19980602: Sharing Works Documents to Multiple Users

June/1998
Tech Note #2

Most techs are aware that it is essential, when sharing files over the network to multiple users, that the shared files be opened in read-only mode. This can be accomplished via file permissions, attributes, or in some cases, software settings. (Microsoft Works, for example, allows users to select "Read Only" mode directly from the open dialog box.)

However, there is an additional wrinkle for file sharing when Microsoft Works files are involved, as Ron and I discovered recently. If the files you are sharing over the network are saved in Works 2.0 format, and you are opening them using Works 4.x, only one user will be able to access them, no matter how you ensure read-only access. The only solution to this problem that we are aware of at this time is to open each file, one by one, in read-write mode, and save them in Works 3 or 4 format. Once saved in the newer format, you can then share them over the network in read-only mode, and any number of clients running Works 4 will be able to open them simultaneously.
