Acceptance of previous minutes

MINUTES OF THE AGM ON 25 June 2002

1. OPEN AND WELCOME

Simon Welch, the current chairman, welcomed all to the meeting.

It was confirmed that a quorum was present.

2. PREVIOUS MINUTES

Simon handed out copies of the previous minutes to all present.

Minutes confirmed as a reflection of the last year’s AGM by E. Wasserman and seconded by C. Reid.

3. CHAIRMAN’S REPORT

Simon read out his report (see attachment) .

Simon emphasised his thanks to Ken Barnard. He also mentioned that there were many runners from the Club who have been successful on the road this year. There were however too many to mention by name but he congratulated all concerned.

He said that Dosco had been far more visible on the road this year with the two new gazebos as well as our great new tracksuits and beanies.

4. TREASURER’S REPORT

Deidre Herbst stated that the books would only close at the end of June and would be then audited in the following month. Copies of this would be available towards the end of July for any interested members. The following points were emphasized:

  • Savings Account – Still had about R 23000 which had not been touched in the last two years
  • Current Account – Sitting at about R15000. Major expenses this year were a R9000 loss for Dosco Race and R 8000 for gazebos. There were also about R15000 spent on clothing and only about R10 000 returned so some of the cash was tied up in clothing. There was still some income from Comrades to come in.
  • She said that she did not expect any more major expenses to go out before the books closed.

Simon emphasised the healthy financial position of the club. He asked if there were any suggestions / comments on the finance side.

Cathy Reid queried the loss of R 9000 from the Race. Simon believed that this was caused mainly due to poor weather and the fact that it was a new race. He expects the numbers to be up this year however emphasized the importance of finding a sponsor otherwise the race would continue to run at a loss.

5. SECRETARY’S REPORT

No report was submitted by the secretary however Simon confirmed that the committee did meet on a monthly basis.

6. CLUB CAPTAIN’S REPORT

Marius Maas read out his report ( please see attachment ). Simon Welch thanked Marius for stepping in as Club Captain.

7. NOMINATIONS OF 2002/2003 COMMITTEE

G. Wasserman would not be on the committee however she would continue acting as Clothing Co-ordinator. Simon thanked Gisela for her hard work this year. Gisela sold R2800 worth of clothing over Comrades weekend alone. Although, it was mentioned that it was not the aim to make a profit from the clothing.

8. CONSTITUTION

It was suggested that the new committee revise the Constitution. A copy of the Constitution was requested to be sent out to members. No immediate amendments were suggested.

9. DOSCO CLUB RACE

Simon confirmed that the Race for 2002 was planned for the 27 October and going ahead. He said that Eskom has agreed to sponsor the venue. We will market the race as the Mini-Tough One . Also look at marketing the race extensively in PTA area. Simon appealed to all to offer their assistance and also to appeal for companies to sponsor the race. He said that it was believed that R20 000 sponsorship was required and this could be made up of a number of small sponsors. A sub-committee would be established later in this year.

10. GENERAL

Cathy Reid asked for clarification on the age categories. Simon confirmed that in the CGA Province it had reverted back to the previous categories but was unsure of other provinces.

Deidre Herbst suggested that the Treasurer should be given the authority to do Internet banking as it was extremely difficult getting two signatures and getting to the bank during the week. The monthly statements could be closely scrutinized for confirmation of expenditure.

11. CLOSING BY CHAIRMAN

Simon thanked the outgoing committee members for their efforts and thanked all members for attending the AGM.

Chairman's report

July 2002 to June 2003

The past year represented a year of mixed fortunes for Dosco and its members. Participation in road races continues to decline on an annual basis. Financial and work pressures seem to be significant contributors to this trend. With members spread throughout Johannesburg and Pretoria, it is also increasingly difficult to attract sufficient interest for time trials and club runs. This will remain a major challenge for the new committee.

After dropping below 100 during the previous year, the Dosco membership increased to above that level during 2003 - we now 101 members. What has been very pleasing is that more than 20% of these are new members.

  1. Activities of the year

    1. Away Races

      1. Sabie Shufflers

        We had a fantastic camping weekend in Sabie. As usual, the 32 km was tough but the scenery very special. The weekend was great fun and this trip is highly recommended.

      2. Comrades

        Comrades was again the highlight of the year. Dosco had built up a reputation for organising a great Comrades package - definitely value for money. Marius (as always) did a great job and earned many compliments from members as well as non-members.

    2. Club championship and points races

      Congratulations to all the winners of the various categories. We really try to not only award the best (fastest) runners, but also recognise participation and improvements. Members are urged to check the annual running calendar distributed by the committee and plan their races accordingly. Both the club and its members can only gain from this. IT is not possible to mention all winners, but please allow me to make one exception. The Sam Strider trophy was awarded to Simon Welch this year. He has made an incredible contribution to this club over many years and award is well deserved. Thanks Simon.

    3. Tent races and "grub" runs

      As always the Dosco Gazebo's were well represented at both the Johannesburg and Pretoria races. During the last six months we also had a number of grub runs that were very well received by members.

    4. Other activities

      Dosco performed marshalling duties for the Edenvale cycle race for the fifth year in a row and again received great feedback and gratitude from the cyclists. Thanks to all the volunteers.

  2. Dosco Race

    It was a big disappointment to cancel the Dosco race scheduled for October 2002. We were unable to secure a sponsor and could not afford a repeat of the 2001 loss. The disappointment expressed by so many runners from other clubs reflected the popularity that race achieved in only one year. There are currently no plans to resurrect this race in future years.

  3. The Future

    It is now time to select a new committee to take Dosco into the new running year. I trust that all members will give this committee their full support and participate actively in club events. Remember, it is up to everyone to make things work.

  4. Conclusion

    I want to thank the 2002/2003 committee for a job well done. You have all served this club with great distinction. We also owe a lot to our sponsor - Ken Barnard of Dosco. Thank you for your support. To all Dosco members - keep the Dosco spirit and colours flying.

Club Captain's report

Another successful season has past, and we look forward to the new season with enthusiasm and with many new goals in mind. Running is increasingly becoming an expensive sport and this is reflected in the attendance of races by members. The more well-known and popular races are attended by approximately 30% of the club members. Other races are supported by only 10-15%. This brings the total attendance over a full weekend to between 35% and 40%. A number of new faces made their appearance for the club this year, which was good to see. Disappointingly, we still find members joining, never to be seen on the road or at club events again. Please encourage your fellow runners to get back on the road.

The commitments towards Comrades were much better than last season. 41% entered the big "C" (compared to 26% last year), of which 87% finished within the designated cut-off time. I personally think that Dosco members performed brilliantly on the day, earning 6 Bill Rowan, 22 Bronze and 7 new medals.

The news was therefore generally positive as far as races were concerned, but the same cannot be said in respect of time trials. Most of the time only 6-10 people attend time trials. I really think we can do better than that. Please consider the effort of your committee members to be there and make it worth their while. Suggestions in this regard are very welcome.

Lastly I want to congratulate al club champions in the different categories with their achievements. Also to Kathy Reid, Sue Beard and Jimmy Harding for receiving gold in their respective age categories at races during the year.

All the above are positive for our club, but I still believe that we can become a much more active club. Let's work hard and make this one of our goals for the next season of running.
