Job
Duties and Responsibilities:
Ø
Management of the Embassy’s Registry
§
proper maintenance and filing of all important
documents, including highly classified correspondence and papers.
§
ensuring that all in-coming and out-going
documents/correspondences are promptly circulated to their addressees and
other officers concerned.
§
updating all records of Mission’s correspondences
with both Singapore Government and Foreign Agencies to ensure easy
retrieval.
§
ensure the proper disposal of all outdated
classified documents; and
§
assisting the Mission’s management in devising and
implementing more effective systems for storage for documentation and
dissemination.
Ø
Operation of the Embassy’s Communications System
§
sending and receiving of messages by facsimile,
electronic and telex machines.
§
regular and prompt submission of Mission’s
confirmatory list on weekly basis for messages transmitted to HQ and
checking of HQ’s confirmatory list of incoming messages.
§
ensuring the operational readiness of Mission’s
communications equipment, including fax machines, photocopiers, encryption
devices and secured phone lines; and
§
assisting the Mission’s management in identifying
any weakness in the Mission’s communication networks.
Ø
Handling of Diplomatic Bags and
Couriers
§
ensuring the smooth operation of the diplomatic
bag system. This involves the rostering of non-diplomatic home-based staff
and Mission’s local drivers to receive and send-off couriers as well as for
collecting and dispatching cargo bags.
§
liaising with Mission’s Chief Security Officer
from Singapore to make necessary transport, accommodation and other
arrangements for couriers.
§
ensuring the proper adherence to all necessary
security measures to safeguard the security of diplomatic bags; and
§
maintaining and controlling the issuance of
airport passes to home-based officers for official duties.
Ø
Managing and Training the Local Employees
§
Training of local staffs with regards to the area
of work concern.
§
Training new support home-based staff upon
arrival.
§
Monitor the welfare of Mission staff both local
and home-base.
Ø
Organizing Embassy’s Functions
§
assist Mission management in organizing event such
as National Day celebration, Festival functions and other internal staff
functions.
§
Organizing staff welfare function such as staff
family day.
Ø
Emergency Crisis Counselling and Assistance for
Singaporeans living overseas in distress.
§
assist Mission counsellor to provide services for
Singaporeans living overseas in distress.
§
assist Singaporeans to get in touch with their
family members in case of emergency.
