Constitution

1.0 Society Name

The name of the Society shall be the LGB Pride Society (hereafter the Society).

2.0 Aims

2.1 The Society aims to further the interests of, and support, all members of the student LGB community. This support shall be offered in a number of ways.

2.1.1 Confidential listening, information and support services through LGB Society Outreach (section 10.0).

2.1.2 By the provision of an informal social forum.

2.1.3 By discussion of issues that particularly effect LGB students through workshops and visiting speakers.

2.1.4 By maintaining strong links with appropriate groups, for example Healthy Gay Life, in the Birmingham area.

2.1.5 By making relevant information accessible to students via media such as the Society’s Website and Handbook.

2.2 The Society aims to promote awareness of LGB issues within the student community, in cooperation with the Union.

3.0 Membership Details

3.1 Full Members
Any Union member, who self-defines as LGB, shall be eligible to become a member of the Society, subject to payment of any subscription laid down.

3.2 Associate Members
Union members who do not self-define as LOB may become associate members of the Society. Associate members may not hold office, nor attend closed meetings, vote or be entitled to full member privileges.

4.0 Officers of the Society

The Officers of the Society shall be
a. President(s)
b. Vice-President(s)

5.0 Committee

5.1 The committee shall consist of the Officers of the society (section 4.0) and usually six ordinary members as follows,

Entertainment Officer (x2)
Welfare (Woman's) Officer
Welfare (Men's) Officer
Publicity Officer
Technical Officer (Website)


5.2 The President shall normally be the Chair at committee meetings.

6.0 Meetings

6.1 Annual General Meeting (AGM)

6.1.1 This shall be held at the beginning of the new academic year, at which time the in coming Officers shall be elected. The President shall invite nominations at least seven days before the meeting. Nominations must be given to the President before the meeting.

6.1.2 The Executive Member in Charge shall be invited.

6.2 Extraordinary General Meetings (EGM)

6.2.1 An EGM can be called by the President, the Vice-President, or by written application of at least three members of the Society together with a written statement of the objects for which the meeting is desired.

6.2.2 At the EGM no business other than that specified in the written statement shall be discussed.

6.2.3 When the members request an EGM, the meeting must be held within seven days and in all cases at least 24 hours notice will be given.

6.2.4 The Executive Member in Charge shall be informed of the meeting.

6.3 The quorum shall be set at ten society members at all General Meetings.

7.0 Elections

7.1 Elections of the Officers of the Society shall take place at the AGM.

7.2 Election shall be by ballot or by show of hands at the discretion of the Society.

7.3 If a full committee is not elected for any reason the President and/or Vice-President shall take on responsibility for the vacant positions.

7.4 Once a committee has been elected the Executive Member In Charge shall be informed on the registration form. However, only the details of the Officers of the Society need be provided for reasons of confidentiality.

8.0 Minutes

The Society shall keep minutes of meetings.

9.0 Accounts

The President will maintain the accounts of the Society, which shall be available for examination at the AGM.

10.0 LGB Society Outreach

LGB Outreach offers a confidential listening, information and support service for lesbian, gay and bisexual students and for those unsure of or questioning their sexuality. The service remains confidential at the discretion of the Welfare Officer.

11.0 Confidentiality

11.1 Mailing List
E-mail addresses supplied by members who wish to be on the Society’s mailing list are confidential. The President, Vice-President & The Executive Member in Charge shall be the only persons who have access

11.2 Mail
All Society mail shall be delivered to the Students’ Union. Only the President and the Vice-President shall be authorized to open any mail not addressed. to a specific member.

11.3 Statement of Confidentiality

11.3.1 The Society’s Statement of Confidentiality (section 11.3.2) shall be read out at the first meeting of each term and at the AGM/EGM.

11.3.2 The Statement of Confidentiality is worded as follows,

“It should be noted that the presence of any individual here tonight implies nothing about their sexuality. We would ask that you always respect the privacy and wishes of others. You are therefore expected not to reveal or suggest the identity of those present tonight to anyone outside the current group. Please remember that many LGB people are by no means ‘out'”.

11.4 Open Meetings
Open Meetings are those meetings which are advertised to a wider audience within the Union. It is expected that people, other than regular members of the Society, will attend these meetings. All meetings should be assumed to be Open unless specified.

11.5 Society Trips
In accordance with Union Policy a list of names and University Registration Numbers of those members participating in any Society trip shall be left with a Union Officer and/or Union Reception. The list shall be supplied in a sealed envelope and marked as confidential. It is only to be opened in the event of an emergency. The trip organizer shall collect and destroy the list upon returning to the Union.

12.0 Constitution Amendments

Amendments to this Constitution shall be submitted in writing to the Executive Member in Charge. The President of the Society and the Student Activities Development Officer shall both keep a copy of the Constitution.
