be provided by the IMC
following certain guidelines and conditions.

Media
materials / equipment are for support of classroom
instruction and extra and co-curricular activities of
the students.
-
Duly
approved fund raising activities for any purpose using
media equipment will have to share five percent (5%) of
the net income or proceeds for maintenance purposes (
i.e. projector bulb, some parts, etc. )

The Program
Budget Proposal (PBP) of the activity to be prepared by
the person / organization concerned should include the
different media equipment to be used for the Media
Coordinator’s approval.

The
Accounting Office keeps a record of the PBP for proper
costing / sharing of net income for media equipment.
-
All
percentage net shares for the Media Center are kept at
the Accounting Office for proper handling.
