DUTIES OF THE EXECUTIVE BOARD OFFICERS

PRESIDENT 
The President shall preside over all meetings or conferences.  He/She shall conduct any and all business of this Association and be responsible for the preparation of purposes for which it is formed.  The President shall appoint such standing or special committees, as he/she may deem necessary, with the approval of a majority of the membership present at any Board meeting.

The President shall also represent the Chapter on the State Board and attend quarterly meetings.  Costs for these meetings will be paid by the State Board.

VICE PRESIDENT
The Vice President shall assume the duties and obligations of the Office of President in the absence of the President.  He/She shall arrange workshops for one calendar year and have an established list by the December meeting.  He/She shall provide a year’s calendar with noted Board meeting dates and workshops to support staff.  He/She shall maintain an up to date membership roster.  He/She will receive all regular membership applications, checks or cash.  He/She will forward a copy to the Treasurer with funds and send a copy to the designated producer of the name badges and the annual telephone book.  He/She will deliver the final membership roster to the designer for printing, no later than January 31, the following year.

The Vice President shall be the alternate Chapter representative on the State Board and attend quarterly meetings.  Cost of these meetings will be paid for by the State Board.

SECRETARY
The Secretary shall be responsible for keeping and maintaining accurate minutes of all business transacted at meetings, and shall include the date, time and place of such meetings; he/she shall be responsible for notices of all meetings and information being mailed to the responsible vendor, hosting that workshop.  If there is no workshop, then the Secretary will be responsible for the mail outs to all members.

TREASURER
The Treasurer will be responsible for any and all funds collected from dues, raffles, or contributions received and shall deposit same in the name of Traffic Control Supervisor’s Association in a bank or savings and loan association named by the Board.  Present at a meeting, he/she shall be responsible for maintaining accurate records of all deposits and debits applicable to the association and be prepared to provide a current status report for the officers and membership.  His/Her signature and the signature of the President, Vice President or Secretary shall be required on any and all checks issued.

DIRECTORS (2)
These two positions will be assigned various duties by the President which may include chairing committees, conducting research and providing reports for the Board.  Their responsibilities shall consist of recruiting new members and conducting raffles at the meetings.

VACANCIES
Should any office be vacated during any term yea, the vacancy shall be filled by a Board appointment from a Directorship to complete that term and would not impact their progression through the chairs.
