Step 4: Send Out your Appeal

Sending out the appeal documents is a crucial step in fundraising. If many sponsors are approached and if this is not done in an orderly fashion, the whole thing could turn into a big mess. Following is a small list of things that might go wrong in this stage.

  1. Addresses might be wrong, misspelled, etc.,
  2. Letters might end up in wrong envelopes,
  3. Letters might not end up in the envelopes,
  4. Annices might be forgotten (very common!!!), wrong annices might be enclosed,
  5. Mailing might get delayed due to numerous reasons,
  6. Keeping records of the outgoing mail might be forgotten.

Therefore, assign a coordinator for document compiling and mailing process. The coordinator should supervise and double-check:

  1. distribution of tasks,
  2. compliance with the timetable,
  3. correct addressing and documentation for each sponsor,
  4. recording of the outgoing mail.
