Club Executive and Their Duties

Below is a list of your Club Executive for the year July 1, 2001 to June 30, 2002 and their principal duties:

President

  • Ensures Club officers meet Club officer and Club meeting standards;
  • Oversees plan to achieve Distinguished Club Program goals and ensures Club is a Distinguished Club;
  • Encourages communication and leadership development through promoting of CTM, ATM, CL and AL awards;
  • Ensures club has an ongoing membership building program;
  • Oversees administrative operation of Club in compliance with the Club Constitution and Bylaws;
  • Schedules and chairs monthly Executive Committee meetings;
  • Searches for leaders, ensures all Club officers are filled for the succeeding term, and ensures timely elections are conducted;
  • Attends District-sponsored Club officer training;
  • Prepares his successor for office.

Vice-President, Education

  • Plans dynamic club meetings;
  • Promotes participation in the Toastmasters Educational Program;
  • Orients new members to the Toastmasters program and to the Club;
  • Assigns a Mentor for Each New Member;
  • Makes sure all members understand the importance of excellent evaluations and know how to evaluate;
  • Administers speech contests;
  • Attends District-sponsored Club officer training;
  • Prepares his successor for office.

Vice-President, Membership

  • Conducts the Club’s ongoing membership building programs and efforts;
  • Follows up and keeps track of guests, new members joining and members not attending meetings. Sends follow-up notes to guests;
  • Attends District-sponsored Club officer training;
  • Prepares his successor for office.

Vice-President, Public Relations

  • Promotes the Club to the local media;
  • Prepares Club newsletter;
  • Promotes membership programs;
  • Attends District-sponsored Club officer training;
  • Prepares his or her successor for office.

Secretary

  • Maintains an accurate membership roster;
  • Records and reads meeting minutes;
  • Reports new officers to World Headquarters;
  • Prepares and mails orders for Toastmaster supplies;
  • Maintains general club correspondence;
  • Attends District-sponsored Club officer training;
  • Prepares her successor for office.

Treasurer

  • Prepares an annual budget for the Club;
  • Provides the bank with a new signature card;
  • Notifies each Club member in writing of dues payable;
  • Sends membership report and semi-annual dues to Toastmasters Int’l WHQ;
  • Collects payable dues and fees;
  • Pays all bills promptly;
  • Keeps complete and accurate records of all financial transactions;
  • Presents verbal and written financial reports quarterly (October 15, January 15, April 15, and July 15)
  • Submits Club accounts for audit
  • Attends District-sponsored Club officer training.
  • Prepares his successor for office.

Sergeant-at-Arms

  • Arranges room and equipment for each meeting;
  • Greets all guests and members at each meeting;
  • Arranges for food service at meal meetings;
  • Maintains all Club equipment and materials.
  • Attends District-sponsored Club officer training.
  • Prepares his or her successor for office.
