    a. Hold the US Team Trials as a two day event. Additional classes, e.g., mixed, women’s, USCA classes may be added at the discretion of the host. These classes are supported by the USACK MSD, though not team trial classes at this time. Special recognition could be added also.

  3. Award the appropriate medals and/or certificates as approved by the USACK MSD.

  1. Send race flyer and entry forms (approved by the USACK MSD Chair) to all current and previous years Trials race participants members at least 45 days prior to race date. The USACK MSD will provide addresses to the extent possible.

f. Provide the following arrangements for First Aid and communications along the racecourse, plus safety

PROMOTING WITHOUT THE CONSENT OF THE USACK MSD. For further

6. In addition to the specified "Per-competitor" rebate amount, the amount of additional funding

that the race sponsoring organization is prepared to donate to the US Marathon Team is ___________**.

**NOTE: An additional contribution is NOT a requirement for hosting the USACK Marathon Team Trials. The Trials can be, however, a profitable event for both the hosting community and the hosting race sponsor. In the event of similar bids, an additional pledged contribution could be a factor in the USACK MSD’s decisions. Contributions, if pledged, can take the form of a specific dollar amount or a percentage of the profits.

USACK MSD REQUIREMENTS TO HOST THE US MARATHON TEAM TRIALS

  1. Application instructions for submitting a bid to host the US Marathon Team Trials.
  1. Applications may be obtained from the USACK MSD Chair, Trials Coordinator or USACK Executive Director.
  2. Race Sponsor must have sponsored USACK, USCA or ACA races at least two years prior to the bid date. Exceptions to this requirement will be made by the recommendations of the USACK MSD.
  3. Applications to host the US Marathon Team Trials must be sent to the MSD Chairman by January 2515, 20032 or sooner. The MSD will evaluate the bids submitted and select the Trials site and date by February 10, 20032. Normally the site of the race will be awarded at least one year prior to the race date.
  4. A signed petition of three (3) current USACK members and/or members of a US National Marathon Team within the past five years who are familiar with the proposed race site and the area must accompany the application.
  5. The US Marathon Team Trials are generally held in the month of May. The Trials may be held no earlier than the first weekend in May 2003 and no later than July 15, 2003 on a date when water and/or weather conditions are favorable at the site selected. The USACK MSD must approve the date and location.
  6. The Entry Fees for the championship event will be subject to approval by the USACK MSD.

  7. Site Selection Requirements
    1. The racecourse should be in conformance with ICF Marathon Rules and be safe.
    2. There must be dependable water conditions at the time of the race and for at least five days of practice time just prior to the race.
    3. The waterway should be wide enough so that the starting line can accommodate 25-50 boats in a line abreast. Recommendation: There shall be at least a minimum width of 100 feet having a minimum depth of three feet.
    4. There shall be no river constrictions or portages one-half miles of the starting line.
    5. There shall be no upstream starts against any detectable flow or current when possible and feasible to have the start downstream. Current at the start line should flow straight downstream (not angling across the start line).
    6. After the start, there must be approximately 1.5 km (minimum) of paddling before any turn around.
    7. The course will not contain rapids great than Class I by the International Scale of River Difficulty.
    8. There must be 1.5 km (minimum) of paddling to the finish that is not upstream against a detectable flow of current when possible or feasible to do otherwise.
    9. The host should inform the USACK MSD Trials Coordinator and participants whether there is a possibility of ADDITIONAL portages due to seasonal low water. Small portages are acceptable but only if the course demands. Paddlers must have a clear and safe path back to the water.
    10. Good spectator and media viewing points should exist along the race course.
  1. The length of the race should fall within the following time limits – Men & Women 2 ½ -3 hours; Junior Men & Women – 1 1/2 to 2 hours. Time is used rather than distance due to variable racecourse conditions and river flow.
  2. There should be at least 25-30 campsites and over 25-50 motel/hotel rooms available to competitors and their families within 30 minutes of the racecourse.

  4. There should be adequate toilet facilities available at the race start and finish.
  5. Adequate parking for competitors and spectators should be available at the race start
  6. and finish line for at least 75-100 vehicles. Safe unloading areas should be provided if parking is limited at the race start.

  7. The race sponsor is required to use the ICF Marathon Competition Rules and Canoe and Kayak specifications. ICF Rules can be found on-line at http://www.canoeicf.com/ or by linking through http://www.usack.org/ Abbreviations for events must be as they appear in the ICF Marathon Competition Rules Book.
  8. Mandatory Trials classes to be offered are listed below. Non-Trials classes may be added to the extent that they do not interfere with the Trials classes. Any change to ICF World Championship classes or rules prior to the Trials shall be incorporated into the Trials format to the fullest extent possible.

  1. Appropriate marathon medals shall be awarded by the race sponsor to the top three places in each class. Medals are 1st – Gold, 2nd – Silver, 3rd. A US National Team member certificate will be provided by the USACK MSD to each Senior and Junior Team member selected by the USACK MSD.

 

14. Information for race registration forms and schedule of events must be submitted to USACK MSD Chair and Trials Coordinator by March 1, 2003. All other information must be submitted to the USACK MSD Chair and Trials Coordinator for approval by March 15, 2003 or earlier. Only approved copy will be submitted to the USACK Canoe and Kayak Racing News Magazine, USCA Canoe News Magazine and ACA American Paddler Magazine editors and their respective website hosts with a copy deadline of February 20, 2003. The USACK MSD Chair and Trials Coordinator must also approve the race brochure information and layout prior to publication. Deadline to submit draft of brochure is March 15, 2003 or earlier. All race registration forms and Racing Rules will be prepared for you by USACK MSD.

  1. The race sponsor shall:
    1. Provide a race number. The numbers on the plate must measure 15cm in height and 20mm in thickness. The plates shall be placed on the centerline on the kayak afterdeck or foredeck of Canadian canoes. The size of the number plate shall be 18 x 20 cm. Any personal numbers provided by the race sponsor shall be placed on the back of the competitor only.
    2. Mail entry forms to current and non-renewed USACK MSD members and US Marathon Team Trials competitors from previous three years. Free labels may be provided from USACK MSD Trials Coordinator upon request. Race Brochure or Flyer should be mailed out by March 22, 2003 or earlier.

    4. Provide First Aid with radio communication on the course. Provide patrol craft/sweep boat and spotters for safety purposes. All personnel shall have an orientation as to their responsibilities. Spotters will require special orientation. The MSD Trials Safety Chair shall be available for advice prior to and during the Trials races.
    5. Provide an area for the MSD Technical Inspector to measure canoes before race day, usually near race headquarters. Helpers should be available for this Inspector to assist in measuring (jigging) boats both before and after the races.
    6. Provide a secure area near the finish line for an "impoundment area" for winning boats can be set up and controlled from unauthorized persons.
    7. Provide complete race results for the Trials events. Include the state/foreign country of the teams/individuals as well as complete times. Send to results to USACK Canoe and Kayak Racing News Magazine, USCA Canoe News Magazine and ACA American Paddler Magazine editors and their respective website hosts.
    8. Provide a full financial disclosure to the Trials Coordinator within four weeks

Following the Trials. The disclosure shall include an itemized list of expenses and

Income related to hosting of the Trials. This will assist future race sponsors and the

USACK MSD in preparing for and securing financial support for the Trials.

H. Provide the timing for the US Marathon Team Trials. The Trials Coordinator

will serve as a consulting service for the race host. The host shall post all results, subject

to protests, immediately following the competition.

ADDITIONAL INFORMATION:

The race sponsor shall recognize that the USACK MSD and the, "USACKâ logo are the sole property of the USA Canoe/Kayak, Inc. Also, that the USACK MSD is a principal to any contracts for endorsements, television contracts, etc. awarded in conjunction with said Championships. No person or organization may use the name or emblem of the Association in advertising, soliciting goods or services, or promoting without the consent of the USACk MSD Chair. Contact person for this information is the Chair.

If canoe and kayak registration is required in Host State, a waiver, an exemption or reciprocity for out-of-state canoes and kayaks shall be obtained for USACK MSD members during the entire Trials from five days prior to the sprints through the last marathon event.

The USACK MSD Chair and Trials Coordinator serve as the liaison between the Division and the Trials Race Sponsor. They are responsible for overseeing the on-site management of the Trials. Anything related to USACK MSD relations is under their authority.

Since USACK and USCA prepare the standardized forms for their respective Schedule of Events and Competition Guide, and data information for the timing, the race sponsor shall provide the necessary information to USACK and USCA in a timely manner. This information relates to race start/finish lines, headquarters site, check in areas, and times of registration and other pertinent information necessary to develop the race registration forms and the Schedule of Events.

The following overview of the USACK requirements must be observed.

  1. The event to be offered is approved by the USACK MSD in conformity with ICF Marathon Rules. The Trials events are M K-1, M K-2, W K-1, W K-2, M C-1, M C-2, Jr M K-1, Jr M K-2, Jr W K-1, Jr W K-2, Jr M C-1, and Jr M C-2.
  2. The registration form should use full name and abbreviations.
  3. Supply information for the US Marathon Team Trials including the Trials Application that will be prepared for you. Include fee, site of registration, race start/finish areas, times for registration, times for race start, applications to be sent to whom and by when, and to whom the checks are to be made out. Additional information will be the organizations or groups to be included in the waiver form.
  4. Check on insurance for the event. USACK insurance coverage is available. Contact USACK at 518-523-1855.
  5. USACK membership is required for all Trials Events. (USACK Membership form is enclosed). Do not print a back-to-back membership with the race application forms.
  6. A USACK MSD representative prior to the on-site registration must verify pre-registration.
  7. On-site registration will process through membership first for membership application/verification.
  8. The USACK MSD Chair, prior to publication must approve the Trials Brochure or Flyer.
  9. The Race Brochure or Flyer with the Trials Race Application and USACK Membership Application should be sent out to all the non-renewed members and all the current members at least one month before the race.
  10. The Trials Coordinator will assist course development.
  11. Registration – All entrants’ ages should be noted in the junior’s event to make certain that both paddlers meet the age requirement – The first year a junior competitor can compete is the year in which his/her l5th birthday falls, and the last year he/ she may compete as a junior is the year in which his/her l8th birthday falls.
  12. Registration – make note of any foreigners who may enter race. Foreigners may not
  13. Be named to the U.S. Senior or Junior Marathon Team for World Championship Competition except as provided by ICF Marathon Rules.

  14. Boat numbers should be easily visible and in conformity with ICF Marathon Rules.
  15. Timing – results of each event are to be posted after the race. Top 3 are reported to jigging crew. Primary and back-up timing required.
  16. Jigging – top 3 boats in the Trials events may be checked.
  17. After verification of boat jigging, official times are posted.
  18. Awards – Marathon Championship medals for the top three finishers in Trials events. The back of the medals will state year, event, position, and site.
  19. After the race – times are to be provided for USACK Canoe and Kayak Racing News Magazine, USCA Canoe News Magazine and ACA American Paddler Magazine editors and their respective website hosts and Historians.
  20. USACK insurance requirements: return all signed waivers to the Nationals Coordinator as soon as possible.
  21. USACK MSD requires that the race sponsoring organization submit a full financial disclosure to the Trials Coordinator within 4 weeks following the Trials. The disclosure shall include an itemized list of expenses and income related to hosting the Trials.
