GENERAL REGULATIONS
Renters using the YWCA
assume all responsibility for loss and/or
damage to both property
and person while meeting in this building.
Reservation
of Space
1. A signed
application and full rental payment must be at our office at least seven
working days in advance of the reservation date. Space is rented on
a first-come, first-served basis, and we will not reserve any space
until we receive a signed application form.
2. In the case of certain organizations,
the YWCA may accept a Blanket Order Release or Purchase Order returned
with the signed application in lieu of payment.
3. The YWCA reserves the right to
cancel any reservation without notice if the required application form
and rental payment are not received within seven working days of the
reservation date.
4. You must inform our office of cancellation
of your rental at least seven working days prior to the reservation
date. If such notice is not given, your group will be held responsible
for full payment of room rental charges.
5. If any type of refreshments are
to be served at your meeting, you must make special arrangements with
the office at the time that this application is filed and you will be
charged a refundable cleaning deposit due with room rental payment.
It is your group's responsibility to clean up all trash at the end of
your meeting. All food and equipment brought in by caterers must be
removed promptly at the end of the meeting. If YWCA staff is required
to provide- any cleaning services, there will be an additional charge
to your group. Under no circumstances are alcoholic beverages to be
served or consumed on the premises.
6. If you wish the YWCA to provide
special set-up and/or take-down of furniture or if you require the use
of any equipment, please make the necessary arrangements with us at
least seven working days in advance of the reservation date. You may
be charged for these services. We cannot guarantee that we can provide
these services unless we have adequate notice.
Types of Events
and Related Publicity
1. Because
of its tax-exempt status, the YWCA building is not available for fund-raising
events by outside groups. Nothing may be sold in the building. No admission
charge shall be made; however, donations to cover the cost of an event
may be solicited if prior arrangements are made with the YWCA. The publicity
must make it clear that the charge is a donation and that anyone who
cannot pay will be allowed in for free.
2. All publicity including posters,
flyers, newspaper articles and vocal announcements must carry this statement:
"This meeting is not sponsored by the YWCA." Failure to include
this statement may result in cancellation of your use of YWCA facilities
for the event. A copy of flyers, notices or invitations must be submitted
to us in advance of your meeting for approval.
General
2. If your rental occurs any time
other than normal YWCA business hours, the outside doors to the building
CANNOT BE PROPPED OPEN OR UNLOCKED for any amount of time. A member
of your group must be available to open the door as necessary for the
purposes of your function only.
3. Without exception, the kitchen
is unavailable for use by outside groups. Any abuse of this policy will
result in forfeiture of deposit refund.
6. If the YWCA retains an attorney
to enforce any terms of the General Regulations as set forth above,
the individual or group renting the YWCA facilities shall reimburse
the YWCA for it's attorneys' fees and costs. If the YWCA takes legal
action to enforce the terms of the General Regulations as set forth
above, the individual or group renting the YWCA facilities shall reimburse
the YWCA for its reasonable attorneys' fees and costs, the amount of
which be fixed by the court and shall be made a part of any judgment
rendered.
7. Business
hours may vary. At the time rental arrangements are made, business hours
will be clarified.
8. Professional
security may be required depending on the size and type of event. We
must receive verification of security at least one week in advance of
event.
