Here's a brief recap of our last meeting:

Attendees:  J.Lareau, P.Ellis, P.Murray
 
Pete reported he had bids from two landscapers (five were contacted and two responded).  One bid was $300/cut (approximately $900/month for May - October); the other bid was $3,900/year ($557/month) for mowing and mulching.  We agreed that the second bid was the best deal and fit into our budget.  Pete will contact the landscaper and ask that the mowing be done as soon as possible.
 
Jean reported he had received all documents from Allen Cohn as well as the checkbook.  Jean has gone to the bank and the four officers of the Homeowner's Association are now the authorized signers.
 
Jean also reported he had opened a P.O. Box for the Homeowner's Association - P.O. Box 321, Glastonbury 06033.  There are two keys for the box. 
 
Review of the checkbook revealed that a check was written to Creative Communities for $400.00 on 4/10/2000 for "mgt svcs."  Jean will follow up with Creative Communities to determine what this payment represents and why it the only one in the history of the Association.  Review of the checkbook also revealed that CL&P annual charges are in the $3,100 range.  Adding in the cost of the landscaping, insurance, P.O. Box fee a rough calculation revealed about a $300-400 buffer for annual expenses.  
 
In examining the insurance bill, Allen's contention that the initial annual fee was $194 and subsequent renewal $56 was puzzling.  Paul will follow up with the insurance company to determine the actual annual cost.
 
We agreed on a date for a community meeting - Thursday June 6, 2000.  The meeting will be held in the "circle" behind Pete's house.  Notice needs to be drafted and distributed to residents.  We also agreed that billing for the full annual Homeowner's Association fee should be done now.  Paul will create a mailing list from the files Allen has provided. 
 
Jean noted that some residents have approached him and expressed interest in receiving communications via e-mail.  We agreed that we would solicit this information but ask that residents e-mail their address to all four Officers to ensure proper

Update on insurance:
 
On 05/16/2000, I spoke with Steve Bombard of North Central Insurance.  The original premium of $194.00 charged on 09-20-1999 was to cover six acres of common property.  When the insurance company learned that there are ten acres of common property, they billed an additional $56 on 02-18-2000.  The agent indicated that the annual renewal amount is $250; he will send a letter documenting this to the Homeowner's Association.

Update on Mailing List:
 
I have updated the list by going through all the copies of checks provided by Creative Communities.  There are five people for which we have no first name or salutation information.  Evelyn, can you please call Elise and try to fill this in?
 
Pete, do you have the checkbook while Jean is away?  We will need stamps and envelopes to do the mailing -Pete and Evelyn, can you please determine who could get them?
 
I have drafted an invoice we can send - it's all set for the mail merge with the Excel file.  Please let me know your thoughts.  In addition to this, we should likely draft a letter inviting folks to the 6/6 general meetinmg and soliciting telephone and e-mail info.  Evelyn and Pete - do you want to draft this?
