The Bureaucratic Paperwork

Official What you need to do
Yes, Munich too has its own flavor of bureaucracy. Anyone coming to Munich for work has to do his fare share of paperwork, even Germans originally living outside Munich. In this page, we try to describe what you will possibly have to do, where you should go, and what documents you should take with you. If you would like to contribute to the information given here, please let us know. Depending on your situation, the nature of your contract with Infineon, and possibly the knowledge of the employee who takes care of your application, you will have to perform at least one, and at most all of the following:
  1. Registering in the central registration office
  2. Applying for a residence permit
  3. Applying for a work permit
  4. Performing a medical checkup
  5. Submitting a tax exemption form
  6. Registering your medical insurance

Central registration office
Students living outside Munich, who come to work at Infineon in Munich, have to register their place of residence within the first week of arrival in Munich. This registration takes place at the central registration office "Kreis Verwaltung Referat (KVR)" at Ruppertstr. 19, reachable by U-Bahn to Poccistr. The KVR has a rather flexible opening hours both in the morning and in the afternoon. To register, you need to show up at the "Meldungstelle" on the ground floor of the KVR, and to take with you your identification document (passport, for example). Take a number and while you wait for your turn you have to fill out a registration form "Anmeldebestaetigung". The form is printed in German, but you can find a translation of it into a number of different languages hanging on the walls. If you still find something not so clear, leave it blank and ask the registration officer ... they do speak some English. More information can be found on the KVR web site at www.muenchen.de/referat/kvr.

Residence permit
Students coming from outside Germany, with a contract to work in Germany for more than three months, need to apply for a residence permit after they have completed the registration process mentioned above. Residence permit application takes place in the central registration office (KVR) (same place where registration is done). To apply for a residence permit, you need to visit the KVR on the first floor and take with you your passport, a picture and a letter of employment from Infineon. The residence section on the first floor is divided into a number of halls, so you need to find the hall where the first letter of your family name is processed. A word of caution here: the place is usually busy, so you may wish to take a book with you :-) and expect to spend a whole morning each time you visit the residence section.

Work permit
Some students who come to work at Infineon will have to apply for a work permit "Arbeitserlaubnis" after they get their residence. Work permit applications are processed in the employment office "Arbeitsamt" branch on Geyerstr. 32, reachable by U3/U6 to Goetheplatz and then walking or by bus line 58. You need to pay at least two visits to the employment office, first to get a work permit form "Arbeitsgenehmigung", fill it out and stamp it at the human resources department at Infineon. Then, pay them a second visit to submit the completed form, a copy of your passport and a copy of your residence permit. After some processing and waiting for about half an hour, you will get your stamped-and-ready work permit. You can find some useful information on the site of employment office at www.arbeitsamt.de/muenchen.

Medical checkup
Students coming from outside the EU and applying for a residence permit may be asked to perform some kind of a medical checkup. At the residence section of the KVR, they will provide you with a medical checkup form "Aerzliche Bescheinigung" and usually recommend a given hospital to perform the checkup where you have to pay for it. Fortunately, Infineon has its own medical facilities where you can perform this checkup for free. You need to go to the Infineon branch in Munich-Perlach (MchP), next to the U5 station Neuperlach Sued, and be at the medical services department "Betriebsaerzliche Dienststelle" on Fridays between 9:00 AM and 11:00 AM. You can also ask about this at your local Infineon clinic where you will also get a map of the place (there is a small clinic in Munich-Balanstrasse, for example). When you go there, take the medical checkup form with you and you will be done in less than an hour.

Tax reduction form
Some students from outside the EU who earn money directly from Infineon during their internship here in Germany may need to fill out a tax reduction form. Students who do not study in Germany, but intend to stay less than 6 months, do not receive a "Lohnsteuerkarte" and have to fill out the tax reduction form "Bescheinigung fuer beschraenkt Einkommensteuerpflichtige" to reduce the amount of tax they have to pay. Students staying longer than 6 months have to get a "Lohnsteuerkarte" from KVR (or if you don't live in Munich, then from the responsible registry office) and at the beginning of the following year you can claim the tax back with the "Lohnsteuerjahresausgleich".

Medical insurance
Students from within the EU, coming to Germany from countries with a government-sponsored health service, need to issue a health insurance cover form (Form E128) from their respective home countries before coming to Germany. The procedure and time needed to receive this form depend on the home country of the student. An example of the procedure for those coming from the UK is outlined on the following web page: www.ukc.ac.uk/ registry/ european-office/ Yr-Abroad-Guide/ insurance.html. Students coming with a private health insurance need to ensure having sufficient medical cover in Germany.
