Trinity College Spring Elections

 

Week 1

 

Head of College (Trinity)

The Head of College at Trinity is considered the Chief Officer of the Trinity College Meeting (TCM).  He is a student rep on all levels of College governance, including the Board of Trustees and Corporation.  He works closely with the Dean of Men on residence issues, and must live in residence during his term of office.  All Men of College entering their 3rd or 4th years are eligible to run for this position. 

 

Head of College (St. Hilda’s)

Week 2

 

Head of Arts (Trinity)

The Heads of Arts are the social convenors for Trinity College.  The Male Head of Arts is responsible to the TCM and makes reports on the social activities of the College at each meeting.  In conjunction with the female Head of Arts, he is responsible for the overseeing of all parties, pubs, and other events, as well as maintaining the Henderson Tower storage room and the stereo equipment.  He is also responsible for maintaining the Welch House Common Room.  The Heads of Arts are student representatives on the Trinity College Senate and Corporation.  All Men of College entering their 3rd or 4th years are eligible to run for this position.

The Heads of NRAC work to integrate the resident and non-resident communities at Trinity College.  The male Head represents non-resident affairs at the TCM and the JCM and sits on Corporation and either the Board of Trustees or the Senate.  In conjunction with the Female Head, he maintains the Non-Residents Affairs office and plans programs, parties, and pubs to draw out non-resident students.  All Men of College entering 3rd or 4th year are eligible to run for this position.

 

Head of NRAC (St. Hilda’s)

Week 3

 

TCLI Speaker

The Speaker of the LIT presides over weekly debates in the JCR (Thursday nights).  This includes having a prepared opening and oath every week. He/She is also responsible for producing the programmes for Conversat, Guy Fawkes Day as well as any other TCLI event. All Men and Women of College entering their 3rd or 4th years who attended at least two debates and either debated or made at least one floor speech in the past year are eligible to run for the position of Speaker.

 

TCLI Deputy Speaker

The Deputy Speaker assumes all responsibilities of the Speaker of the LIT in his/her absence. The Deputy Speaker also chairs the Awards Committee and the Consitution Committee and is responsible for organizing the awards at the AGM. All Men and Women of College who attended at least two debates and either debated or made at least one floor speech in the past year are eligible to run for TCLI positions.

 

TCLI Treasurer

The Treasurer of the LIT is responsible for maintaining good financial records for all LIT transactions in compliance with the JCM Fiscal Policy.  This involves weekly coordination with the LIT Prime Minister to write and sign cheques, and dealing with the Royal Bank of Canada.  Also, the LIT Treasurer must coordinate to write the budget for the JCM at the beginning of the year and is solely responsible for submitting the books for audit twice a year.  All Men and Women of College who attended at least two debates and either debated or made at least one floor speech in the past year are eligible to run for TCLI positions.

 

TCLI Clerk

The Clerk of the LIT is responsible for taking minutes at LIT debates and announcing the resolutions. The Clerk is also responsible for putting up posters announcing all LIT events 3 days before the event. This involves a lot of photocopying and taping up every week.  All Men and Women of College who attended at least two debates and either debated or made at least one floor speech in the past year are eligible to run for TCLI positions.

 

TCAA President

The President of the Trinity College Athletic Association, in conjunction with the President of SHAA, is responsible for the coordination of all Athletic activities at the College.  Generally, this includes the organization of meetings, a pub, the Athletic Banquet/Ball, and the sale of TrinWear.  He sits on the JBS and Corporation and makes reports at every TCM.  He is also the Trinity College representative to the Men’s Intramural Sports Council (a UofT-wide committee.)  All Men of College are eligible to run for this position.

 

SHAA President

The President of the St. Hilda’s Athletic Association, in conjunction with the President of the TCAA, is responsible for the coordination of all Athletic activities at the College.  Generally, this includes the organization of meetings, a pub, the Athletic Banquet/Ball, and the sale of TrinWear.  She sits on the JBS and Corporation and makes reports at every SHCM.  She is also the Trinity College representative to the Women’s Intramural Sports Council (a UofT-wide committee.)  All Women of College are eligible to run for this position.

 

TCDS Co-President (Trinity)

The TCDS co-presidents share the responsibility of overseeing the administrative function of the TCDS – setting play dates for the year, calling for play proposals, running regular TCDS exec meetings, and facilitating the work of the productions’ directors.  All Men of College who have been on the TCDS Exec for at least one year are eligible to run for this position.  Co-Presidents cannot direct a TCDS production in their term of office.

 

TCDS Co-President (St. Hilda’s)

The TCDS co-presidents share the responsibility of overseeing the administrative function of the TCDS – setting play dates for the year, calling for play proposals, running regular TCDS exec meetings, and facilitating the work of the productions’ directors.  All Women of College who have been on the TCDS Exec for at least one year are eligible to run for this position.  Co-Presidents cannot direct a TCDS production in their term of office.

 

Senate Rep (Science)

The student representatives to the Trinity College Senate are responsible for attending monthly Senate meetings, and sitting on one of the Senate’s sub-committees.  Only science students are eligible to run for Senate Rep (Science).

 

Senate Rep (Social Science)

The student representatives to the Trinity College Senate are responsible for attending monthly Senate meetings, and sitting on one of the Senate’s sub-committees.  Only social science students are eligible to run for Senate Rep (Social Science).

 

Senate Rep (Humanities)

The student representatives to the Trinity College Senate are responsible for attending monthly Senate meetings, and sitting on one of the Senate’s sub-committees.  Only humanities students are eligible to run for Senate Rep (Humanities).

 

House Committee Rep (Trinity)

The Trinity House Rep deals with the concerns of the residents of 6 Hoskin Ave.  He is responsible for calling and chairing House Committee Meetings, and reporting the business of the Committee to the TCM.  The House Rep is also responsible for fielding comments and complaints from the residents of Trinity College.  All Men of College who intend to live in residence next year are eligible to run for this position.

 

House Committee Rep (St. Hilda’s)

The St. Hilda’s House Committee Rep deals with the concerns of the residents of 44 Devonshire Place.  She chairs two or three St. Hilda’s House Committee meetings per term, and manages a small budget for ‘house’ purposes.  The House Rep is also responsible for fielding comments and complaints from the residents of St.Hilda’s College.  All Women of College who intend to live in residence next year are eligible to run for this position.

 

Food Committee (Trinity)

The Trinity College food rep deals with student concerns and questions relating to Strachan Hall.  He must attend weekly meetings with the dining hall staff to set the weekly menus.  The food rep also contributes to proposed changes to dining hall service.  He also fields comments and complaints from students regarding the quality of the food.  All Men of College who intend to live in residence next year are eligible to run for this position.

 

Food Committee (St. Hilda’s)

The St. Hilda’s food rep deals with student concerns and questions relating to Melinda Seaman Dining Hall.  She must attend weekly meetings with the Dean of Women and the dining hall staff to set the weekly menus.  The food rep also contributes to proposed changes to dining hall service (halal options, dining hours), and should be interested in the variety of meal options available at Melinda Seaman (veggie, vegan).  She also maintains an email account (sthildasfoodrep@hotmail.com) to field comments from the students.  All Women of College who intend to live in residence next year are eligible to run for this position.

 

Week 4

 

JBS Members-at-Large (Res) (2)

The Joint Board of Stewards typically meets before each Joint College Meeting and its primary duties are to set the agenda for the JCM and review club budgets for approval.  The presidents of most levied clubs sit on the JBS, as well as the student heads.  The resident members at large should be active participants in the meetings and promote the interests of residence students.  All Men and Women of College who plan to live in residence next year are eligible to run for these positions.

 

JBS Members-at-Large (Non-Res) (2)

TCLI Prime Minister/Leader of the Opposition

The Prime Minister is responsible for the overall running of the LIT. Responsibilities include deciding on resolutions, holding exec meetings, planning events chairing the Annual General Meeting. The Prime Minister of the LIT sits on the JBS and Corporation.  The runner up to the Prime Minister becomes the Leader of the Opposition, whose duties are essentially the same, but who neither sits on the JBS nor deals with the LIT finances. All Men and Women of College entering their 3rd or 4th years who attended at least two debates and either debated or made at least one floor speech in the past year are eligible to run for the positions of Prime Minister/Leader of the Opposition.

 

TCLI House Leader

The House Leader is the Deputy PM of the LIT. He/She is responsible for getting debaters every week as well as getting equipment for various LIT events such as Karaoke or Croquet. All Men and Women of College who attended at least two debates and either debated or made at least one floor speech in the past year are eligible to run for the House Leader positions.

 

TCLI Mace Keepers (2)/Mace Seekers (2)

Candidates for Mace Keepers and Mace Seekers must be one man and one woman who run as a ticket.  The runner-up ticket will become the Mace Seekers. The Mace Keepers are responsible for organizing Guy Fawkes Day as well helping out the first year reps with their jobs.  All Men and Women of College who attended at least two debates and either debated or made at least one floor speech in the past year are eligible to run for TCLI positions.

 

TCAA Vice-Presidents (2)

The two Vice-Presidents of the TCAA help the president, attend TCAA meetings, generally attend team entry meetings at the AC, and fill in for president when he is unable to do something.  The Vice-Presidents also take key roles in the organization of some events.  All Men of College are eligible to run for these positions.

 

TCAA Treasurer

The Secretary of the TCAA is responsible for taking minutes at all TCAA meetings and emailing minutes to all members of the committee.  He is also expected to help with the organization of some events.  All Men of College are eligible to run for this position.

 

SHAA Vice-Presidents (2)

The Secretary of SHAA is responsible for taking minutes at all SHAA meetings and emailing minutes to all members of the committee.  She is also expected to help with the organization of some events.  All Women of College are eligible to run for this position.

 

TCDS Members-at-Large (2)

The TCDS members-at-large are members of the Executive and attend Exec meetings, give

feedback on play proposals, issues, etc. The members-at-large also help poster and organize events.  All Men and Women of College are eligible to run for these positions, excluding first year students.

 

TCDS Treasurer

The primary responsibility of the TCDS treasurer is to manage and keep careful track of a large and very complex budget.  He/she must be able to be meticulously organized when it comes to keeping the books, which must be submitted for audit twice a year.  This is perhaps the most work-intensive and necessary position on the TCDS Executive.  All Men and Women of College are eligible to run for this position, with the strong recommendation that candidates have previous experience with the TCDS, preferably on the Exec.

 

TCDS Secretary

The TCDS secretary is responsible for calling Executive meetings and keeping minutes. He/she also gives feedback on play proposals and other issues and can be recruited to help with general organization and getting a show off the ground.  All Men and Women of College entering their second year or above are eligible to run for this position.

 

Stephanos Editor-in-Chief/Assistant Editor/Treasurer/Layout Editor (as a ticket)
The Stephanos Editor-in-Chief is in charge of overseeing all aspects of the production of the yearbook: recruiting photographers, collecting photos, finding people to write captions and do layout, etc. He/she is also the main contact person with Friesens, the yearbook publishing company and will be working extensively with Adobe Pagemaker 6.5.  The assistant editor will aid the Editor-in-Chief in all aspects of production.  The Treasurer
is responsible for maintaining good financial records for all Stephanos transactions in compliance with the JCM Fiscal Policy.  The responsibilities of the layout assistant are to help out with all aspects of the production of the yearbook, with a focus on assisting with layout, cropping, and copy-editing.

 

Salterrae Editor, Associate Editors (2), Production Editor (as a ticket)

Tickets for Salterrae have four names for four positions: Editor-in-Chief, Production Editor, and two Associate Editors. Each ticket also produces a position paper where the names of more people can be included as general staff. This ensures that the top editors are elected, but no one is excluded from inclusion on a ticket. Running the paper requires some knowledge of the following: the English language, finances, article solicitation, copy editing, production, design, photography, and maybe even some vision.  Candidates should talk with current editors, especially about technology.

 

Trinity Review Editor, Associate Editor (as a ticket)

The Editor and Associate Editor of the Trinity Review are responsible for assembling an editorial board, soliciting creative work, and publishing Trinity College's literary journal. Traditionally, the goal has been to publish once per season, but this is at the discretion of the editor and the board; in reality, we try to publish as much as our budget allows.  All Men and Women of College are eligible to run for these positions.

 

Head of 2nd year resident male

The Heads of 2nd year are jointly responsible for: creating a budget and managing the bank account for their year fund, running one pub and two parties (one of which is in Froshweek), and running year meetings if necessary.  The resident male head is also responsible for men’s initiations in Froshweek.  He is also the secretary of the TCM, which involves publicizing meetings, taking minutes, and maintaining organized records.  He is also responsible for discipline in Strachan Hall.  All Men of College planning to live in residence and entering their 2nd year are eligible to run for this position.

 

Head of 2nd year resident female

The Heads of 2nd year are jointly responsible for: creating a budget and managing the bank account for their year fund, running one pub and two parties (one of which is in Froshweek), and running year meetings if necessary.  The resident female head is also responsible for women’s initiations in Froshweek.  She is also the secretary of the SHCM, which involves publicizing meetings, taking minutes, and maintaining organized records.  All Women of College planning to live in residence and entering their 2nd year are eligible to run for this position.

 

Head of 2nd year non-resident male

The Heads of 2nd year are jointly responsible for: creating a budget and managing the bank account for their year fund, running one pub and two parties (one of which is in Froshweek), and running year meetings if necessary.  The non-resident male head also has responsibilities to the NRAC Council, which include participating in regular meetings and managing NRAC events.  All Men of College planning to be non-residents and entering their 2nd year are eligible to run for this position.

The Heads of 3rd year are jointly responsible for: creating a budget and managing the bank account for their year fund, running one party and one pub, and organizing year meetings if necessary.  The resident male head is also the treasurer of the TCM, which involves maintaining good financial records for all TCM transactions in compliance with the JCM Fiscal Policy, writing and managing the budget, reporting on the state of the finances to each TCM, and submitting the books for audit twice a year.  The TCM Treasurer sits on Corporation.  All Men of College planning to live in residence and entering their 3rd year are eligible to run for this position.

 

Head of 3rd year resident female

The Heads of 3rd year are jointly responsible for: creating a budget and managing the bank account for their year fund, running one party and one pub, and organizing year meetings if necessary.  The resident female head is also the treasurer of the SHCM, which involves maintaining good financial records for all SHCM transactions in compliance with the JCM Fiscal Policy, writing and managing the budget, reporting on the state of the finances to each SHCM, and submitting the books for audit twice a year.  The SHCM Treasurer sits on Corporation.  All Women of College planning to live in residence and entering their 3rd year are eligible to run for this position.

The Heads of 4th year are jointly responsible for: creating a budget and managing the bank account for their year fund, running one party and one pub, and organizing year meetings if necessary.  They are also responsible for arranging the grad photo sittings and holding a 4th-year reception (aka 4th-year bar).  All Men of College planning to live in residence and entering their 4th year are eligible to run for this position.

 

Head of 4th year resident female

The Heads of 4th year are jointly responsible for: creating a budget and managing the bank account for their year fund, running one party and one pub, and organizing year meetings if necessary.  They are also responsible for arranging the grad photo sittings and holding a 4th-year reception (aka 4th-year bar).  All Women of College planning to live in residence and entering their 4th year are eligible to run for this position.

Head of 4th year non-resident female

The Heads of 4th year are jointly responsible for: creating a budget and managing the bank account for their year fund, running one party and one pub, and running year meetings if necessary.  The non-resident female head also has responsibilities to the NRAC Council, which include participating in regular meetings, helping with events, and overseeing NRAC policy.  All Women of College planning to be non-residents and entering their 4th year are eligible to run for this position.

 

Senate Community Affairs Sub-Committee

The responsibilities of the student elected representative to the Community Affairs Committee (CAC) of the Senate include being an active participant in all meetings of the committee (which typically take place at 8AM) and helping out with any business of the committee.  All Men and Women of College in entering their second year are eligible to run for this position.

 

Ashley Award

The Ashley award is presented to a graduating student who, in the opinion of his or her peers, has made a substantial and ongoing contribution to the life of the College over the previous four years and has not already been recognised for their commitment by election to a major political post. Students who have been Head of College, Head of Arts, or Head of NRAC shall be ineligible for the Ashley Award

 

Elections at end of year meetings

 

CRO/DRO

The Chief Returning Officer (CRO) and Deputy Returning officer (DRO) are officers of the JCM who are responsible for running the Spring Elections in accordance with the JCM’s Electoral Rules.  They are responsible for the overall coordination of elections, which includes manning the ballot boxes, counting votes, and reporting to the JCM at the end of the year.  The CRO/DRO shall run as a ticket (comprising one Man and one Woman or College) and shall neither hold nor run for other elected positions in the College under the jurisdiction of the CRO during their time in office.

 

JCM Chair

The Chair of the Joint College Meeting is responsible for the general organization, calling, and running at least two JCMs per term, as well JBS meetings.  He/she should be familiar with Bourinot’s Rules of Order, and be able to maintain order at meetings while remaining politically neutral.  The Chair of the JCM sits on Corporation.  All Men and Women of College who hold no other elected positions in the College under the jurisdiction of the CRO, with the exception of the Chair of the TCM or SHCM, student representative to the Senate, or student representative to the respective Food or House Committees, are eligible to run for this position. Candidates for JCM Chair must be in second year or above at the time of election.

 

JCM Secretary

The JCM Secretary is responsible for the timely advertising of meetings, taking minutes at JCMs and JBSs, forwarding minutes to the appropriate bodies, and general coordination and meeting preparation with the Chair.  It is also expected that the JCM Secretary keep organized files for the purpose of archiving.  The JCM Secretary sits on the JBS and Corporation.  All Men and Women of College are eligible to run for this position.

 

JCM Treasurer

The JCM Treasurer is responsible for maintaining the books for the Joint College Meeting, managing the budgets and financial disbursements for all levied and non-levied clubs, and reporting to the JCM.  He/she must comply with and help enforce the JCM Fiscal Policy, and make him or herself available to receive and process cheque requests.  The JCM Treasurer sits on the JBS and Corporation.  All Men and Women of College (in second year or above at the time of election) who do not hold the positions of President, Vice President, or Treasurer of any levied or on-levied organization funded by the JCM are eligible to run for this position.

 

Auditor

The responsibilities of the Auditor of the JCM include presenting guidelines for proper accounting practices to the JCM, and completing the Winter and Spring audits of the books of all levied and non-levied clubs at Trinity (these audits take place in December and April).  All Men and Women of College (in second year or above at the time of the election) who do not hold an executive position on any levied or non-levied club funded by the JCM are eligible to run for this position.


Deputy Auditor

The Deputy Auditor is an officer of the JCM and shall act as the auditor’s assistant.  When there is a conflict of interest as decided by either the Auditor or the JCM, the Deputy Auditor shall assume the role of auditor for that particular file.  The JCM Auditor should not hold an executive position on any levied or non-levied organization directly or indirectly funded by the JCM.

 

SCCC members at large (2)

The SCCC members-at-large are responsible for being active participants in all SCCC meetings called throughout the year, and to help with any work of the committee.  All Men and Women of College are eligible to run for these positions.

 

Discipline Committee Chair/Deputy Chair (as a ticket)

The Chair of the Discipline Committee (D.Comm) is responsible for chairing Discipline hearings as they arise throughout the year.  The Deputy Chair takes over from the Chair as needed.  As mediators in disputes, they should be able to remain impartial and respect confidentiality rules.  All Men and Women of College who are entering their 3rd or 4th year and who will not be members of the JBS are eligible to run for these positions.

 

SHCM Chair

The Chair of the St. Hilda’s College Meeting is responsible for the general organization, calling, and running at least three SHCMs per term.  She should be familiar with Robert’s Rules of Order, and be able to maintain order at meetings while remaining politically neutral.  The SHCM Chair sits on the JBS and Corporation.  All Women of College who have no other elected positions (except the position of Chair of the Joint College Meeting) are eligible to run for this position.

 

TCM Chair

The Chair of the Trinity College Meeting is responsible for the general organization, calling, and running at least three TCMs per term.  He should be familiar with Bourinot’s Rules of Order, and be able to maintain order at meetings while remaining politically neutral.  The TCM Chair sits on the JBS and Corporation.  All Men of College who do not hold any positions under the jurisdiction of the TCM (including Heads of year, and House and Food Committee Reps) and who are entering their 3rd or 4th year are eligible to run for this position.

 


Glossary

D.Comm: The student-run Discipline Committee (D.Comm) is responsible for cases involving student discipline at Trinity.

 

JBS: The Joint Board of Stewards (JBS) is the executive of the JCM.  The purpose of the JBS is to provide a forum for student leaders of the College to meet and coordinate their activities towards common goals.

 

JCM: The Joint College Meeting (JCM) is the student political body for all members of College.  Its purpose is to coordinate the interests of both the Trinity College and the St. Hilda’s College Meetings.  Every Man and Woman of College has full speaking and voting rights at the JCM.  For more information about the JCM and all aspects of student government, please see http://www.oocities.org/trinityjcm2002/

 

NRAC: The Non-Residents Affairs Committee (NRAC) is the non-res community’s main link to Trinity.

 

SCCC: The Student Capital Campaign Committee (SCCC) is responsible for soliciting for, evaluating, and recommending to the JCM student proposals for capital projects to be undertaken at the College.

 

SHAA: The St. Hilda’s College Athletic Association (SHAA) is a levied organization at Trinity College which coordinates all athletic activities for Women of College.

 

SHCM: The St. Hilda’s College Meeting (SHCM) is the student political body for St. Hilda’s College.  It meets at least three times per term to deal with issues affecting Women of College. 

 

TCAA: The Trinity College Athletic Association (TCAA) is a levied organization at Trinity College which coordinates all athletic activities for Men of College.

 

TCDS: The Trinity College Dramatic Society (TCDS) is a levied organization at the College which puts on a number of major dramatic productions per year.  For more information about the TCDS, please see http://www.trinitydrama.com/

 

TCLI: The Trinity College Literary Institute (TCLI) meets weekly to hear comedic debates by members of College.

 

TCM: The Trinity College Meeting (TCM) is the student political body for Trinity College.  It meets at least three times per term to deal with issues affecting Men of College.  Women residents of Trinity College have full voting rights on all house issues raised at the TCM.

 

Corporation: The Corporation of Trinity College is the highest governing body in the College.  It is made up of about 390 people, including alumni, administration, representatives of the Anglican Church, and students.  Corporation meets twice a year. 

 

Board of Trustees: The Board of Trustees handles the management and control of the property, business, and affairs of Trinity College.  It meets about once a month and is made up of faculty, alumni and student representatives.  The student reps on the Board of Trustees are both Heads of College, one Head of Non-Residents and one Head of Divinity.

 

Senate: The Trinity College Senate deals with community and academic matters in the

College.  It meets once a month and is made up of representatives from the College administration, faculty, alumni, staff, and students.  The student reps on the Senate are both Heads of Arts, one Head of Non-Residents, one Head of Divinity and three elected students (representing Science, Social Science, and Humanities).

 

CAC: The Community Affairs Committee (CAC) is a sub-committee of the Trinity College Senate which discusses community issues at the College.
