September Monthly Meeting

Welcome and Apologies:

Due to a hectic schedule of council meetings Judy was very late in arriving at this meeting. Vice President Julia Mannix, without prior notice, chaired the meeting on her behalf and did an excellent job.

Julia welcomed everyone with 15 members present and apologies from Judy Ferguson (for only being able to attend the last part of the meeting), Susan Codrington, Irene Derby, Joanne Hughes, Vicki Meskwell, Helen Johnston and Yvonne Chapman.

Proposal to accept previous minutes:

Minutes were handed out and read. They were accepted by Julia Mannix and seconded by Carol Clue.

Julia kicked off discussion about the positive comments made by Malcolm Buckby at the last meeting. Everyone felt that his contribution had been very reassuring  However Judy Ferguson indicated upon her arrival that she had received no feed back on the commitments he made. Judy said she would phone Malcolm for an update on his progress.

Treasurer's Report:

Grant money from the Gawler Council for our "Meeting of Two Rivers" Exhibition in November has been approved and paid into our account.

Treasurer's report was accepted by Pat Low and seconded by Carol Clue.

Incoming Correspondence:

  • Letter, Gawler Art Society, 19/9/2001: Indicated that at their last meeting the group decided not to join Artsaction as a group but advised their members to join as individuals if they wished. No reason was given for this decision.

    Overall, members at our meeting were disappointed with this news. Julia advised that members who know people from the Gawler Art Society should encourage them to join Artsaction. The Gawler Arts Society is a significant organisation within Gawler and it was felt very important that their group have representation within our membership.

    It was also felt that we have done everything possible to stress that Artsaction is an umbrella organisation that holds exhibitions to highlight its goal and is not an art group in its self. Gawler Art Society members had previously expressed concern in the past that this wasn't being emphasised enough and was causing some confusion with their members.
     
  • Invitation, Gawler Quilters Circle. Members are invited to the official opening by the Mayor of Gawler of their exhibition as part of the Gawler Textile Arts Weekend and the Centenary of Federation Festival. Friday 2nd November, 8pm, Gawler Institute. Contact Angela Butcher to RSVP attendance no later than October 23rd, phone 8522 4651
     
  • Invitation, Martin Johnston & Gawler Library. Members are invited to the unveiling of a sculptured bust of local identity, Martin Johnston, created by artist Chris Radford. Chris will also be giving a presentation about the creation of the bust. 12th October, 2pm, Gawler Library Reading Room.

Outgoing Correspondence

  • Angela Butcher: Letter and/or card to acknowledge her work on organising the Textile Arts Weekend.
     
  • Sherrie Watkins: Letter to thank her for opening our exhibition and to confirm the official opening times for her. Official opening is 3rd November, 3pm
     
  • "Meeting of Two Rivers" Exhibition publicity including: Artwork Submission forms and Invitations to members and previous members. Official Invitations to Council, Federal and State Local Members, Imelda Rivers, Kate Jenkins, Brian Samble, Judd House Group, All local art & craft groups including Gawler Art Society, Martin Johnston, Eva ?

General Business:

Julia read out highlights from the minutes of a meeting held by the Gawler Textile Arts Weekend Steering Committee. Some points to note: Council has published Flyers for the event including a map of all exhibits on that weekend. These are available from Kornercraft or the Tourist Information Centre. Council is also erecting signage at various points around the town. There is another meeting of the Steering Committee on Monday, 8th October, 7:30pm, 7 Mary Street, Contact Angela Butcher on 8522 4651

Lyn Otto mentioned that the State Government was giving away old computers to groups who put in an application. Lyn to find out more information and obtain an application form if the offer is still available. Artsaction will apply for a computer for use by the group.

With our "Meeting of Two Rivers" exhibition opening on November 3 and running until November 17th there was much discussion about organisation of the event and delegating tasks to be completed by the next meeting. Points raised and decided upon include:

  • Display Screens. It was decided that some grant money would go towards the design and construction of some portable display screens which will be used for this and future exhibitions. Chris Wilsdon, Margery Philips and Colleen Gates to cost the design and construction and to report back ASAP with quotes. If these are acceptable then they will give the go ahead for the construction of 5-6 double sided display boards (based on the design of the screens constructed by Malcolm Bartsch for the Bethany Exhibition). To be completed by October 25th and delivered to the Tourist Information Centre on Thursday November 1 between 4 and 6pm.

    If these prove expensive or are unable to be constructed in time we will hire some screens possibly from Norm's Art Studio or Malcolm Bartsch.
     
  • Banner: It was decided that some grant money would be spent on a banner for outdoor usage to publicise this and future exhibitions. The Banner would be a split design consisting of one large banner measuring approximately 2m x 500mm featuring the Artsaction logo in Burgundy. A smaller detachable banner measuring approximately 2m x 300mm would have the word 'Exhibition'. Both banners to be constructed from Plasticised Canvas.

    David to get quote from Behen Design in Willaston Lyn Otto to get quote from a sign writer she knows. If the cost proves reasonable then we will proceed. To be completed by October 25th.
     
  • Julia reinforced the need to publicise which groups Artsaction was representing at the exhibition. This information to be collected on artwork entry forms and displayed on flyers and the exhibition catalogue.
     
  • Chris Wilsdon proposed that she would create a display board featuring newspaper articles which have appeared in various local newspapers since the groups inception. Board to be displayed at this exhibition.
     
  • Chris Wilsdon to follow up on what publicity is being written in the local media about the Textile Weekend and the Centenary Federation. Will attempt to get our exhibition mentioned in both the Bunyip and the Messenger.
     
  • David to create and provide quotes for catalogues, flyers, posters, invitations, entry forms, people's choice award voting slips.
     
  • Submission of Artwork Terms and Conditions finalised on Entry Forms which will be mailed out to all members. Key points are: Entry is $2 per artwork with 10% commission going to Artsaction on all works sold. Limit of 3 works per artist with Artsaction reserving the right to pick which works will be hung. Entry forms and entry fee must be returned no later than our October meeting on the 25th. Artworks must be delivered to the Tourist Centre on Thursday November 1, between 4-6pm. Artworks to be collected Saturday November 17th between 4-5pm from the Tourist Centre.
     
  • Exhibition to be set up on Friday, November 2nd. Judy Ferguson, Chris Wilsdon and David Arandle will begin setting up from 11am.
     
  • Gem Congdon to obtain quotes for catering the opening.
     

Next meeting the following issues must be addressed:

  • Roster for the two weeks of the Exhibition (Colleen Gates to draw up). Entry forms will mention that people will be required and the roster will be made available for people when they drop off their artwork. Each day will have two 3 hour shifts, 2 people per shift.
     
  • Reliable system for people on roster to accept money to ensure accurate book keeping of takings.
     
  • Raffle - Christmas Hamper.
     
  • People's Choice Award.
     
  • Finalise Catering.
     
  • Display Screens (If these could not be constructed in time).
