The Melbourne University Tennis Club recognises the valuable contribution volunteers make to tennis at Melbourne University. Volunteers giving their time, unique talents, skills and knowledge significantly enhance the opportunities for Melbourne University students and other eligible people to participate in tennis at all levels. Melbourne University Tennis Club volunteers are individuals with a keen interest in tennis who reach out beyond the confines of paid employment and normal responsibilities to contribute time and service in the belief that their activity is beneficial to tennis at Melbourne University as well as satisfying to themselves.

MUTC volunteers have the right to:
- Receive a clearly written, comprehensive position description.
- Have their concerns listened to.
- Expect appropriate training and development to be offered.
- Know who to speak to if problems or difficulties arise.
- Receive constructive feedback.
- Be trusted with confidential information when necessary.
- Carry out a role without being exploited.
- Be consulted on matters that will affect them or their voluntary work.
- Proper management and support to achieve the agreed task.
- Reimbursement of expenses when necessary.
- Respect and recognition of their volunteer work.
- To be treated as co-workers.
- Receive a reference.
- Be recognised for the service they offer to the Melbourne University Tennis Club

MUTC volunteers have the responsibility to:
- Be committed to tennis at Melbourne University.
- Represent the interest of Melbourne University Tennis Club rather than their own.
- Be reliable.
- Notify the MUTC President if unable to perform a task.
- Agree with MUTC's policy on volunteers.
- Respect confidentiality.
- Have an open-minded approach.
- Carry out the specified position description.
- Acknowledge decisions made by staff and other volunteers.
- Address conflict with the MUTC president.
- Ask for support when it is needed

MUTC responsibilities to volunteers are to:
- Provide an appropriate structure for the management of volunteers.
- Provide orientation and appropriate training opportunities.
- Reimburse volunteers for approved out-of-pocket expenses.
- Ensure volunteers are given necessary support to perform tasks.
- Keep volunteers informed about issues of concern.
- Provide opportunities for volunteers to receive recognition

PRINCIPLES OF OPERATION
Relationship between Paid Staff and Volunteers
Volunteers and paid staff (MUS & Club Coach) are considered partners in implementing the aims and objectives of MUTC, with each having an equal but complementary role to play. Tennis at Melbourne University is privileged to be served by its voluntary staff.
Recruiting
Volunteers will be recruited without regard to gender, handicap, age, race, sexual orientation, or other condition. The sole qualifications for volunteer recruitment will be the ability to perform a task on behalf of the MUTC.
Selection
If necessary, volunteers will be consulted to determine their suitability for the role within the MUTC. Members of the MUTC will have an opportunity to nominate for a position on the committee, if there is only one nominee per position then that nominee shall automatically be elected to the committee. When there is more than one nominee, then a vote must be held. All members of the MUTC are entitled to vote at the AGM.
Volunteer Position Descriptions
Each voluntary position will have a job description. Every volunteer should be familiar with his/her position description and feel comfortable in offering suggestions for changes in the position or its description.
Orientation and Training
On request, volunteers will receive a copy of the MUTC constitution, operational plan and by-laws. The President will meet with each new volunteer to introduce them to MUTC's philosophies and provide support where required. Volunteers will have the opportunity to attend personal and professional development sessions to develop and enhance skills necessary to fulfill their job description.
Payment of out-of-pocket expenses
Volunteers are eligible for reimbursement of pre-approved expenses incurred while fulfilling assigned duties.
Grievance Procedures
If a volunteer/member has a complaint or grievance, he or she may convey this directly to the President. This can be done verbally or in writing. Appropriate action will be determined by the President. Every effort should be made to solve problems co-operatively and informally before presenting them to the Volunteer Co-ordinator. All complaints will be treated as confidential.
Volunteer Counselling
Volunteers who do not adhere to the rules and procedures of Melbourne University Tennis Club or who fail to satisfactorily perform their volunteer role may be subject to dismissal after a process of review is undertaken by the President.
Policy Review
The MUTC Volunteer Policy will be reviewed annually.
