Frequently asked questions




Renewing contact with the Association

Members that have lost contact and no longer have the address of their section representative or any officer of the Association may send a message via the School (e.g. Westonbirt School (opens in new window)) asking for it to be forwarded to the Westonbirt Association. Please include name when at school, and section or year of leaving (including whether as an early leaver).

Please note that mailings to members cease if there has been no response to a request for news for at least 5 years, or if a letter is returned as undeliverable to either the School or the Association.   Mailings will be restarted if a member so requests and gives her current address.




Contacting the Executive Committee

Contact Addresses are included on the Newsletters each Spring.

It would help the Committee members, and improve the speed of response in many cases, if a stamped addressed envelope was included with each (non e-mail) request for information.




Whom to inform of the Death of a Member

The Secretary (see Contacts list on the Newsletter each Spring) should be informed of a death.

It may be desirable also to inform the Section Representative. If so, it would be helpful if each of the Secretary and the Section Representative knew that the other had been informed.




Whom to inform of a change of Address or Name

The Section Representative should be informed of all changes of address and names.

She should then inform the Secretary, who will inform the Database Organiser at the School, and the Association's News Distribution Officer.




Whom to inform of a member being taken off the mailing list

The Section Representative should be made aware of any member that wishes to be removed from the mailing-list.

She may also find that communications sent out are returned because the address is no longer valid.

She should inform the Secretary of each member to be classed as removed-from-mailings or inactive, specifying whether it is

  1. removal from mailing-lists at the member's request, or
  2. change to inactive because no valid address is known, or
  3. change to inactive because the member has not responded to requests for news for at least 5 years.

A member that has been classed as inactive, or has asked that mailing should cease, may later ask to be restored to the mailing-lists. Membership is a life membership - there is no charge for such restoration.




Volunteers to be Section Representatives and Officers

All members based in the UK should be prepared to be Section Representative for a five year period at some point.    The current section representative might well appreciate knowing there is a volunteer ready to take over when the time comes.    (Click here to see duties.)

There is also a need for volunteers willing to be Officers of the Association for five years or more.   Remember that the first officers were young.




The duties of a Section Representative

The duties of a Section Representative were last formally agreed in 1994. Each Section Representative should have a copy.




The Association News (the magazine)

The Association News currently costs £5, plus overseas postage if necessary.

It appears annually. News is gathered from members in the Spring, prepared for printing during the summer, and the magazine is sent out in the late summer.

New joiners receive three issues as part of their membership. Early leavers that join the Association will get their free issues after their contemporaries have left year 13.

Copies may be ordered from the Officer in charge of News Distribution and Finance (see Contacts list on the Newsletter each Spring).

A subscription to cover an unspecified number of future issues may be paid. The cost of each issue will be deducted as it is sent, until there are insufficient funds for further issues. A statement will then be sent, informing the depositor that further funds are required.

The News Distribution and Finance Officer receives many requests for information about members' "accounts". Including a stamped addressed envelope with any postal request would be a great help.




Honorary Members

Note that proposals for Honorary Membership should reach the Secretary before the Executive Committee Meeting in the Spring.




Amaryllian (and Dates)

The Amaryllian is a folded A3 flyer, in colour, produced by the school, promoting the current activities of the school and including an Old Girls section.

It is sent out three times a year, through the Association when dates fit with Association mailings (a service the Association provides for the school) or from the school.

It takes time for the mailings to get to the members.

It is also necessary to compromise between the date at which the Association mailing should best be sent, and the production cycle of the Amaryllian.

Even if diary dates, giving details of events, are past by the time the Amaryllian reaches the member, they remain an indication of events that occur.

Those that feel they might wish to know about such events in advance may write to the school and ask to be included in other mailing-lists that would give them advance warning of such events.
