First Impressions
A. Guests greeted warmly and introduced officers and members.
Do guests introduction in the beginning of meeting.
Introduction timing of guests ;
In the beginning part of a meeting is better. So guests can relax from early part of the meeting.
Right after the opening greeting by the president may be appropriate.
Not only guests introduce to members but members introduce to guests.
We will try this way at the next meeting. If it takes too much time, further discussion will be required.
B. Guest book and name tags provided
A yellow leaflet and the introduction of Sapporo Pioneers Toast Masters Club created by TM Komata are provided to a guest. It is enough to write the name of guest on a white board at the first time and name tag will be provided from the second attendance.
C. Guests invited to address the Club
Invite members through internet or other methods (deliver leaflets to International plaza, guests house for foreigner, etc. or call them.)
It is exciting to have guests from other Toastmasters Club. They give us fresh stimulus.
We can learn each other by exchanging ideas. We will try to invite members through internet or other methods.
New Member Orientation
D. Assignment of coach/mentor
This issue is the weakest part of Sapporo Toast Masters club.
Discuss the method to choose the mentor to a new member.
-The person who introduced a new member to TM Club
-Some people who know the system of TM is appropriate for a coach/mentor.
Mentor should help a new member on how to conduct this speech and give a kind feedback after speech, particularly at the time of the first speech.
There is the manual about mentor system.
E. Education programs and recognition system discussed
Education program will be made by mentors.
Recognition system has not been effected for last one and half year except award of CTM.
New awards to these people who, Recruited new members
-Did good attendance
-Gave good speech.
For awards, beer coupon, movie thicket etc are desirable.
Recognition for member's performance will encourage members.
Officers will discuss this system.
F. Learning needs assessed
A mentor will ask a new member what he/she wants to learn from TM activity and help him/her to accomplish the purpose.
Fellowship, Variety and Communication
G. Regularly scheduled social events/ Inter-Club events encouraged
Continue to have a seminar like voice training, debate workshop at least once a year.
Promote and host the district area toastmaster club contest (this year will be a table topics) in our club.
H. Club newsletter/bulletin issued on regular basis
Find out the way how to document details of every club meeting.
Example:
-Document the title and content of speeches, table topics, current issues session.
It is possible either to document these to club notebook or e-mail to secretary.
The further discussion will be required.
Program Planning and Meeting Organization
I. Members know program responsibilities and are prepared to carry out all assignments
In the meeting, when each member is required to introduce for the role, the member will summarize his role and responsibilities within 30 second or so.
J. Speeches given from basic and advanced manuals
Before the speech is given, the toastmaster of the day can provide the introduction to the speech. (title, content and the purpose of the speech) We are not also familiar with advanced manuals, so that we need more explanation for it.
K. Positive and helpful evaluations
Each evaluator states the purpose of the each speech according to the evaluation guide from the manual.
Try to give the recommendation for improvement to the speaker.
Membership Strength
L. Club has 20 or more members
To secure 20 members take advantage of current membership???s network and workshop, and PR(including Hokkaido university and other colleges)
M.Current members retained
When absent from meeting, don???t fail to call the President.
N. Cub programs varied and exciting
Meeting program can be changed, for instance, current issue and table topic session can be integrated into another style.
After speeches, Q & A time should be held.
Mentor system should pay role.

O. Award applications immediately submitted to World Headquarters
P. Progress chart displayed and maintained
Q. Member achievements formally recognized with ceremony
R. Club, District and International leaders recognized
S. Club, and member achievements publicized
